Duplicate Purchase Orders

We have a daily automated report of sales orders entered the day before. It
compares revision's and a number of other for correctness. I would imagine
you could create some tests that would flag apparent duplicates.

OUht to be pretty easy to create a SO/PO audit report in RB and do a
pre-pass count on the number of SO's with the same PO then filter (or do
band selection) the report to show only those with > 1 (or whatever rules
fit your situation). Run once a day (or more) and catch them before they go
too far? At least that's the way I would approach this.

Have your sales order entry people to set the default sort in the SO browse
to "PO". Tell them to click on the Binoculars first and search for
duplicates before entering.

I am all ears about this issue also.
I have created a RB report that our shipping or customer service departments
should run every day around 4:00 pm to catch the duplicates. After a while
they get bored by not catching anything and they stop running it. Then,
ZAP!!!
Before that I had a policy for the order entry person to search for the PO
Number before adding a new SO. Just couple of more steps. ALT+ARROW DOWN,
type the first few numbers of the PO then TAB, IF NOT FOUND, ESCAPE then
ALT+O+A.
We have average of 200 SO's to enter each day. The order entry personnel
thought checking the PO was taking valuable time from their daily chatting
and magazine reading time.
If you do not have a lot's of orders to enter it may work for you.

One of the good things about the vantage SO audit log is you can see who
entered the second order against the same PO. If you make it your company
policy that they must check for another SO against the PO before an order is
entered, then if you find duplicates, you can see who did it and reprimand
them. If they don't stop, this would be grounds for dismissal.

Alternatively, you could have certain SO entry people required to set up
orders for certain customers. People usually will notice if they are
entering a duplicate of something they already entered.
