You may not be aware of this, but there is a copy of NTBackup.exe on the
Exchange 5.5 Server CD that will allow you to use NT Backup to backup all of
the mailboxes on the server. Best of all it is free. You may want to look
into that instead of what you are attempting here. Check your CD.

specific mailbox as part of bat file containing all mailboxes?

- Use a Outlook Macro to issue the commands?

I sort of like the idea of writing a Macro to issue the "Export/to a
file/pst/mailbox name/all-sub-folders/put it here" idea.

Does anyone know how to write a Outlook Macro to do this or does anyone have
a better idea?

Is this utility available any place else beside the Exchange 5.5 Server CD? I would like to do the same thing, but we don't have exchange. The only thing I have come up with is to create a batch file for each that will copy over their *.pst files to the server in a specific place.

Any other suggestions?

Ted, Doesn't this just backup the entire exchange information store?
So you would have to restore to exchange....not a quick process if the
server dies.

I force our outlook to use a PST file on the Server, then have the server
backup the PST files. Its all automatic.

Also gets to be a problem if you want to just restore 1 mailbox. According
to the Exchange manual they suggest restoring Exchange to a backup server,
then access the info you need via Outlook, and then manually transferring
the info to your production Exchange server. Tedious at best - not workable
if you don't have a backup server laying around idle. ( I wish )

For myself, once a week, I do:
"File"
"Import and Export"
"To a file"
"Personal file folder (PST)"
"---pick a mailbox / include ALL sub folders"
"---pick a location"

This goes over the head of most of my users ...

Yes, us too. Each user has an outlook folder on the server, it contains
archive.pst, and mailbox.pab - all emails are backup up here as our server
is backed up nightly. I believe this is set in the outlook options...

Since you already have PST's created it should be fairly easy. You'll have
to reconfigure each outlook. I setup private directories for each user on
the server, made those directories as home base for all of the users. Find
the individual PST and cut and paste them into the User directories. ( set
security so that Admin and the user has the only access). With Outlook 2000
you go to Tools add a Personal Folder then browse to your PST file. All
done. In Outlook 2002 you have to do a bit more fiddling to get things
right but it pretty much works the same way. I also tell users that they
store data on their local machines at their own risk. Most don't now, I've
warned enough times and had workstations vaporize data enough times that
most listen.

If you're keeping the live Outlook PST's on the server, doesn't this degrade
network performance? The way I understand it, when Outlook reads one email,
it accesses the whole PST file throught the network. And some of those can
get pretty big.

Since you already have PST's created it should be fairly easy. You'll have
to reconfigure each outlook. I setup private directories for each user on
the server, made those directories as home base for all of the users. Find
the individual PST and cut and paste them into the User directories. ( set
security so that Admin and the user has the only access). With Outlook 2000
you go to Tools add a Personal Folder then browse to your PST file. All
done. In Outlook 2002 you have to do a bit more fiddling to get things
right but it pretty much works the same way. I also tell users that they
store data on their local machines at their own risk. Most don't now, I've
warned enough times and had workstations vaporize data enough times that
most listen.

Given Exchange V 5.5 and MS-Outlook-2000 ... ( And the lack of a good way to
backup and restore individual mailboxes ... )

I'd like to take 1 PC, install Outlook, add the mailboxes for our key
employees, and then once a week export every mailbox to a PST file as a
backup in case of emergency. ( 1 mailbox = 1 pst )

Options ?

- Use a keystroke/mouse recorder like Ground Control or AimKeys ...

- Use a command line switch to tell outlook to create a pst file for a
specific mailbox as part of bat file containing all mailboxes?

- Use a Outlook Macro to issue the commands?

I sort of like the idea of writing a Macro to issue the "Export/to a
file/pst/mailbox name/all-sub-folders/put it here" idea.

Does anyone know how to write a Outlook Macro to do this or does anyone have
a better idea?

We haven't had any noticeable difference in performance. But then all the
workstations are a gigahertz or better, the server is 2.5 gig with a gig of
ram. The server drives are 10000 rpm scsi and we've replaced our hubs with
a 100mhz switch. If there is a performance hit I'd say our infra structure
is robust enough not to cause a noticeable slow down. A workstation does get
a noticeable hit when I forget and leave the Task Scheduler service running.
I've looked at performance graphs and with the workday in full swing
capacity was never over 5%. The one bog I had was when the company
president had his "band flyers" (don't ask) emailed to 200 recipients all at
once. Each transmission was about 4 megs. Not a test I had been planning
for, capacity went sky high for a long time.

Probably not the best but I have W2K server, under Administrative tools
there is a little performance program. You can add a nice list of things to
watch on the graph and see what kind of activity is hitting the server. You
have to find which works best for you because there are a lot that you can
include. After a while you can pretty much get a "gut" feeling on the heart
beat of your network, and what kind of hits you're taking.

We haven't had any noticeable difference in performance. But then all the
workstations are a gigahertz or better, the server is 2.5 gig with a gig of
ram. The server drives are 10000 rpm scsi and we've replaced our hubs with
a 100mhz switch. If there is a performance hit I'd say our infra structure
is robust enough not to cause a noticeable slow down. A workstation does get
a noticeable hit when I forget and leave the Task Scheduler service running.
I've looked at performance graphs and with the workday in full swing
capacity was never over 5%. The one bog I had was when the company
president had his "band flyers" (don't ask) emailed to 200 recipients all at
once. Each transmission was about 4 megs. Not a test I had been planning
for, capacity went sky high for a long time.

If you're keeping the live Outlook PST's on the server, doesn't this degrade
network performance? The way I understand it, when Outlook reads one email,
it accesses the whole PST file throught the network. And some of those can
get pretty big.

Since you already have PST's created it should be fairly easy. You'll have
to reconfigure each outlook. I setup private directories for each user on
the server, made those directories as home base for all of the users. Find
the individual PST and cut and paste them into the User directories. ( set
security so that Admin and the user has the only access). With Outlook 2000
you go to Tools add a Personal Folder then browse to your PST file. All
done. In Outlook 2002 you have to do a bit more fiddling to get things
right but it pretty much works the same way. I also tell users that they
store data on their local machines at their own risk. Most don't now, I've
warned enough times and had workstations vaporize data enough times that
most listen.

I force our outlook to use a PST file on the Server, then have the server
backup the PST files. Its all automatic.

Given Exchange V 5.5 and MS-Outlook-2000 ... ( And the lack of a good way to
backup and restore individual mailboxes ... )

I'd like to take 1 PC, install Outlook, add the mailboxes for our key
employees, and then once a week export every mailbox to a PST file as a
backup in case of emergency. ( 1 mailbox = 1 pst )

Options ?

- Use a keystroke/mouse recorder like Ground Control or AimKeys ...

- Use a command line switch to tell outlook to create a pst file for a
specific mailbox as part of bat file containing all mailboxes?

- Use a Outlook Macro to issue the commands?

I sort of like the idea of writing a Macro to issue the "Export/to a
file/pst/mailbox name/all-sub-folders/put it here" idea.

Does anyone know how to write a Outlook Macro to do this or does anyone have
a better idea?
