Email Reports to Users in Epicor

Anitha,

If the report is a pure ODBC report, we use a tool called "Crystal Delivery" (Groff Automation). This allows us to run the report in a batch mode, allows us to specify parameters to pass to the program, defines the output (pdf, html, printer, etc.), and then we email the report.

We have a number of "scheduled" reports that go out via the windows scheduler, as well as "ad hoc" reports which get kicked off by a user (they check a box, we have a BAM on the box that writes a file, then we pick up that file and run the report).

The downsides to this method are that they need to be ODBC only reports, haven't figured out how to pick up a BAQ/XML report. We're finding that lots of ODBC connections are causing problems, so we'd really like to figure out how to pick up a BAQ report.

But how do you do with a Vantage report (system or BAQ)? You need to schedule the report to generate its XML, and then you have to run the RPT and XML file in the crystal runtime, and then send e-mail.

I've never been clear on this and would love to see some specifics.

I have been trying to work this out but this is how far I have got. Sorry the details aren't here , its time to go home but gives you an idea...

It assumes a schedule email / report also assumes a third party tool but a bit code can be easily written


1) Create a New Vantage USer > E.g. VantageReport. This is so that the schedule report dumps the xml into a specified folder.
2) Create a schedule weekly etc or whatever
3) Add a report to the above schedule
4) Copy the crystal report and rename
5) On the windows create a batch file

CHECKS

IF EXIST "D:\epicor\mfgsysdata\Reports\VantageReport\BAQ Report -VTProjectNA-*.xml" GOTO TRIGGER_1

GOTO FINISH

:TRIGGER_1

Copy "D:\epicor\mfgsysdata\Reports\VantageReport\BAQ Report -VTProjectNA-*.xml" "D:\epicor\mfgsysdata\Reports\Reportsbin\BAQReport-VTProjectNA-.xml"
DELÂ "D:\epicor\mfgsysdata\Reports\VantageReport\BAQ Report -VTProjectNA-*.xml"

:FINISH


You will need to change the relevant info. This checks for a file in the vantagereport file copies it create a static xml and deletes the original . schedule it so it has time for the xml file to be completed. e.g. 30mins later.

6) create a folder for the new xml. Reportsbin as above
7) Run the process manually to generate the xml
8) Taking the copy of the crystal point to the new xml file.
9) Using Groff automation, or another tool, create the scheule to generate the pdf and email. Or a bit vb code etc...

Its tricky at first but the trick is to get a static filename for the xml.....
