Deleting User Accounts

Is there a benefit / reason to delete users rather than disable? I have never deleted, always just disabled. We have been on Epicor for 17 years so we have quite a few disabled users, but they don't seem like they do anything harmful, so just wondering why others delete rather than disable - is it just preference or is there a system reason that I am unaware of?  (side note: in our niche industry we often have people leave employment and then come back to work so its kind of nice to just enable their account again)

You can't delete users account if transactions have taken place against them.  We disable the user and removed them from all Security Groups and access.

Epicor tables often have an "entered by" or "last changed by" field. If the user entered or posted to one of those tables, you won't be able to delete the user.

If you get a pop up that you can’t delete the record because it’s in use like in the BUYERS table. Simply remove the user from the BUYERS table then you can delete the account.

Referential Integrity isn't enforced on the UserFile nor should it be. The records holding "entered by" fields are never used to go back to the User File. UserFile records can be deleted without causing any issues.

One policy for user records and some other master files you can't delete
- add the prefix "Z-" to the description as a visual cue

Helps with master files that do not have an "inactive" field and can't be deleted too
------ the "Z-" will auto sort to the bottom of many lists, dropdowns, etc...

Thanks! It never made sense to me that there would be a link there that was enforced. Apparently somewhere along the line when I was still new to Vantage something stopped me from deleting a user when the only link I could find anywhere was the "entered by"...and I came to a wrong conclusion. Nice to know I can get rid of those old users.

I have been checking the buyer and workforce tables when I disable a user. When happily deleting old users today I found a few other places to look. The authorized users for requisition actions and the User ID field in the person contact table (with a context link of Employee) are other places I found users I couldn't delete. (BTW, we're on 9.05.701.) All disabled users are gone now :)

If you get a pop up that you can’t delete the record because it’s in use like in the BUYERS table. Simply remove the user from the BUYERS table then you can delete the account.

Referential Integrity isn't enforced on the UserFile nor should it be. The records holding "entered by" fields are never used to go back to the User File. UserFile records can be deleted without causing any issues.

Apparently somewhere along the line when I was still new to Vantage something stopped me from deleting a user when the only link I could find anywhere was the "entered by"...and I came to a wrong conclusion. Nice to know I can get rid of those old users.
