# Loading AP Invoices with DMT **Category:** [Epicor ERP 10](https://www.epiusers.help/c/e10/5) **Created:** 2016-10-07 11:55 UTC **Views:** 16884 **Replies:** 40 **URL:** https://www.epiusers.help/t/loading-ap-invoices-with-dmt/35731 --- ## Post #1 by @LarsonSolutions I am using DMT for several other areas of the system and would like load AP Invoiced that will be pre-matched to existing receipt lines. Anyone have success doing this? This is not Open AP Invoice load as I need to match to the receipt line. THanks for your help. --- ## Post #2 by @weisertw I've been attempting to do that but have not had any luck getting records loaded using the 'APInvoice Combined' load. Attempts generally fail with an 'APInvHed record not found' error. Required fields are all populated along with a few additional fields. I've run with only the 'Add new' checkbox clicked so there's clearly something wrong assuming Epicor intends this to be used for invoice creation as well as open invoice maintenance. Hoping you've had some success since October. --- ## Post #3 by @LarsonSolutions No success - I have parked it for a while. This would be a big, win. The only solution I can think of now is via service connect.. I'm looking at doing hundreds of invoice lines at time. THanks for the note. --- ## Post #4 by @markdamen I use APInvoiceCombined to import records routinely. I get a CSV file from one of our suppliers, and I’ve configured an SSIS (SQL Server Integration Services) job to manipulate the data into the form required for DMT and then I call DMT using SSIS to import it into Epicor. Are you having trouble with APInvoiceCombined getting it to work at all, or is your error with the Receipt Lines? I know that I had some struggles with the column order in the DMT import file. I have not had luck with this, and have you found the order of the columns at issue ? Latest issue I have had is that it doesn't recognize the Invoice Num as a valid invoice number.... I have tried to load in separate tables, but will be working on the combined one now. Looking at loading the invoices as un-received lines then I could use the invoice matching program to validate the load. Thanks for your help. Bruce --- ## Post #6 by @markdamen Hi Here are the 1st 2 lines from a working AP Invoice Combined template: "Company","GroupID","VendorID","InvoiceNum","InvoiceDate","Description",ScrDocInvoiceVendorAmt,"TermsCode","PMUID","TaxRegionCode","APInvDtl#InvoiceLine","APInvDtl#LineType","APInvDtl#PartNum","APInvDtl#Description","APInvDtl#ScrVendorQty",APInvDtl#ScrDocExtCost `"BVD","LANG","LANG","H2199412","10/01/2017","Deliveries on 06-Jan",79.59286,"06EM","6","UK","1","M","ZZ3PT","97217","1",63.93` You'll need to check things like TermsCodeID, PMUID (Pay method) etc to ensure you set values relevant for your environment. Also, check that you've using the latest version of DMT for your version. Regards Mark --- ## Post #7 by @LarsonSolutions I just realized that I hadn't gotten back to you. Things are beginning to come together. Thanks for the help Bruce --- ## Post #8 by @markdamen Excellent, good to hear. --- ## Post #9 by @Carol.Hein Mark, We are doing the same thing. Getting an extract from Concur, using SSIS to populate a DMT file using the APInvoice Combined template. This is to automate the entering of miscellaneous expenses, some related to jobs, others have gl accounts and then a payout line either to the employee or company credit cards. So now, I have J type lines in one template and M type lines in another. It almost works except I have many GL Accounts to one Invoice line and the DMT always errors out on the first GL sequence per Invoice line no matter what GL account it is. I can attach my template. If you have any ideas, please let me know. Thanks in advance, Carol Hein DMT-APInvCombined.xlsx (97.6 KB) --- ## Post #10 by @markdamen @LarsonSolutions Sorry for lack of reply on this post, but as I just updated DMT on a server I saw this in the changelog: DMT 4.0.29.0 Enhancements All Import windows - "Update" and "Add New" check boxes will now be automatically unchecked on selecting/checking "Delete" Fixes AP Invoice Combined Adv Billing - Fixed issue of DMT rejecting invoice for InvcDtl#LineType != "J" or "M" What version of DMT are you running? --- ## Post #11 by @Patricio Hi, I've been trying to upload an AP Invoice with Job details and I just can't. The group, invoice header and line get created successfully but not the job details and I'm going out of my mind. I used Carol's template (J Tab) and still nothing.. Something I noticed is that Epicor tells me that "Invoices Line amount cannot be different than G\L Distribution Total when I try to add a new line just to see what else i need to fill in. The DMT version: 1.0.28.0 -- Can it be that with this one it just can't be done? --- ## Post #12 by @Carol.Hein Patricio, I did total all the job detail amounts to put in the line detail amount for the J type line (Invoice Line 1). I totaled all the gl account distributions to put in the line detail amount for the M type line (Invoice Line 2). I loaded the J type first and then the M types second. The third invoice line is an M type and it equals the other two lines as a credit to balance the invoice to 0. The weird thing is that this only seems to work if I put the APInvExpTGLC#TGLCTranNum to 0 on the first gl line and 1 for the rest of the gl lines per invoice line. I'm not sure if this is the correct way. We are still in testing mode to see if this works for us. The DMT version we are running is 4.0.32.0 for 10.1.600. --- ## Post #13 by @DarrenNavi Hi Team Having an issue loading our invoices using DMT. It is returning: > Table: APInvHed Msg: A valid Invoice Number is required. Can anyone assist with this error or how we can reformate. I have attached a copy our our test upload. Using the APInvoice Combined Method. DMT 4.0.32.0 for 10.1.400. Thanks for your help team! Send Test file.xlsx (8.2 KB) --- ## Post #14 by @Kanokwan Hi I had found these error from my test file , there are 2 issue i'm facing. 1. Window and excel version, i'm didn't success in excel old version only excel 2016 64 bit can loaded successfully 2. Vendor id require put ' in front of the VendorID code . ![image|690x141](upload://agn5Q28JdKzLyrwnSRA2UGjlLmN.png) Hope this can help . --- ## Post #16 by @DarrenNavi Hi Team To update I was able to upload a misc invoice but not one related back to a PO. Keep getting this error: ![image|690x183](upload://oQ6hnIXdyXREpdK81JPJImLQ6YT.png) See my upload file for reference. AP Header SEND.xlsx (11.4 KB) Thanks for your help --- ## Post #17 by @Banderson Did you receive the lines? Receipt entry. --- ## Post #18 by @DarrenNavi Yes. It is sitting in the RcvDtl table. It went to inspection and I passed the whole quantity. --- ## Post #19 by @Banderson Will it come into a group through the normal invoice processing? Is the receipt perhaps in a closed period? (I apologize, my accounting knowledge is quite limited) --- ## Post #20 by @ckrusen
Did you receive the lines? Receipt entry
Even though OP said yes .... I thought that you could enter AP Invoices prior to the actual receipt. It's that you just cannot select them for payment unless there's a matching receipt. Please let me know if this is incorrect. --- ## Post #21 by @DarrenNavi Yes I was able to create in the invoice using the standard invoice process group method. --- ## Post #22 by @Banderson
Even though OP said yes … I thought that you could enter AP Invoices prior to the actual receipt.
I think you can manually enter them, but to bring them in automatically, it looks for and un-invoiced receipt. If it's coming in through the UI normally, I don't know what else to check for. Sorry, that's the limits of my knowledge on the accounting side. --- ## Post #23 by @ckrusen I assume you're trying to add a new invoice and not update an existing one. Do you get the error with just the "Add New" box checked in DMT? Maybe try adding APInvDtl#InvoiceNum to your data. --- ## Post #24 by @DarrenNavi Hmm some progress. Looks like Creating the Header, using AP Invoice Receipt to bring in the details from receipt and then updating the AP Detail Record with the new invoice amount seems to work. Its quite a step process and not as ideal as I would have hoped. Now for the tax... --- ## Post #25 by @JMyers56 I'm having similar issues loading AP Invoices via DMT. We used the AP Invoice Combined template in E9 to do it, but now the same template won't set the GL Account we need on the invoice line. I've tried manipulating the template to set fields in APInvExp as well as APInvExpTGLC, which is how we originally set GLAccount, and using both data sources to no avail. Has anyone had ANY success doing this in E10.2? I've attached a test file we're trying to load as well. APInvCombinedTest.csv (2.1 KB) --- ## Post #26 by @markb_wi I have had some success with the Misc invoices in 10.2, still struggling with the inventory receipts. Here is my working Misc Invoice template. It's the combined template.AP Invoice Combined.xlsx (10.5 KB) --- ## Post #27 by @JMyers56 Mark, we got the issue resolved with the newest update to DMT(4.0.42.0). There was a bug in DMT that prevented update of the GLAccount at the same time as creating an AP Invoice, however it’s supposed to be fixed. Thanks to all on the DMT development team for their hard work and quick response, especially Gary Parfrey! --- ## Post #28 by @lmeeks I downloaded the 4.0.42.0 and My GL account still will not create the correct account. I have attached the template I am using. Any chance I could get some feed back on the template? Thanks, Lisa Meeks New AP Comb Inv WI with changed GL.csv (1.3 KB) --- ## Post #29 by @JMyers56 Lisa, I’ve attached our template we use to create AP Invoice batches. In our case, we don’t need to specify a GL Account as we attached a GL Account to our Vendor entries, so it’s using those as a default when creating the invoice. APInvCombinedExample.csv (449 Bytes) --- ## Post #30 by @vcortes what process are you using to upload this via the DMT? we have DMT Version 1.0.4.3 for 8.03.409. we don't have a menu on DMT to update AP records only "Financial" --> "Open AP Load" --- ## Post #31 by @markb_wi Darren, I managed to get the Misc lines importing just fine but am still having issues with the receipts. Would you by chance remember which fields you used for AP Invoice Receipt and AP Detail record to make this work? I get an internal server error with the combined template and on the Invoice Receipt I can run it without errors but it doesn't look like anything is happening? --- ## Post #32 by @DarrenNavi Hi Mark Try this one. It worked for us Send sample ReceiptLines.xlsx (8.9 KB) --- ## Post #33 by @markb_wi Thanks Darren, this template is doing the same thing. While poking through the trace log I noticed that it's not passing 'SelectLine' to the business object correctly so I opened a help desk ticket. I don't know which version you're on but I wonder if it's broken at this time. ![image|585x499](upload://g69u3BP6WETPB9REfRXOa2MdqXD.png) --- ## Post #34 by @DarrenNavi Hi Mark Did you try using bit format for that field (0/1) instead of the True/False --- ## Post #35 by @markb_wi Thanks Darren but it did not help, last week it was elevated to a problem PRB0213286 This section of DMT is a hot mess, misc invoice line GL mapping on version 4.0.43.0 did not work, I had to revert to 4.0.42.0. Today I tried the brand new 4.0.44.0 and the misc invoice issue is fixed but this line type R issue still remains. --- ## Post #36 by @rgross I'm having the same problem also. I'm able to upload and create my AP invoice with line and job details, but not able to add a material to the job. Were you able to resolve this issue? --- ## Post #37 by @Patricio Hi Roger. No, I wasn't. If I remember correctly I reported this to Epicor and they told me that in this version that action didn't work and that I needed to update DMT to the newest version. I did but to be honest I didn't do the exercise again. Hope this helps! --- ## Post #38 by @Mohamed_Yusuff_S Hi How to Map GL Account to the Invoice Line . I tried but getting Error as Invalid Distribution Amount --- ## Post #39 by @MattG Mark, Did you ever find a resolution for this by chance? We are trying to import invoices from Concur using DMT that have POs and Receipts being matched up. The combined process does not work for this due to a system pop up that comes up when you manually do this in Epicor according to support on the DMT side of Epicor. We were attempting to do it individually by creating the Header first and then the Receipt record with the "AP Invoice Receipt" process in DMT as mentioned further up by DarrenNavi, but we are also getting a generic system error like you described. We don't have any issues using the combined process to import invoices that don't have POs/receipts associated with them, but are struggling trying to implement for the invoices that have PO and receipt references. --- ## Post #40 by @markb_wi Sorry Matt but we have tabled that project for now. I am hoping to get back to it as some newer versions have come out since. --- ## Post #41 by @MattG Okay, thank you for the reply. I'll reply to this post if we figure anything out with it on our end. --- ## Post #42 by @Neverunmacron Thank you for the template!!!! --- **Canonical:** https://www.epiusers.help/t/loading-ap-invoices-with-dmt/35731 **Original content:** https://www.epiusers.help/t/loading-ap-invoices-with-dmt/35731
