(8.03.403 - Progress) Does adding attachments create any performance issues with the database? Our salespeople are going to begin attaching correspondence, including drawings, to sales orders. I am also considering attaching vendor invoice copies to our AP invoice entries. However, I do not want to slow down the database or have it become so large it eats up disk space or becomes unmanageable.

Like Vic said, these are just tables that link to the actual file location.
So the files are not in your database.

Having said that, I would REALLY make sure that all attachments are placed
in the same place on a server share (or in Sharepoint for Epicor 9). If
users attach a file from their C: drive, nobody is going to be able to see
it but that user.

Epicor 9's Company Configuration has a field for a Base URL for attachments
but I haven't figured out how it works.

A good BPM around this might be to check and see if the proposed
filename begins with C:\ and bail if it does. I was able to make a
Method Directive that check for "the XFileRef.XFileName field of the
changed row begins with the "C:\" value" on XFileRef.Update(), but
attachments don't see to invoke a common method. So you'd have to do
this checking on Part.Update, Customer.Update, etc.



That kind of sucks...

Thom,

We have been attaching .pdf and .tiff images to the invoice records for over one year (20,000++), with no speed issues. We began attaching .pdf and .tiff images to the receipt records (images of the packing slips) a few months ago. Trying to go as paperless as possible. We will be adding everything from images of supplier quotes, to quality documents etc. in the future.

Sometime real soon we'll be shutting down the copier :)

Agree with Vic...... setting up a documented folder locations that NEVER change is a must. we spent many hours deciding on that, creating detailed work instructions, communicating and training. So far no issues.

Our longer term plan is to incorporate the ADM+ (Advanced Document Management Plus) software from Altec, at that point we will no longer use the vantage screen attachment function. The docs will be indexed like a database for retrieval from many different angles. We purchase the ADM+ some time ago but have not implemented it yet........but that's another story...

One thing I have seen with attachments is that if you make the
attachment at the Order level, it does not seem to place the attachment
onto the Job. Is this intentional, and is there a way to have the
system copy attachments from the Order to the Job automatically?

I would imagine this is intentional. There¹s no obvious direct
relationship between what I might attach to an order on the Sales side and
the fact that I might also be intending to send that attached document onto
the Job for Production. The attachment feature is fairly generic ‹ you can
create an attachment to many different entities in the system (Orders, Jobs,
Customers, Suppliers, Parts, etc. etc.)

We are experiencing the same problem. Attachments are supposed to carry over to jobs if they are attached to the Sales Order Line (not the Sales Order itself), but ours stopped carrying over since GoLive. Not sure if this is related to an update or a configuration setting. They are only supposed to carry over if the attachment is to the line.
What table holds attachment info? My users would like to have a BAQ show if there is any attachments on a given part......
