8.03 Paste Update Part Information from Excel

COGITA is an Epicor VAR based in New Zealand, we have produced a data import toll that will also update tables where possible in the UI. It verifies the data as it is imported/ updated.
We have it is various patch levels available, we sell it to or clients who wish to import data from their legacy systems.

If you would like to know more please contact me.

Elaine

I am trying to do a paste update from Excel into Part Maintenance. I added a grid to the part maintenance screen and setup my columns to match the information from Excel. When I try to paste update I get an error that it couldn't complete the paste operation. Then my grid is filled in with only the Company, Part Number, and Description. The next field that would be filled in would be the Class. If I click on the record in the grid I get the following error:

Error Detail
============
String was not recognized as a valid Boolean.

Our Engineers are working on changing all the part descriptions. I know it would be easier (for me anyway) if they changed them directly in Vantage but unfortunately I already lost that battle.

Just creating a grid in part maintenance is not going to allow you to paste upload via excel. You will have to use service connect or write an import customization to do this. There are several tables and fields which need to be updated in order to do this so if you are not comfortable with customizations you'll need some assistance on this

We are on the same boat Mark! I dont think they really understand using excel just adds more work. However , I also think not haveing a default grid in this module just creates more tedious work. I did the same thing I added a grid to add our stock items in the part master but I got the same error message. What columns you have in your grid? You may be missing mandatory fields in that grid or the incorrect value in a cell.

We have Company, Part, Description, Class, Inv U/M, Purch U/M, Type,
Exp. Div., Exp. Chart, Department, Group, and Costing Method. I took an
existing part and these were the fields that we would fill out on the
detail screen. If I click "New Part" it flashed back to the detail
screen and if I switch back to the grid and fill in the part number and
description it will let me save it.

You can create a grid and link to the fields within the part master, but this is not the same as uploading descriptions or changing fields on multiple parts. Creating a part record involved many tables, and you cannot paste upload from a grid view to update multiple parts. In essence, you are copying and pasting from excel the updated fields into your part record, but you can only do this one part record at a time
Â
Sorry, but like I mentioned earlier, unless you write a custom BPM or use service connect you will not be able to do this just by creating a grid view

These are the options we reviwed with our CAM to solve this problem:

Option 1.
• If you want to use a tool in house and convert your parts records as often and as many times that you need to they can sell you a tool called "Data Migration Tool" along with the tool they have predefined workflows where you would dump your parts data into the workflow then run the workflow through the DMT tool to import the data into the DB.

Option 2.
• Pervasive method – Epicor would provide you with an excel template. You would extract your legacy data and map that data top the columns in the excel template that marry up to the names of the data elements within the parts table. Once you have all of your parts records on the excel template you would send the template and your Epicor db to an ftp site where an Epicor programmer would use our pervasive tool to import the template into the db. Then once the conversion is complete they would send you back the db fully populated with the data and you would restore that db to your test, pilot, production account. With the price of this conversion you get 3 data conversion passes. In other words you can send them your db and template 3 times and they will convert the data and send you back the populated db.

However the range for these alternatives starts at $5K and if i am not mistaken Service Connect is about $20K.

Just a slight correction....

The DMT tool has nothing to do with Service Connect. It is a tool which was developed by a third party and was so good for uploading data into Vantage that Epicor have now adopted it internally and also resell it.

It is only similar to Service Connect in the sense that it works with the Business Objects so that the data is properly validated.
It however does not work using Web Services but it uses the installed Epicor Business Objects DLLs, so it runs very fast as the GUI is also bypassed.

It also uses Excel files or CSVs as input data and does not require fields to be arranged in any particular order. The only requirement is that fields that Vista would require to be completed, are present.

It also covers a wide range of modules Parts, BOMs, Sales Orders, Job Entry, etc. Your CAM should have more details on its features.

I'm not sure how I would have implemented my Epicor system without it!

Thanks, didnt want to get into a lot of detail but I duly stand corrected! Either way, the part update will not work for multiple parts without either a tool like DMT, service connect, or a customization

Just a slight correction.. ..

Creating a part record involved many tables, and you cannot paste upload from a grid view to update multiple parts. In essence, you are copying and pasting from excel the updated fields into your part record, but you can only do this one part record at a time
