We use Project management for both internal and external projects, Basically we use it for capturing time and expenses.  None of the of the other more complex tasks.  We have been using it since March last year and is working ok.  We don't use costs at all and Finance manually adjust our labor costs via a journal as all billable time goes to a different GL code and they have their own formula for what a persons time is worth.

We are on 9.05.701.  There is a known issue with adding large amounts of hours on Phase Job Operation Estimats.  Where it takes a very long time to update. Also once you add a value into that field you can never change it back to 0.  When you start applying time through time and expense entry onto said Phase Job Operation it takes a very long time to submit.  There is an SCR for this, but don't have it with me at the moment.

If I just close it when done, without running such processes as capture revenue recognition, am I leaving a mess somewhere?

I really don’t know if it is leaving a mess anywhere, but our controller has not seen any changes from using Project.

Related question.  We just started using Project Entry to capture an internal cost (building maintenance job).

I have two linked jobs, one a WBS job, and another the main project job.  I have closed both jobs, then closed the project, but the costs are not being relieved from WIP (i.e. no transaction on the Inv/Wip Reconcialiation)

 

Am I missing a step?

No I did not.

Both jobs were created in Project Entry.

The one at the Project Summary level has no costs.

The one at the WBS Phase is labor only.

I understand the Job has a "Part Number", but this is not inventory.

That’s the part I struggle using this with, can you ship from a job without a sales order (we aren’t invoicing anyone)? I certainly don’t want to receipt anything to stock with a value as in this instance we are capitalizing the item (and then I’d have to chuck it in my items master, which I definitely don’t want), and sometimes expensing portions of it (the project).

Either job can roll up cost. Add labor and/or material to those jobs. After you have done that from the Actions Menu run the Build Project analysis. After you have done that go the costs tab, refresh the screen, and you will see the actual costs populate

These jobs will show transactions just like any other job once you issue materials, report labor, etc. If you receive the job part to inventory or ship it then it will relieve inventory. If you just close the job without shipping it you will see an mfg variance as you incurred the costs but never produced anything

Rob, you can just close the job and incur the period expense or, if this is a part on the fly, setup an order using your company as the customer and ship it at a zero dollar order line cost to relieve the WIP and post the COGS

Either job can roll up cost. Add labor and/or material to those jobs. After you have done that from the Actions Menu run the Build Project analysis. After you have done that go the costs tab, refresh the screen, and you will see the actual costs populate

These jobs will show transactions just like any other job once you issue materials, report labor, etc. If you receive the job part to inventory or ship it then it will relieve inventory. If you just close the job without shipping it you will see an mfg variance as you incurred the costs but never produced anything

Rob, you can just close the job and incur the period expense or, if this is a part on the fly, setup an order using your company as the customer and ship it at a zero dollar order line cost to relieve the WIP and post the COGS

FYI, there is an separate maintenance module that uses jobs to help track costs. We are looking at adding this to replace our existing preventative maintenance software.

 

There is also an asset management module, but I don't know much about that one.

Then your appropriate part class is used?  Instead of using a job….POs are also tied to projects.  You must have much more going on for it to be this simple.

For us it’s used in capital equipment projects, they are usually quite complex with a dozen or more PO’s, multiple internal jobs, operators and project people’s time etc.. The module is perfect for that in all its features, I’m just trying to find if I can use it for something it really wasn’t built for.

I was re-reading your original email….and I wonder, is there anything wrong with a zero dollar sales order with an internal product group with just expense accounts on the COS side, to do all of the “normal” transactions?  Not even sure if that would work….and I’m sure you already thought of it.

I am actually in the process of “learning” Project Management so unless someone else pipes in and tells you otherwise, I’ll let you know what I find out!

Cindy you still need to issue materials and report quantities against operations. When you close the job and run the Capture process Epicor will capture the WIP costs and then post it from WIP to JOb Variance as you incurred the cost but never got credit for the COGS since you  produced no product
