Document Attributes

Business Case

We are looking to identify parts or models with required documents. These would be bundled in a package and electronically sent to the Customer once the order ships. or stored on a One drive / SharePoint document library.

My question a part or model could have several documents a total of a possible 65 documents none will have all of them. I would like to identify them as easy as possible. But also make it searchable what are some ideas people have.

Do you have Epicor ECM (and APR)?
This sounds like an interesting use case for APR/ECM Workflows and possibly ECM Package Works. These things will allow you to effectively start a workflow process that can interact with the Kinetic database and evaluate/interpret the variables requires to build a ‘package’ of documents and then deliver them to the appropriate recipient. Once the package is ‘created’ it is a valid object in the system and can be searched/viewed & processed at a later date.

(And an interesting presentation for next year’s EpiUsers group presentations :wink: )

we do have ECM and APR that is an interesting idea. I will take a look at right now we are deploying AP Automation right now with ECM. I dont have much training at the moment with the workflow portion of the document management. Will have to look into that more. Are there some documents on this I can review and look in to this.

Docs are scarce right now as the product keeps getting updated. Best bet is to find these things in the online/embedded help from within ECM.

First - Workflow training will come with the AP Automation piece. best to get deep into that now and learn because you can do soooo much with it.
Second - Datalinks - play with and build some of those. You’ll use them all the time once you get going in Workflows.
Third - Find the Package Works stuff.

Once you understand your requirements (variables and documents) then you can start to build the workflow, datalinks, and packages.

A lot of us use the system for bits and pieces of something like this, but you need to pull it ALL together :slight_smile:

Just be careful as you may not have all of the licenses required to do this. Not trying to be a bummer, just don’t want your excitement dashed like mine was once.

APR is a Kinetic license - and it’s cheap.

Package Works is an ECM license, as is Workflows - but I’m not sure if that is included or separate from the AP Automation license.

EDIT - And Datalinks - that’s an ECM license as well but might be part of AP Automation too.

If you were using Track Lots on your parts and had a few savvy BPM’s, then everything could start with the PO Receipt Entry process and use the Document Management module to attach any documents to the receipt and via BPM copy to the Lot, and then every time that Lot is used, copy the attachments from that Lot to the next Job via BPM and ultimately to the new Lot going into inventory via BPM and from Inventory or from the Job to the Customer Shipment via BPM. Then all documents are now attached to the customer shipment and you can print the entire package.
