A/P invoice problem

Why don't you guys try to correct this problem before it hits the
general ledger? There are several options in the AP Invoice entry
screen to prevent future and past dates from being posted! Don't you
print an invoice edit list before you post the batch? What about my
other suggestion about while in AP Invoice entry, go to Group, and
select View group entries? This option allows you to click on any
invoice in the group, edit the invoice before you print your edit list
and then post the batch! The edit list also gives you same information!
As a bookkeeper I would never play around with fiscal periods after I
have created them!

As a convenient alternative, you can simply add all of your 2005 GL
periods
and mark them closed. Vantage will not allow posting to a closed period
so
it can provide some level of sanity check. Of course, you will need to
remember to re-open the periods as you need them but this process can
provide a tight level of posting control with very little effort.

I just uploaded a report I created to find bad dates entered in AP. I
moved
it under the "report builder" section, so the link in the auto-generated

Another new year's suggestion: DO NOT ENTER ALL YOUR 2005 GL PERIODS
RIGHT
AWAY! Inevitably, users will enter dates for December of the prior year
with no year, and the software will kick them forward 11 months to Dec
of
the current year. There generally are no sanity checks to prevent this.
Except for date fields that have to match to a GL Period.... If you
hold

of
these errors since dates with no corresponding period will be rejected
upon
entry.

Back in 2002 someone posted an invoice and put a date of 07-06-20 on
it. They never corrected that problem. I assume they just posted
the invoice again when the vendor called or when they checked their
open invoices to the aging report. For some reason, that invoice has
just started showing up on my aging report. I need to know how to
get rid it. If I do an adjustment, the $946.90 will show up in my
current g/l. If I write a check and void it, it will show up again
on my aging. I'm sure there is a simple answer, I just haven't found
it. Any help would be appreciated.

Paula,

I'd suggest calling Vantage tech support and ask for a quickie zap
program to change the date.

Should be about 2 minutes of programming for them at best and should be
- no cost -.

Paula-

Unfortunately, Vantage will let you key in an incorrect date such as
"07-06-20". I don't know why Epicor couldn't give you some sort of
warning for any date more than 1 year out...

Anyway, as part of my A/P account reconciliation process to ensure this
hasn't happened (and believe me, it happens more times than not), is to
print the G/L detail for the A/P account for the current month (fiscal
period). Since the entries are in date order, any incorrect dates
should either be at the beginning or end (as is the case with a year of
"20"). I then have my assistant adjust these invoices off using the
last day of the current month (i.e. if I find an invoice date error in
December, I have them back date the adjustment to 12/31/04), then
re-enter the invoice correctly in a December A/P batch and post it.
From an account coding standpoint, whatever account you charge the
"adjustment" to is the same one you should code the corrected invoice to
in order for them to zero out.

Let me know if you have any questions!

Thanks!

Rick Ludwig

Why don't you just view the entries made into an open AP batch by going
under Group/View group entries and make date corrections right there
while the batch is still open and before you post it?
