OT check signatures

We started with our bank, they had no suggestions at all.

Thanks to all who responded, I think we will research the paymaster
suggestion.

If you are using exchange server, you can install the "key management
function" and request
a digital signature from your exchange server. Your exchange administrator
will have to set
the user up on the server and the user will be prompted to supply a security
token code that
is provided by exchange. Anyway, when you add your digital signature to the
document, you will
be prompted to supply the user defined password to certify that the
signature is coming from the
person who alledges to be sending the document. If you are going to be
using forms, both the
sender and the receiver will need to be set up on the exchange server. We
also have people who
have scanned their signature to a bitmap file, and attach it to the
documents when a signature
is required.

Since AP checks are a Crystal form, you can add a "signature" to them using
a script font . This will not work for Payroll checks since they are not a
Crystal form.

We have the CFO create a WORD Document with a digital picture of his
signature in just the right position, take the stack of printed laser
checks, run them thru the printer a second time printing just his signature.
Simple logical application without getting into signature security,
encryption, etc... He can do this him self.

Get a 4 x 8 inch sheet of paper, have him sign in magic marker real big.
Scan the signature, then paste it into the right area that its to appear.
you might have to fiddle. Also, Tell your president, that its good that he
trusts everyone enough to basically "Give them a Blank Check" This is
pretty dangerous with out some really really really tight controls.

credit card# on the Internet, but don't think anything of handing to some
seedy clerk at a gas station.

Everyone you've ever sent a check to has a copy of his signature. It would
be pretty easy to scan it and overlay on a check. Ever seen what a teenage
kid can do with Photo Shop? Luckily the kid is more likely to past
Britney's head on some playboy model's bod' than commit bank fraud ;)

We had a couple juniors busted at a local high school a couple years back
for passing inkjet-printed 20's through the cafeteria.... That's just an
example of where the kids actually caught.

The risk of fraud is always there. That's why we examine our bank and
credit card statements, and carry applicable insurance.

I say the word document check overlay thing sounds nice. Just make sure to
use some copy-protected checks, keep those under lock and key, and secure
the word document and the original scanned image file with NTFS, so only the
president can access it, and only you can change the permissions.

We experienced check fraud late last year. Literal cut and paste "mock ups" of checks. They didn't even look entirely right. Of course several thousand dollars were absorbed by the bank (not us).

And the "suspects" were a young woman and two young men.

We print our checks out on a laser printer from Vantage and then run
the checks through a check signing machine. The signature is a
multicolor stamp which would be difficult to duplicate and impossible
to photocopy. The signature plate is locked inside the machine and
only Accounting knows the code to unlock it.

I use a rubber stamp. I sign about 60 checks a week here and about 30/week
for the town as I am the secretary of the town council. The stamp costs
about $20 and most office supply houses can get you one. I believe I got my
first one from our check supplier, Safeguard. It's a lot quicker than
signing. I am responsible to keep the stamp secure. Get one that is
self-inking.

We use Abra for payroll and it has the ability to print the signature in an
add-on module. I believe there are security measures like having to enter a
password everytime you print checks in order for them to be signed by the
printer. If/when we get to 100 or more per week, I might consider it.

For me, the rubber stamp is the cheap, keep it simple approach. It still
involves handling the checks, though.
