There are a couple of problems here. 1st, Vantage won't let you
print these documents in a batch. 2nd, if you were to totally
automate it, I think you'd have a problem associating the send to
information with the document.
With the Faxing programs I'm familiar with, you send a job to the
"printer" and the software creates a "picture" attachment and opens
an interface for sending the document similar to Outlook. With the
software we have the document can be sent as either a fax or e-mail.
But the user has to choose the person(s) they are sending it to from
their contact list. With Sales Orders for example you would have to
print them from Vantage one by one and get a seperate attachment for
each.
We recently had a request to send our Sales Reps one e-mail a day
that would contain the Sales Order information for all the orders
that were placed from their Customers that day. What we did to
accomplish it, was to create a Crystal Report that contained the
important information off of the Sales Order. The report is filtered
by Sales Rep and Order Date and grouped by customer. I formated it
so several sales orders will fit on each page, but a new page will
start for each customer. The last person in Order Processing each
day runs the report for each rep and Simply Faxes (E-mail option) it
to the them. So instead of receiving many e-mails throughout the
day, each with one Acknowledgement in it, they receive one e-mail at
the end of the day with all of the day's activity. We have not
started doing this for customers yet.
