Converting from Report Builder to Crystal

Patrick

February 2002 we purchased a 5 incident support package for $345. I
don't know what they are charging these days but it looks like they
have many options of support to choose from. I can say that they
have been very helpful to me. I'm not a network admin and knew
nothing of IIS when I started and they walked me through what I
needed to do. I have not been through an upgrade process yet (will
start soon) so I can't help you there, but I'm sure there a similar
issues whether you are dealing with Report Builder, Crystal, or
Access. If table names and field names change your going to have to
make changes to your reports.

I'm Trying to figure out the costs of moving from Report Builder to Crystal
Web Server as in:
Another server, Support contract with Crystal Decisions, anything else?

Also what is the process for upgrading all these reports when a new version
of vantage is issued with schema changes, etc... Where the reports need to
be updated with new table and field names?

We have probably close to 100 Crystal Reports running on our Web
server. Also, we don't have a contract with Crystal Decisions. It's rather
expensive. When you first register your Crystal Product, there is free
support for a period of time (?? 3 or 6 months, maybe??). That's when I
used it and set up the Web server. And it was VERY helpful to have support
at first.

You don't really need a "server" to run the Web server. Just an old PC
running Windows NT 4 or better. Ours runs on a PII 450, with some extra RAM
(312MB). It performs very well for our 60 users. As Brian mentioned, we do
have to sometimes restart the service (once a month), which seems to be
connected to a certain report that crashes when a Sales Order with over 100
lines on it is viewed. We print that SO in Crystal Designer as a
workaround. We rarely are ever affected by the 5-user license limit on Web
reports.

Our implementation is a bit more simple that Brian's, although I wish
we had started more organinzed like Brian. I have a "Reports" directory on
the Web server, which is also a virtual directory. I also have folders for
various categories of reports, but not strictly by department. When someone
requests a report, I design it, the open it in IE like Brian does. Then I
copy the link, and paste it in an email. I email the user the new link.
They then click on the link to run the report the first time. After that,
they can add the report to their favorites wherever they need it. We don't
restrict rights on our reports at this time.

So, our implementation costs were very low. Basically, we already had
Crystal, already had the PC, got free support. I purchased NT 4.0 for
really cheap on Ebay ($40 or something), and got the extra memory for about
$40.

We have ~40 reports. My implementation was very similar except that
instead of launching the report with shortcuts, I have an Intranet web
page that point to each report and there are sub-web pages segregated by
department with the appropriate permissions. Users open their browser,
which automatically goes to the Intranet home page, click the link to
enter the reports area and click the specific report they want to run.

Just a thought but if it is not too late a dynamite topic for Perspectives in October would be "Migrating from RB to Crystal". There is usually a number of Crystal people at Perspectives anyway, especially to sell the required components. If they can do this topic they had better use a large room. I wonder who to suggest this to.

We have over 100 reports and are distributing with Crystal Web
Server. Vantage 5.0 Crystal 8.0. IIS Server Windows 2K. I won't
say things have been problem free, what is in the computer world. I
will say that it works pretty slick, especially after we seperated
IIS from our Domain server and put it on a Win2K box. Ocaissionally
we'll have to stop and restart a service to get things running again.

I will try to explain my setup.

First, I have a RPT folder on this server that has 20 subfolders, 1
for each department or group of report users. These folders are
secure so that only me and my assistant can change them. Then in
IIS, you set up a virtual directory pointing to each of the
subfolders. For each report I go into internet explorer and type the
following
path. //servername/virtual_directory_name/Report_Name.rpt. When the
report loads I do an Add to Favorites and an icon is created in my
Windows/Favorites folder. I cut it from there and paste it into a
corresponding subfolder in a Favorites directory.

For example if I have a New Orders.rpt that Accounting uses I have a
file in R:\Rpts\Accounting\New Orders.rpt. My virtual directory is
named Accounting. So I type in \\iisserver\accounting\new orders.rpt
in IE and make a favorite. I put the icon for the favorite in
R:\Favorites\Accounting\. Users have read right to the Favorites
folders for the reports that they use.

Next I would put the icon for the favorite in the Vantage Favorites
bar. The user would click the icon and the report would appear after
a little waiting (it could be faster of course). One major pain I've
run into is that since we've upgraded our Workstations to Win 2K or
XP adding the favorite to the Vantage favorites bar doesn't work
anymore. We are keeping one old 98 machine around just to set up the
favorites. The favorites icon can also be added to the Windows
desktop for users that need info from Vantage but don't have a
vantage license. I know there are others who have done some web
pages with links to the report also. I would recommend having a
support contract with Crystal Decisions, they were a lot of help
getting the IIS server setup.

I hope all this info gives you some help. Let me know if you have
specific questions that I haven't addressed.
