{Disarmed} RE: {Disarmed} RE: Upgrading to Vantage 8.0

WOW! I thought going from version 5.2 to 8.03.405A was a jump. That’s a large leap there!

Diane,

We're in the middle of LEAPING from 3.00.632 to 8.03.405A. There is no doubt in MY mind that you can handle this sort of thing, after having read so many of your posts.

Be encouraged.

Well, I posted another question regarding upgrading to 8.0 and did not
receive any responses, so I thought maybe if I reword it. :-)

How many people did the upgrade from a previous version to 8.0 themselves?
Do you have any problems with your database? Do you wish you would have
used Epicor?

How many people actually had epicor come in and do the upgrade? Would you
use them again? How long did it take? Or did you use an outside
consultant / partner?

Is anyone using Epicor to Host and Manage your database? Is anyone using
Epicor just to manage your database?

Sorry for all the questions - after reading some of the post previously on

My two cents (and change)...
1. Migrate to 6.1 first. Everything for getting to 8.x is based on being at 6.1 first. All the data conversions etc...
2. Many of the feature set changes (besides interface) are the same in 8.x as for 6.1 this will help people be better prepared for 8.x
3. Consider the differences and cost/benefit trade-offs in NOT converting the existing data but rather starting clean. Things like better coding schemes for resources or expansion of GL chart of accounts numbering. Look at it as a chance to shed old baggage and re-optimize the system from the ground up.
4. Plan to go directly (by whatever route) to 8.03.4xx...or even Epicor 9.0
5. Examine the magnitude of re-doing all the Report Builder reporting you may have...meaning learning all the new reporting tools as well as more dependence on Crystal
6. Decide if and how much customization you want to tackle as part of the migration. On one hand it is simpler to do none but on the other it means less re-training if customizations are done later.

We are very slowly progressing towards a re-implementation on a new database. I don't have a choice about using Epicor services...it absolutely will not happen here. Once we really commit to the project I expect it to take about a year of very long days with very little room for other projects. We are very comfortable on 6.1 and unwilling to do a potentially very disruptive migration without clear and substantial immediate benefits. Sounds like you're in the same boat. I would advise tackling a migration to the latest 6.1 patch level first. By far the most stable Vantage release in use today. Once there you can run a test system for 8.x/9.0 and better decide how much Epicor help you want to hire.

Sorry for all the questions - after reading some of the post previously on
line and know what we went thru on converting 4.0 to 5.2, it scares me to
death to upgrade to 8.0 (whatever release/patch they are on) We don't have
any problems with 5.2, it has been stable for us, besides the occasional
printing lock up. The was no re-learning/training from 4.0 to 5.2, pretty
simple learning. I have a feeling going from 5.2 to 8.0 is going to be a
nightmare especially while I am responsible for getting our new office in
China up and running. I see a lot of late night phone calls coming from
China that I can not answer.

Any insight would be great.

Thank you,

Dina,
We did the conversion without direct assistance. It went well overall,
but there are some gaps in functionality. Also, we have a very flat
BOM/MOM and everything is make to order, so no BOM/MOMs to convert in
engineering for us. The upgrade process was not good for the work
center to resource group and it created a bunch of resources that we
wish it had not. As was said before, test, test and test again.
Especially when it comes to the conversion. Have a list of steps to
follow, but do it enough times so you could do it without the
instructions before your live conversion. Make sure the features in 8.x
are beneficial to your business, because we went from a xenon 1.?Ghz
server to a DualCore 2.0 (have since further upgraded) and from 2GB ram
to 4GB and every desktop from a P4 2.?Ghz with 256 - 512 Mb ram to Dual
Core 2.?Ghz 1Gb ram + when we went to 8.03 and 4 months later I still
get regular complaints on how slow this version is, not to mention how
difficult it is to those that were used to a more keyboard/button driven
approach vs the more mouse/menu approach of 8.x.

Kathy,
You will find conversion times are more related to hardware than just db
size as they were before. Our 1gb database ran more than twice as fast
when the db was sitting on the fast Raid10 of the server instead of the
slow single drive of a workstation (processors and RAM being close to
equivalent at the time). The nice part is there are several spots to
stop during your test conversions that will let you run the conversion
in steps to get a feel for the total time without having to dedicate all
the time at once for the tests. As stated above, you will want to run
this conversion and test many times before going live. Our conversion
was more like 8 hours before having to log in and set the 8.x system up
they way we needed it for Monday morning.

Something I learned this year a little late. Support seems to be open
on July 4th. Given a chance at a do over, I would have upgraded on July
4th with support available just for the backup.

Best of luck,
Aaron Hoyt

line and know what we went thru on converting 4.0 to 5.2, it scares me to
death to upgrade to 8.0 (whatever release/patch they are on) We don't have
any problems with 5.2, it has been stable for us, besides the occasional
printing lock up.

Thank you,

Well, I posted another question regarding upgrading to 8.0 and did not
receive any responses, so I thought maybe if I reword it. :-)

How many people did the upgrade from a previous version to 8.0 themselves?
Do you have any problems with your database? Do you wish you would have
used Epicor?

How many people actually had epicor come in and do the upgrade? Would you
use them again? How long did it take? Or did you use an outside
consultant / partner?

Is anyone using Epicor to Host and Manage your database? Is anyone using
Epicor just to manage your database?

It is easy to get over the fear of the upgrade process. You need to do a
full upgrade in a test environment first. It can be done during regular
business hours and you get to fill in the gaps in the documentation.
Overall, it's not that difficult. Then use the migrated test db as a
training tool.

I was scared to migrate, not because of the process, but because of the
CHANGES. Yes that evil word that people resist. Overall, I like many of
the changes, but there are a lot of new quirky things that we need to get
used to.

Ed and Aaron thanks for your valuable information. I have been watching this
thread with interest as we are also getting ready to start testing Vantage
8.xxx. With regard to the test, test, test comment - how long would you say
it took you to do the testing and conversion? Our current plan is to start
testing once we get back from Perspectives and are planning for it to take
most of next year, is that not long enough or too long? How many
individuals did you have working on this project?

Thanks.

Overall, I like many of
the changes, but there are a lot of new quirky things that we need to get
used to.

Ed,

Thanks. I am also self taught as well and I am scared to death to do this
upgrade. My masters is in HR, not even close to computers. I use to love
to break them then fix them, which is how I ended up with the Vantage, 12
years ago. But all the stories and post I have read, I am afraid of 8.xxxx.
Which I will say, this is the first time I am doubting an upgrade and
myself. I am normally the first one pushing to be at the latest software
(except for Vantage)

Well, I posted another question regarding upgrading to 8.0 and did not
receive any responses, so I thought maybe if I reword it. :-)

How many people did the upgrade from a previous version to 8.0 themselves?
Do you have any problems with your database? Do you wish you would have
used Epicor?

How many people actually had epicor come in and do the upgrade? Would you
use them again? How long did it take? Or did you use an outside
consultant / partner?

Is anyone using Epicor to Host and Manage your database? Is anyone using
Epicor just to manage your database?

Sorry for all the questions - after reading some of the post previously on
line and know what we went thru on converting 4.0 to 5.2, it scares me to
death to upgrade to 8.0 (whatever release/patch they are on) We don't have
any problems with 5.2, it has been stable for us, besides the occasional
printing lock up.

I have done two major upgrades from 8.0 to 803 then 803 to 405. We
are upgrading to patch A tonight. As mentioned always use a test
environment if possible. You'll need to fill the in missing
instruction gaps. The only thing I hate is that we have to many
upgrade about 2 dozen client machines manually. The auto update
doesn't always work. So count on some additional time for that as
well otherwise everyone will be calling you the next morning saying
they can't log in.

I'd say that is too long. Your users will stop looking at it and when you
convert they will be almost like looking at it new again. Then again, I'm
more akin to the old Nike saying "Just Do It."

Overall, I like many of
the changes, but there are a lot of new quirky things that we need to get
used to.

Ed,

I've performed upgrades from 6.0 to 6.1. Also 6.1 to 80. Also 8.0 to
8.03 and 8.03 to 8.03.400 might as well be considered and upgrade rather
than a patch. I recently started with a new company that uses Vantage as
well, but we are on version 5.2. I have set a date to upgrade this at
the end of November. We started the plan in August. This will give us
roughly 4 months of testing and preparing for this upgrade, which from
5.2 to 8.03.400 is no easy task.

I set up a group of 8 individuals to be the module champions. I am
having them perform extensive tasks on the system . You really can't
test long enough, but you don't want the project to be forgotten about
either. As long as you stick with them on it. Keep everyone excited
about the new version. If you have any other questions let me know. I'll
also be at perspectives this year.

We took more than a year, but I did not have time to dedicate most of
that time. Once I finished Customizations and BPMs, Reports and such,
then I installed it for the users to test. From that time we had some
"forced" training sessions (every key user first and then the rest of
the users with key users again) with the backing of our ownership and it
took maybe a month from the beginning of training. There were still a
bunch of "What the ..." on the morning after conversion, but within a
couple of days everyone was getting things done again. Most of the
problems came from lack of interest in training and therefore not fully
testing how each person used 6.1. There were some that attended
training, but did not believe the cut over would come until 6.1 no
longer started Monday morning.
As for db growth. I would agree with very limited growth from the
upgrade, but we are growing it faster now that we are on 8.x that 6.1
did (not multiples, but a percentage faster).

Best of luck,
Aaron

We did the upgrade from 6.1 to 8.0 Vantage ourselves and will be
upgrading in the near future to 803.4xx ourselves as well. I have been
working with Vantage for over 10 years (Started on Version 2.6) and have
done all the upgrades in between. We are on a Progress database.

The key element is to have a separate server for a test environment and
to practice, practice, practice the entire upgrade process multiple
times, especially the database upgrade process. If you find issues with
your database in the upgrade process, support is available during
regular business hours to work through issues that may be discovered.
Your last test db upgrade should be within a day or so of your go live
date to make sure there are no surprise last minute issues with your
data that might cause problems.

That goes as well to make sure you have key users practice/test all of
their activities on a test version of your live database using the data
that looks and feels real to discover any issues long before you do the
actual upgrade. This includes all customized reports and forms.

I have found success in following these type of steps. We try to have a
very detailed plan in place and try to have as many key users involved
in the process of testing.

We just 'upgraded' from 8.00.811a to 8.03.405a 3 weeks ago - was
tested numerous times and had test environment setup for key users
to 'discover' any items that needed to be addressed before the
switch. Even then I was swamped for almost a week with crisis after
crisis that was not discovered or tested in the test environment....

A further note: We have two dbs running. One is out 'live' production
db and the other a small subsidiary. During the 'upgrade ' I did a
straight upgrade to the small db and did a full blown conversion and
dump and load for the production db. The small db gave us errors when
altering sales order lines. Did a dump and load on that db and errors
disappeared.

Be prepared YMMV
