Does Vantage 4.0 support Crystal Reports version 8 since it is becoming
difficult to find version 7?

If you plan on changing any reports in your \Vantage\Userform directory, you
will need Version 7 of Crystal Reports for Vantage 4.0.
If you are going to create reports from your Vantage database using any
flavor of ODBC then any version of Crystal will work for that.

Hi group-
I'm new to Vantage and to Crystal Reports and I'm having trouble with an
invoice report in Crystal. The initial problem was that when we had a part
that had several misc charges to it the quantity would accumulate for each
misc charge. The actual ship quantity would be 10 but would show as thirty
on the invoice because it accumulates for the part itself, the expedite
charge, and the freight charge. I fixed this by creating a running total
that resets on change of POLineNum. This fixed that problem but created
another problem which I can't seem to solve.
In this invoice we have multiple lots that are grouped so that they will
display as a single line item(The customer wants to see quantity 100 not
27,56, and 17). But, since this is in the group header I'm getting only the
first line item added to my running total and displayed. Changing this to a
group footer band fixes the problem but my misc charges are in the details
so they print before the line item instead of after it where I need them.
I am open to any suggestions!!! I have been trying to figure out how to
either display the running total after it has totalled the whole group and
leave the group in the header OR move the group to the footer and get the
misc charges to display after it.
I hope this makes since...after looking at it for several hours I'm not sure
that I even understand it anymore. If I need to clarify anything let me
know. I appreciate any suggestions.

Mark,
Sounds like a job for SUBREPORTS. I've run into similar problems designing reports that gather pieces from several different areas. If you could make a subreport, link it to the Part number, and just return the Misc Charges, and place the subreport in the Group Footer. That will probably slow the report down considerably, but could solve your problem.

Couldn't get to the Yahoo archive again, so I am posting my question here;
How do I connect with Crystal Reports to my Vantage DB? I am selecting Log
on to Server, but which server type do I pick, or how do I get Progress in
the options?

Paul,
First you have to set up the ODBC driver. Assuming you've done that
you need to choose the ODBC data source that you set up. I don't
know what version of Crystal your using, but in Version 8 you'd click
on the Database button, then open the ODBC folder and choose the data
source. I remember it is quite different in Version 7 but I don't
remember enough to tell you what the screens were like. Hope this
helps.

Do you have ODBC installed on the Vantage Server? And you are running the
report from the Vantage server? OR is the report being run from a client
via ODBC on the client, with the report residing on the client computer?

We have two packing slips...one with our logo and one without, that we'd
like shipping to have the ability to access when they're making a shipment.
The same applies to our Bills of Ladings.
If the capability of accessing two different packing slip documents is
relatively easy to explain, please let me hear from you. If we have to we
can wait for our consultant, but if it's something I can do myself I'd like
to try.

One option - (perhaps a bit complicated on the Crystal side without having seen your Packing slip forms), would be to merge the two reports into one, and have the user enter a parameter when the report runs. Then uses the Section Formater to Suppress sections depending on which parameter the user chooses.
This method might save you from having to hire a consultant or do some fance progress programming (which I have no idea how to do).

Judy,
There is a utility you can purchase from Caesar Developments which gives you
this very thing. It is called the Multi Form Print Utilty. We purchased it
here because it allows emailing of forms from Vantage, but since we also
began using the multi-form option. The way it works is that when someone
presses the print button on a form, a drop-down list comes up which lets
them choose which form they want. Works great! Check out their web-site...

If you have a version of Crystal with report distribution or download the
distribution facility for Crystal 8.0 or 8.5 you can create a second version
of the Packing Slips with no logo and distribute it to the PCs that need it.
They would have to run the logoless version from a favorites item after
print previewing the regular one (to create the .dbf files). Modifying the
form to remove the logo would be very easy. Setting up the distributed
report is pretty easy if you run the distribution files from a server to get
the .dlls etc.. loaded on the PC. Pluses - its free and fast. Minuses -
ongoing admin issues and an extra step to run (the preview step).

You could use a VB variable to control whether the logo prints.
Shipping could check or uncheck a box on the packing slip and a
formula in the Crystal report would conditionally supress the logo
or section.

would like it to mimic the Traveler done in Progress that came with

The standard package comes with a crystal job traveler....
Mine is heavily modified, which you may have a copy of, but I'm not sure
what you want with regard to a progress version.

Gary,
If your goal is to simply get the first record in the list, you could do the following.
Enter the fields in the details section of Crystal.
Sort the fields so that the one you want to see is last on the list in the details section.
Now place the same fields in the report footer (or Group footer if you are grouping by PO or Order).
Now HIDE the details section.
The result will be that the last record will show up in the Footer.

When I want to do this in Report Builder, I just make sure the details are
sorted so that the record I want will always be first, I then drag the
detail fields into the header group band line and suppress all details. It
works for me in RB, I would guess it would be the same in Crystal, but
haven't tried it.

That won't work in my case. The QuoteQty record has a one-to-many relationship
with the QuoteDtl record and the quantity amount can vary so there wouldn't be
any way to sort them logically in order to have the first records (with different
quantities) turn out to be the last read. Thanks.

We are trying to get the customer contact name and phone number to appear on
the Sales Acknowledgement. The name is no problem, but the phone number is
not anywhere to be found in the default table set-up. Does anyone in our
group have any insight on how to accomplish this??

Let's just say things have been better... I really can't comment as I await
a patch yet released. Plus, we are not fully utilizing most modules of
Vantage. The CRM does look promising and is what we thought we were buying
originally. The patch (hot fix?) I imagine will save you the trouble I had.

Let's just say things have been better... I really can't comment as I await

I have a document for Vantage 5.1 to set up ODBC. However I would suggest contacting Epicor for this document to get the latest/greatest. Things may have changed that I don't know about in 5.2. Let me know if you need what I have, though.

Does anyone have an example of progress code that prints a Crystal
Report? I would like to create some reports the same way the Crystals that
come with Vantage are created(Using Progress to export to a dbf and then
call up a report based on the dbf's).

I am trying to print out labels for each line item on a packing
slip. I have accomplished this task and now I must print labels
based on the quantity on that line item. In other words, if we ship
four of something it should print four labels.
This is my first experience with Crystal and I sure could use some
help!

If you use the Std vantage report and change the # of packages field on the
line item to the qty of labels you want, it works correctly.
I don't use this feature of vantage, but if I were you I'd try modifying the
vantage report, or try to figure out how it's using that # of packages field
(Shipdtl.Packages), and instruct your users to modify that field to match
the qty.

Last week we had an AR Credit Memo that was transferred from one group to
another. This group with only the Credit Memo was posted. The clerk did
not review the Edit List before confirming the posting. The Edit List shows
one line item for -2 with a unit price of 146.19. The report then shows a
Subtotal of -292.38 but a Total of -584.76. When the group posted there is
a credit to AR for 584.76 and a debit to Sales Returns for 292.38. Has
anyone else had a problem with out of balance postings? Also, is there a
quick way to correct this?

Have you run a g/l report? Is the G/L out of balance?
If not, you just need to locate the other account that the entry was posted
to and just do a journal entry to correct the problem.
If your G/L is out of balance, then you need to post a one sided journal
entry.
In the company configuration under g/l you can allow out of balance entries.
I urge you to not allow this to be checked, but if you do need to re-balance
the g/l you can use it then uncheck it.

No, unless the report you are distributing uses ODBC. None of our reports use ODBC so this has never been an issue. I use the distribution wizard for reports that use the DBF files. In particular I have separated all shipping info from the Job Traveler and made a new 'Shipping Advisor". Order releases change so much it was a extra work to re-print all the shop operation pages so I made two reports. When they need a new ship advisor they print preview the traveler, bail out and run the distributed ship advisor from the favorites bar. I use the same method for printing a sheet of WIP bin labels they stick on bin cards - all driven from traveler DBFs. Probably as much work for the user as logging in to ODBC but at the time it was less costly than adding ODBC seats.

I finally have my ODBC connection and I have been working on a
report, but I keep getting the following error.....

Good Morning:
I am trying to run a crystal report against one of my companies in
Crystal and I am getting the following two errors. ODBC Error:
[Merant][ODBC Progress driver][Progress]Accessed Denied(Authorization
Failed)(7512). I then click 'OK' and get another error message
stating Error Detected by Database DLL. There is one doc on the
Eportal, but it references the second error and I checked to make
sure my local client has up to date dll's. I have successfully ran
the same crystal report against three other databases, but can't seem
to run it against this one. Any help would be greatly appreciated.

The Part.SearchWord field is populated with the first eight characters of
the part description when you add an item, by default. Unless you are using
SearchWord for some other purpose and the entry person changes the contents,
it may already contain the keyword you need.

tips). Is there a way to print the report from the Vantage Menu? Tech
said I need to purchase a ProVision Utility from my sales rep. Any idea
how much this costs? Or if there is another way?

I believe that is Crystal Enterprise which ships with a limited license with Crystal Report 8.5. Something like allowing 5 concurrent users which in a small company is adequate. Otherewise I think it was really expensive beyond that. See chapter 7 in CR 8.5 User's Guide. We are not doing this yet but I think there were several others on this list using it.

Although I think it could be added to the menus as well (I've done this for Acrobat Reader PDF document access) it might not be wise because only users who have had the report distributed to them could run it anyway - might as well put in favorites for just those people.
Report distribution goes away with Crystal 9.0 but on the other hand with the .Net user interface in Sonoma it may become a lot easier to link to Crystal web distributed reports.

It is a very simple exercise to compile the report using the Crystal Viewer
VB 6 component or the VS .NET viewer. In either case all you are left with
is a single executable that doesn't require the distribution of runtime
.dll's.

A couple of issues have made me reluctant/hesitant to switch from
Report Builder to Crystal Reports: attaching a Crystal Report to
Vantage menu and running from a Progress program.
I think I had a breakthrough Friday.
I'm currently TRYING to write a Progress program that will prompt
user and create a compiled Progress procedure, say CRReportName.r,
that CAN BE ATTACHED TO THE VANTAGE MENU. When selected, it should
preview the report with real-time data.
Has anyone tried this and what problems can I expect?

How to add a compiled Crystal Report as a Vantage menu option.
The following procedure will allow you to call a compiled Crystal Report

.EXE.
This program (.W) file would contain the following code:

What I'm trying to do is create a compiled PROGRESS program that can
be attached to Vantage, that runs the Crystal report without
compiling the report.
This might even replace the Crystal compiler, which will disappear in
the future.
I don't know how far I'll get, but it looks promising. I just
created a R-Code file on-the-fly that previews a .RPT.
There may also be other applications - like a home-spun Crystal
Report scheduler, and Viewer, who knows.

We've been using the Crystal Web Server that came with Crystal 8.0
for a couple of years and its working quite well. I'm able to create
a URL icon for each report, save it on our network and make a Vantage
favorite from that icon. One problem I did run into though, was that
I have a problem making that Vantage Favorite with Win2K or WinXP,
for some reason it only works with Win98. Tech support doesn't know
why and apparently doesn't care, because I'm doing an "unsupported
activity", but it works really nice, we just have to keep a 98
machine around to add/modify report favorites. We'll be going to
Vantage 6 during the Thanksgiving Holiday weekend and that means
we'll be upgrading to Crystal 8.5 which includes Crystal Enterprise,
the new version of the Crystal Web Server.

This program used to just be for scheduling reports, but can now be used
as a viewer also. It supports all of the native parameter prompting and
such. All of the Visual Basic source code is included. Then you can

It's VERY promising. So far, I've written a program that takes user
input, and then generates compiled procedure(s) to preview or print
the report. These procedures can be attached to the menu.
Since you can print without preview, scheduling is possible. I plan
to dig up the source code for my Report Builder scheduler and hope to
make it work for CR also.
I'm starting to feel much better about CR, since I've found the CR
engine can be called from Progress, and there is a method of running
from Vantage.

Dear groupmates,
I've found some calculation problem about MRP time frame in Vantage. When I
issued a new Sales Order with 2 release schedules in two companies, after MRP
run, I found there were two different results of the planned order suggestion
for the past due release (means date before current date) in each company.
In one company, MRP suggested a new Job Order for the past due release. For
example, assume today is Nov 19,03 and MRP still suggested to issue a Job
order for the release that is schedule Nov 15,03 (if the manufacturing time
is 5 days);
However, in another company, MRP just provided a warehouse suggestion for the
past due release and it did not suggest any new Job order for that release.
I feel quite confused about two different results. Is there any system
configuration defined for the MRP time frame in Vantage? Anyone help me to
solve the problem?

Anybody willing to help 'unstump the chump' ?
I modified the crystal ARFORM and named it arform3 and linked it
Vantage. Basically I suppressed some detail lines so they wouldn't print
so that each line does not print on a separate page. I also added some
text fields to the top of the form.
Now, when I add a misc charge to one invoice in a group, every invoice
prior and including that invoice prints with the charge on it, the $ do
not add into the invoice total, nor does the amount print on the group
edit list. But the invoices after it don't have the misc charge.
(The misc charges are on detail line j & k on the original form and on
my change)
Any suggestions as to where to look?

To the fellow bean counters out there, how do you handle your shippers
at the end of the month? The ones that didn't ship that is.
We are on 5.10.135 and we do not flag the shipper as ready until after
it ships, then we go back and add the tracking info, ship date, and flag
shipped and answer yes to the "is this ready" question.
We have lots of shippers open from previous months and I am wondering if
we need to go pull them and delete them for costing and inventory/wip
valuation purposes. The shippers do not show up on the sales order, but
they do show as shipped on the job. (We usually ship from the job), they
do not seem to affect inventory the same way as they do the job.
I did search the archives but didn't find this particular question, so
thank you for your help!

This begs the question, why are shippers (packing slips) created before
actually shipping?
We, too, ship from our jobs and do have that situation arise-occasionally.
Since we are still on 5.0, and costs move to COS at the time of shipping, it
requires a journal entry to move the costs back to WIP. Deleting the
packing slip for us would not be an option since the customer involved is
using the packing slip number as a reference, not our invoice number. In
fact, we have a few customers who don't use our invoice number as a
reference. Ah yes, cash application CAN get tricky!

We are still on v5.0. After reading that the future version of
Vantage (Progress) does not support Report Builder, I need to start
using Crystal for new reports being created, and eventually replace
200+ Report Builder reports. I've taken a Crystal class, then didn't
get time to practice what I learned.
Has anyone copied some Crystal Reports somewhere that others can
download? I am especially interested in Sub-reports.

I'm trying to get acquainted with crystal reports so I can start moving some reports over to it. I need to make a simple 'if > then' statement. I have a field that is either true or false. Instead of it printing 'True or False', I would like it to print 'Complete' when True and 'Incomplete' when false. That was easy in Report Builder but how would you do that in Crystal Reports? I can't seem to write an 'If > then' statement because it wants number for the conditions and not words.

Because it's a true false field, you don't need to compare it to
anything. It returns a true/false case on it's own.

Yup.
Make life easy. Bring up the field explorer (Insert field). Expand the
formula section. Click "new" on it's tool bar. Give it a name. Insert
the formula. Save and close. Drag it into the report.

Try: if {table.boolean} then "Complete" else "Incomplete"
an If statement has to evaluate to True or False, so if you're using
boolean field you don't need to compare it to anything because it's true
or false by it's value.

Yes, Crystal has great suppression options for suppressing fields and
sections of the reports. They can be suppressed if blank or if any
boolean condition is met, very flexible. For dealing with sections,
go into the format section menu. You can suppress a section or
suppress a blank section by checking a box on that screen, or you can
click on the formula button next to those choices and set up a
condition. For dealing with field suppression, choose format field,
on the common tab there is a box for suppres, and suppress if
duplicated. You can also set up formulas for conditionally
suppressing.

You need to buy the current version and downgrade for a fee to a lower
version. This works because I use 8.0 in 5.1 and when I upgrade to 6.1, I
started to use the 8.5 that I already had. Good luck!

Vantage is certified with 8.5 but works quite well with 9.0 and 10.0.
Crystal 9 has an issue with regard to retaining login parameters for ODBC
reports but it is simple to overcome with a VB6 or .NET compile prior to
distribution. Crystal 10 works wonderfully with Vantage 5/6X including
storing connection string information in the Crystal Repository for reuse
across reports.
With the purchase of any version, Business Objects allows you to contact
support and obtain earlier versions for the cost of the media. All you have
to do is provide your license and registration information and they will
ship you the prior version(s).

Vantage is certified with 8.5 but works quite well with 9.0 and 10.0.
Crystal 9 has an issue with regard to retaining login parameters for ODBC
reports but it is simple to overcome with a VB6 or .NET compile prior to
distribution. Crystal 10 works wonderfully with Vantage 5/6X including
storing connection string information in the Crystal Repository for reuse
across reports.
With the purchase of any version, Business Objects allows you to contact
support and obtain earlier versions for the cost of the media. All you have
to do is provide your license and registration information and they will
ship you the prior version(s).

I am trying to link Vantage 5.2 files using Crystal Reports and can't
get the links to work. I am able to write reports on individual files,
but when I try to link subreports or files it doesn't work.
For example: I should be able to link the JobHead; JobOper & JobMtl
files for a report that should list all Open Jobs with the Open
Operations and Material not received. But when I try to link the
JobHead & JobOper I only have one Job show on the report.
I had this working on Pervasive (btrieve) and SQL databases, but I can't
get it to work on Progress.
Any ideas?

Happy Easter all;
Am working with a company in central Wisconsin area that is looking
for someone versed in Crystal Reports that is able to train an
individual in CR or make the reports themselves as needed. We've
recently implemented Vantage and now that things are moving along
everyone wants to see certain things and of course they want it
yesterday. Presently running Vantage 6.1. You can contact me off list.

Please Help, I am new with crystal8.5 and V6.1. I am trying to add a
price to the canned packing slip report. I have created a subreport
with the orderdtl ODBC link but how do I share the lineqtyship field
from the main report to the sub report. I also am getting a 534 error
when I try to use another computer to print the packing slip. We are
using termserve to connect to our server with Vantge. Tech support
keeps telling me I need a separate temp file for all our users but
that seems excessive with over 500users I would need a huge storage
device just for all the DBF files created. Please any thoughts and
advice would be greatly appreciated.

Yes, down to the field level. Go into the "FORMAT" sections of the related
component and work with the SUPPRESS area. To completely suppress the field
or line click the suppress check box. To conditionally suppress click the
formula field on the right and enter your conditional requirements.

We added our purchasing terms and conditions onto the Vantage crystal PO report, the problem is in that when you preview it the terms and conditions go to 4 pages, but we would like to have it on 2 pages. When you print it out there is plenty of room on the bottom of the 1st and 3rd page for the remaining text to fit on but I am not sure how to adjust the margins or whatever to get it all to print on the 2 pages.
Any assistance would be greatly appreciated.

I have a pick list report and depending on what is returned in the
detail i would like to suppress the Group Heading. For example i only
want to show items that come from warehouse 1, if not suppress the
record. The problem occurs when there is more than one warehouse for a
particular item, if the item comes from warehouse 1 OR 2 i want it to
only suppress the warehouse 2 'Detail' section. If the item comes ONLY
from warehouse 2 i want to suppress the headings and the details
sections. any help would be appreciated

We are on 6.1.533 and using Crystal 8.5.
I need to add a field (Part.TrackLots) to an existing Crystal Report (Job Traveler) that is not included in the .dbf's that Vantage provides. I believe I need to add a Subreport and get the Part Table, but I am having trouble with how I only get the info for the part that is on the specific job traveler that I am trying to print. I still have been relying on Report Builder so my Crystal skills are probably not as good as they should be.
Does anyone have a procedure using Crystal 8.5 to add tables/fields that don't exist in the .dbf's?
I would appreciate any assistance offered in this regard.

You get the info for the correct part when you link the subreport to
the main report by PN. I think it is the last step of creating a
subreport.

You can also get to this menu once the report has been added by right
clicking on the subreport, edit subreport links. As Brian correctly said you
can pass through the part number to the sub report. For some examples try

I just went through a procedure today where I had to add fields to
the report data definition so that I could see them in crystal 10
and then add the previously excluded field to the report.
The properties of the canned report in Vantage (OpenPO in this case)
are defined in the Report Data Definition under System Mgmt. Do a
search and find the report you want to alter.
If it is a system report, you are not allowed to alter it so you
have to Actions>Duplicate it and rename it, exit out and then go
back into the recently duplicated report. You can alter this one.
Go to Report Table>Excluded Fields and view the included vs.
excluded fields, find the field you need in the list of excluded
fields and move it over to the included fields. Save.
Next, go to the Report Style Maintenance, define a new style, then
go to Styles>Detail and change the Data Definition to the new
duplicate.
Find the report in Vantage, select the new style and run the
report. You have to do this so that a file is created that you can
then point set the crystal datesource to.
Now go to crystal and Database> Set Datasource Location...
Create New Connection>ADO.NET, then find the report file by browsing
to the server>MFGSYSDATA>Reports>{Your USERID} and select the most
recently created file. Finish, then Close.
Back to Crystal - Database>Verify Database, go through the
resetting process by clicking ok a few times.
Now, you can go to the tables, see the newly included field and add
the field to the report.
I really hope this is what you were talking about.

doing these formula, Can anybody help?
I need to create a report for List of Material, so have connected a
ODBC connection and pulled out fields required.
But i seem to get all the records when i only need the Assembly top
(JobHead.JobNum )line part plus the list of martial's(JobMtl.PartNum)
below.
Any help would be much appreciated.
