Linking a PO to a Sales Order

We have a situation where a PO was created to buy a Part on the Fly. It was received. We received the Order after the fact and now need to sell it. Is there any way to link the PO to this Sales order now?

The linkage is at the release level. If you want to enter the SO release info in the PO release (which is where the link occurs), it appears you will have to unreceive the item, if that is possible (not possible if gone through inspection).

If you have DMT, you might be able to update the PO release record with the SO release info (I have not tested this). You might also have to update the SO release record if the update to the PO release record does not populate the SO.

If that is the case, it doesn’t seem like we should buy an item for a sales order without first writing the Sales Order. Was just hoping we could buy something in anticipation of receiving an order.

When you say “to buy a Part on the Fly”, do you mean a part not in the Part table or to buy on the fly without any demand? Or both?

Technically both, part on the fly as in it isn’t a part number. When received the cost goes to inventory, but there is now no way to get that cost out of inventory as far as I am aware.

There is something called a Planning Contract which allows you to create a demand and then link it later with the real demand when it comes in. I have not tried it with POTF though…

May have to give that a shot in the future.

I’m assuming you mean that the GL Control Code on the PO Release was detailed to an Inventory GL account… because by definition a non-part-master part on a PO Line means it is a PO Type of Other… so the quantity doesn’t exist as there is no bucket for it to have landed in.

This is correct. The PO Release was for Other, but the cost is now in the inventory account. Is there a type of journal entry you can do to move the cost manually from Inventory?

I’m not a Finance type, but I would imagine a manual entry that credits the Inventory account and debits whatever Expense account would put the dollars where you want them.

This transaction will do nothing for any quantity.
