ABC Codes & Cycle Counting

Bruce:
Afraid we aren't all that clever in what we name the group! We just use the
date with a dash (120704-1), it keeps like groups together that way and it's
easy to find and also to delete the old ones without having to open them up
to see when they were created.

We count every day, sometimes he'll do more than 1 group a day - that might
happen if the first group went quick and maybe there's a new project that we
want/need to keep tabs on, so he'll go ahead and run a second group.

We use Vantage's cycle count process. The ABC's that the system assigns are
okay if you have enough history in the system, and then you can modify the
items that might not be set at the right code. We've been doing it long
enough that we had a pretty good handle on what should be set at which code.
The quirk with using Vantage's cycle counting is that if you have multiple
locations for a part, and there is no quantity of the part in one (or more)
locations, cycle counting doesn't include the zero quantity locations in the
cycle count group for that day, so what happens is the system doesn't think
you really counted that part, so it'll keep coming up day after day. The
work-around for this, (that we have found and use), is we look up the
locations for each part, and if there are locations at zero quantity - we
manually add them back into the cycle count group - that way the system
recognizes it as being counted and the cycle continues correctly. An
example would be a part coming in goes to the "recv whse". That goes
to "0" on hand as soon as they move it to the correct location. So, when
you go to cycle count that part, the "recv whse" doesn't come up to count.
However, if you don't include that warehouse, the "last count" field is not
updated for that part/location and it'll come up again to be counted with
the next cycle group.

Other than that, it works really well and yes, we count daily.

it is simply a matter of how a company chooses to define its ABC

I originally setup two classes. A is for dollar volumes over $2000, and
C was for everything else. I am just experimenting so these figures are
not set in stone. Well, I decided I only wanted the $2000 stuff to get
auto selected. From there I gave C an outlandish (for us anyway) volume
over $10,000 and reassigned with the intention of clearing class codes
for everything except for the A parts. For whatever reason those 'C'
parts do not want to give up their classification.

Therefore, I am in agreement with Frank that the abc counting doesn't
work. I am guessing Vantage wants a code on all parts. I would really
like to get this to work simply because of the time it takes to manually
enter part numbers to get counted.

I beg to differ...we have been using it for about 5 years...admittedly, we
are a small company and only count once a week or once a month, but we have
not shut down for a complete inventory since October of 98...so I guess it's
all in how you look at it.

Thank you Julie. This was exactly the kind of information I was looking
for. That is my ultimate goal: NO MORE PHYSICAL INVENTORIES! I have
been using cycle counting for a while, but not in the way it was
designed. I would generate Crystal reports to go after the inventory I
wanted counted, and would have someone key in all the part numbers from
the report. This enables us to get initial count dates into the system
so when I finally figured out how I wanted to go about using the system
as designed, at least, that part of it would be done.

Some followup: Roughly, how many hours a month do you spend counting
per person? And How many employees do you have?

Are you trying to set it up to not count the "C" stuff at all? Vantage
will leave the code, but you could set it up to count "C" items every
999 days, or whatever you want. The biggest trick is to get a "counted
date" into all of those parts first. For instance, if you are planning
to do a full physical inventory at year-end, that would give all of your
parts a last counted date and then you should be able to get it working.
As per my earlier post though, you have to make sure you include all
warehouses for every item, so if you do a physical, make sure you
include 0 quantity locations. When we set it up, we ended up doing
several "Physicals" - one for each and every warehouse separately, so we
could get those dates in there. That really is the key. Then you can
set your codes to count with whatever frequency you want and auto-select
will only bring up the items that are on the right schedule. We have A
codes set up for 28 days, B codes for 84 days, C codes for 175 days,
and then I added a D code for 999 days. We've been using it for a year
now and except for the fact that they have to be sure and include all 0
quantity locations with the regular cycle count - it works great and we
actually will not be doing any more physical inventories!

Glad to be able to help.
We have 120 employees right now, but even when we had up to 150, the amount
of time for cycle counting was still about the same.
We have one full-time "cycle counter". He spends an average of about 2-3
hours a day every day on cycle counting, the rest of his day is
investigating problems and helping with material handling.

Just as a side note, this will be the first time we haven't had to do a
physical inventory, even though for the last few years, we knew our cycle
counting was keeping our inventory accuracy percentage up there pretty high.
We KNEW that the physicals actually hurt the integrity of the inventory and
we spent months after each one trying to fix all the errors, but we
continued doing the physicals because our home office was requiring it. Now
we have proof that the cycle counts remain high in percentage of accuracy
and we are very excited not to have to do the physical inventory - in time
and effort saved for it and fixing it all up again later.

Julie,

I was wondering what you use for a naming scheme for your cycle counts
(I wish the system would filter the posted counts). Also, do you run
the counts once / day? Or week? or month?
