Import /export utility

Dan, you mentioned "Unfortunately, if you want to migrate data
yourself, there is no getting around trial and error to learn the
Vantage database structure."

That is my big concern - how or where can I view the relationships
between the various tables? Is there a tool available that will show
this? Why am I updating PartDescription in more than one table
anyway?

We have been having Epicor do the conversion but that is not
something I want to continue. We are fully capable of handling that
ourselves, we just want to know/see the relationships so that we can
do it correctly.

Don't dare ask Epicor. We are version 8. One of the reasons we bought
Vantage was the ease in which we were supposed to populate data. But it
has been a struggle in receiving a strait answer from support.
Migration says you need to be a genius in order to populate the
database. Obviously there are none to be found, because we struggle
with the data migration services we were rooked in to buying. When it
comes to databases we have one of the strongest players in town. At a
previous employer, we had M2M and had no problem in populating the data.
We knew the data mappings and I think it took us 20 minutes max. With
Epicor they treat us as if we were dummies. I think they use this as a
revenue stream. I have asked several times to give us the tool or data
mappings so I can add, or append, or update fields, but run into a brick
wall.

Actually, all you need is the proper documentation for the database
structure.



With a relational database you must fill the lower level master tables
before you fill the mid-level tables before you fill the top level tables.
Etc.



Or, you can't fill a customer table until you first fill the related tables
like "Salesman".



You can't fill a routing table before you fill the work center tables which
can't be filled before you load the machine table.



Once the structure and the sequence are setup the rest is easy.



Typically what most companies want to load are the big three clusters -
CUSTOMER, VENDOR, ITEM/PART ( including BOM ).



This doesn't take a genius, just the proper documentation of the procedures
required.



If you tell support what data you want to bulk load into your database they
should be able to give you the proper sequence for the tables that need to
be loaded.

While Epicor no longer makes it's own import tool for v8, Epicor does sell a
third party tool (Pervasive Data Integrator
http://www.pervasive.com/dataintegrator/) and the associated data import
maps. The maps take data from a spreadsheet format that Epicor provides and
populates the proper tables. This is the tool that Epicor's consulting
services uses to migrate your data. The tool and the maps are pretty
expensive though.

Dump&Load? I suppose you are talking about upgrading from Vantage v6 to v8?
If that's the case, a dump&load might work, but I think it would only work
if the specific table in question hasn't changed from v6 to v8. The

Our project is on hold, so I haven't ordered the tool/maps yet, and
therefore I don't know if they include specific directions or not. Maybe
someone that has purchased it can tell us what kind of directions are
included.

My guess would be that Epicor provides very little documentation since they
want to do the data conversions themselves. I'm sure they want the revenue,
but there are other good reasons for Epicor wanting to do it. Every
implementation has different requirements and if data isn't loaded properly
(like fields or tables are missed) it can cause problems with the operation
of the system. Unfortunately, if you want to do it yourself, there is no
getting around trial and error to learn the Vantage database structure.

I usually break down database structures into 3 main layers -



"Master tables" - Major = Customer, Vendor, Part ... Minor = Workcenter,
salesman, tax codes, etc etc etc



"Production tables" - Major = Sales orders, Purchase Orders, Shop orders,
Invoices etc . Minor = History, log files, etc



"Work tables" - tables that only contain data during processing cycles or
reporting etc



Which "Master Tables" do you want to load if you don't want to load
Customers/Vendors/Parts?



I'd start with making a specific list of the tables you want to populate.

Todd,
I told Epicor that I wanted to load our master tables only. I did not
want to bring our
Old customers, vendors, parts, etc into our V8 db. I stated that our
open SO's, PO's, WO's,
Invoices would be manually entered. I was told that they would have to
do it via a dump N load.

Sorry for butting into your conversation, but I don't believe these
statements are true, at least not with any relational DB's I've ever
dealt with. Master Files must be populated before the lower level
tables.

Todd,

You are correct, you could do cut and paste to load some of the smaller
tables. Maybe even some of the larger tables with a scripting tool like
GroundControl. You could also do manual data entry and call it "user
training". Every implementation will be different, it will have different
data input needs and different skill sets for the people doing the
inputting. For new Vantage users there are also the considerations of
fields that Vantage requires that you didn't have before and custom fields
that you need that vantage doesn't have out of the box.

Following this conversation I am getting a little confused. I have not seen
any mention of cut/paste via grid entry for the smaller (several hundred or
less rows) master tables. My impression was that when I get to that point I
would be dumping these to Excel and then cut/paste them into a grid for
updating. Since these are one-off tasks a day or of manual loading would
nto be too bad. Yes, the larger tables would be impossible but the smaller
ones should be OK. Am I missing something or making a wrong assumption
about grid entry bulk adds?

Dump&Load? I suppose you are talking about upgrading from Vantage v6 to v8?
If that's the case, a dump&load might work, but I think it would only work
if the specific table in question hasn't changed from v6 to v8. The
original poster was migrating from another product (Made 2 Manage) to
Vantage, so it wouldn't work for them.

Progress does have import utilities built-in or you could use MS Access or
some other ODBC compliant tool. I'm considering the Pervasive tool for it's
data scrubbing capabilities (much easier than Access programming for me).
It would save time in our project, I'm just not sure it would save enough
time to be worth the cost. Unfortunately, if you want to migrate data
yourself, there is no getting around trial and error to learn the Vantage
database structure.

A matter of definition I suppose.



I consider Customer a higher level master table than Salesman. You cannot
populate Customer until you populate Salesman first. Or, to put it
differently, you cannot populate a table that references other tables until
those tables are populated.



Both are master tables.

From the databases perspective, I don't think it matters which is loaded
first (master or control). At least it hasn't mattered in most SQL databases
that I've dealt with. That being said, I try to do the smaller control
tables first (simply as a matter of practice) since applications typically
require them to be setup first. For example, when in the Vantage you can't
set the part class in a part record unless the part class table is already
populated.

Technically, you can populate tables in any sequence that you like providing
that:

1. You have no interaction with the application during the process and

2. You do not result in orphaned references once you are complete

It is easier for most people to view the process as beginning at the upper
end of the hierarchy and proceeding across the branches of foreign keys but
there is no technical requirement to proceed in that manner.
