6.1 Data Collection

Kathy,
I did some real fun things with the BAM in 6.1.
I can imagine a few different methods of doing what you are looking
for. You could display in a message box what they have worked on,
export it to a .csv file and view it with excel or export it to a
formatted text file and have notepad bring it up for viewing.
Let me know if any of these sound like they might be options and I will
help you if you like to make something work for you. I am not on 6.1
anymore, so I will have to get into the "wayback machine" to help on
this one.
Best of luck,
Aaron Hoyt

We are in the beginning stages of implementing Data Collection and our
IT person is wondering if those of you who are using Data Collection
have disabled the "Exit" button on the data collection screen. He is
concerned that someone will clock in and then press the "Exit" button,
which closes out Vantage.

If you can give me some ideas of how you prevent your employees from
closing out Vantage in the data collection module, it would be greatly
appreciated.

Frankly this has never been an issue for us.
Perhaps because closing it would mean the next person (especially at shift end) would need to restart DC and wait for it to come up. This (really!! especially at shift end when they want to scoot) would probably result in "peer correction"....in the parking lot...with a bat. Even during a shift when clocking off/on jobs the delay caused by it would result in a lower efficiency level on the job being clocked off of so it would be enough to at least cause the perp to get some dirty looks. They soon get the idea not to do that.

An alternative to disabling it might be a watcher program to look for it in memory and restart it. Or set it to only one instance and schedule a restart every so often (5-10 min) - which will fail if already running (never have tried this though - just speculating).

I had at one time created a windowless Visual Basic app that consisted of 6 buttons (filling in the 4 blank button area and covering the Help and Exit buttons). Set it as a topmost window and set it to track the window placement of the Data collection window. This way the buttons were always on top and moved with the data collection window. It also gave me 6 buttons which I used to launch my own applications from. It really didn't disable the exit button, but made it inaccessible via mouse/touch screen. They could still close Data collection with the right corner window "X", but I also had the button program monitoring to see if DC was running, if not, to re-start DC if it wasn't running.

This was a minor problem for us a while back. I used a translation to
change the word "Exit" on the button to "CLOSE VANTAGE". I have not heard
of problems since.

I have small problem. Sometimes DC is kind of frozen.... After click
production or setup button nothing shows up. We have to restart DC then.
Is there any patch for it? I cannot even figure out why it happened.

We are in the process of trying to implement time and attendance in
Vantage 6.1 Our employees have been logging in and clocking out for
several weeks.

The last piece we have been having trouble trying to figure out is
how to handle Vantage when an employee logs in outside of his/her
sscheduled shift due to overtime, flex-time, etc.

We are looking for a company with more than 100 employees currently
using data collection who would be willing to answer our questions
via a phone conference. We do not anticipate that this would take
more than a few minutes, but we would like to know how other
companies handle this. Do you have them change their shift, do you
make them only punch in at certain times or do you pay them for every
second they are in the building?

Any help you could give us would be greatly appreciated.

We don't have quite that many employees but I can let you know the
way we handled it.

We set up shifts to cover all our "normal" shifts and allow the
system to adjust 15 minutes before the shift and 5 minutes after the
shift. Any employee working longer than his/her normal shift that
isn't planned will be paid by the actual time as long as it is more
than the 5 minutes.

We also added a shift that starts at 3 a.m. and ends at 11:59 p.m.
This way anyone clocking into this shift will be paid actual time.

Hope this helps.

We are on 6.1. We have about 240 hourly employees. We have 17
shifts set up, some with paid lunch, some not. We do payroll with
ADP and use the ADP module. In the ADP Payclass Maintenance we can
set up a grace period and tolerance. We pay by the 1/4 hour and you
have to be clocked in the whole 1/4 hour to be paid for it. If you
clock in <15 minutes before you scheduled shift the system
automatically rounds it to the scheduled start time. If you clock
out < 15 minutes after your scheduled end time it automatically
rounds it to the scheduled end time. Anything other than that needs
to be caught with an edit and manually changed to the correct 1/4
hour. Its not how I suggested it work, but that's what management
wanted and it doesn't seem to be too big of a pain.

I think your 2 realistic options are, pay them for every minute, or
do an edit process like we are doing.

If you'd like to set up a call. E-mail me off list and we'll set
something up.

I've implemented Data Collection on 4.00 at my previous employer and I
am about to do it again on 6.00 at my current employer. I've never had
the Vantage Payroll module so I've had to be creative in my
work-arounds.

The challenge this time was how to handle summer hours, complicated by
Monday holidays and Friday holidays.

The normal 40 hour summer week has the employees working 8.5 hours
Monday to Thursday and 6 hours Friday. The special 32 hour holiday weeks
have quit-times dependant on the day off: If Monday is a holiday they
work an extra half hour on Friday. If Friday is the holiday they work 8
hours Monday to Thursday.

Despite this confusing arrangement I have set-up only 1 shift in each of
our two buildings.

Using ODBC and an excel workbook with a few queries I can automatically
transform each employee's course Plant Floor data into the refined
regular and overtime hours (in quarterly intervals) for uploading into
Ceridan.

The trick is to build into the workbook a means to predict the
anticipated work-day hours (anticipated shift in your case) and set
formulas to use them.

We are currently using Data Collection for time and attendance only.
Our next mission is to stop all manual labor entry and go to "full-
blown" data collection.

One of our biggest stumbling blocks is figuring out how to export the
information out of Vantage into Paychex. We are currently using the
labor detail which has all of the labor expense codes attached but we
run into problems with idle time rounding up .01 or down .01 so the
detail does not match the header.

To those of you currently using data collection, do you report off of
labor detail or labor header? If you report off of labor detail, how
do you handle the idle time descrepancies? Also, how do you handle
detail after midnight?

I really appreciate any advice you can give me on this matter. Thanks.

The labor header would be the place to go to get the information. Write
a BAQ for the pay week to get the data and then export it out to
something that paychex can use.

labor detail or labor header? If you report off of labor detail, how
do you handle the idle time descrepancies? Also, how do you handle
detail after midnight?

I really appreciate any advice you can give me on this matter. Thanks.

We are finally to the last phase of our implementation where we will
get rid of manual labor entry from time cards. There have been several
requests from the employees that at the end of the day they would like
to see a list of what jobs they clocked in and out of during that day.
Many have stated that at previous jobs they have been able to see a
list of jobs they worked on to verify the accuracy.

Has anyone else had this request and are you furnishing the employees
with a list of this type? If so, how are you accomplishing this?

Any ideas or help will be greatly appreciated.

The easiest way is to use the Labor Detail table to get this info for
the day. By the emp's ID you can see each job they clocked into and the
time....now distribution of this report is another matter altogether!
The report itself is easy to generate.

But with most companies I have had to deal with, this report was sent to
the supervisor and they go and ask the questions on anything that looks
bizarre. I think I had only one company do this on a daily
basis...everyone else did this on a weekly basis. And I always made the
supervisor run the report themselves.

I do currently use the Labor Edit report and we have exception reports for
the managers/supervisors. The employees on the shop floor level are
requesting a way to see when they clock out for the day, what jobs they
worked on as they are required to turn in a form to their supervisors if
they made a mistake entering/not entering information into data collection.
Some of our toolmakers bounce around to several jobs during the day and are
having a hard time keeping track of whether they clocked into a job or not
when they are asked to help with something that should only take 5 minutes
but in reality takes much longer, possibly an hour or more.

And, unfortunately 6.1 is very limited to what you can give the guys on
the floor....you may want to consider putting a crystal report on the
vantage menu for them to use. But then you would have to use a full
vantage license for them to access the report. Limit what they can see
(just the report).

I can't remember if you can even put a report on the data collection

Maybe there is a way to automate a report that dumps into excel and give
them access to that on the network?

You could create a KIOSK type web application that the employee could enter their ID number and have an ASP page display the information for them on screen. No Vantage or DataCollection license needed, just IIS and ODBC setup on the server. I do this with labor hours for the employees so they can look up and see what hrs they've worked for the past month.

We are on 6.1 and I've setup screens in the departments that cycle through displays of who is clocked in and what they are actively running, and Dept machines and what are running on them. It helps the operators and foremen know what's happening at a glance without having to go to a computer a look it up. Kind of like the arrival/departure screens you see at the airports.

Manasa,
Good suggestions which I will give some thought. I was also tossing around
the idea of putting Easy View (Crystal Viewer software) on just one data
collection terminal as we have an extra license we are not currently using
and creating a crystal report which would prompt them for their employee ID
and then print their job list. I was just hoping that Vantage would have an
option that I was overlooking and not have to create something special. I
appreciate your suggestions and hope to meet you at Perspectives (I also am
registered to attend this year).

Manasa,
Good suggestions which I will give some thought. I was also tossing
around
the idea of putting Easy View (Crystal Viewer software) on just one data
collection terminal as we have an extra license we are not currently
using
and creating a crystal report which would prompt them for their employee
ID
and then print their job list. I was just hoping that Vantage would have
an
option that I was overlooking and not have to create something special.
I
appreciate your suggestions and hope to meet you at Perspectives (I also
am
registered to attend this year).

ok I got interrupted when I was writing the response...

If you are good with Excel macros, you can schedule to run the crystal
report at certain times during the day (end of a shift, every 4 hours,
whatever). Then have a macro prompt for an id and run the report for
their data only?

I'm horrible with macros, but I don't see why this couldn't work?

And, unfortunately 6.1 is very limited to what you can give the guys on
the floor....you may want to consider putting a crystal report on the
vantage menu for them to use. But then you would have to use a full
vantage license for them to access the report. Limit what they can see
(just the report).

I can't remember if you can even put a report on the data collection
menu....I think that came with 8.0 and later.

Maybe there is a way to automate a report that dumps into excel and give
them access to that on the network?

Thanks Manasa.
I do currently use the Labor Edit report and we have exception reports
for
the managers/supervisors. The employees on the shop floor level are
requesting a way to see when they clock out for the day, what jobs they
worked on as they are required to turn in a form to their supervisors if
they made a mistake entering/not entering information into data
collection.
Some of our toolmakers bounce around to several jobs during the day and
are
having a hard time keeping track of whether they clocked into a job or
not
when they are asked to help with something that should only take 5
minutes
but in reality takes much longer, possibly an hour or more.

We currently only have MES on our data collection terminals so the Labor
Edit report is not available for them to use.
