I use my Outlook with Google Apps on a daily basis. It does calendar
sharing, resource sharing, contact sharing as well as mail. It also includes
the Documents feature (word processing, spreadsheet, and presentation).
While no where near the capabilities of Office, it works OK.

Exchange only is $5/user/month or $60/user/year. Google apps is
$50/user/year.

Microsoft does have a suite that includes mail, communication server and
SharePoint for $10/user/month.

Just wondering if anyone is using Google Apps for their e-mail solution?



Currently we have our e-mail & website hosted outside, and each user (~45)
connects to a POP3 account to download their mail to Outlook using PST files
saved on a server. This setup is not ideal in anyway, PST files get to big
and/or corrupt often. Users have basically not access to old e-mails when
on the road.



Google Apps looks like it might be a nice improvement for us. I was
wondering if anyone had some real world knowledge.

server to Gmail in early February.

We lose a couple things, but the gains outweigh the loses from our
standpoint, and the things we lose have been forwarded to google for
possible updates to their service, so they may not be lost forever.

I will be happy to update you once we move over and are working on it all
the time.

We're a small company, so we stand to gain more than a large company might,
although I am not sure of the exact $$ figures. We are 39 users right now.

The majority of what we gain is cost savings, our server is near it's end of
life, it is currently 5 years old and bits and pieces of hardware are
starting to fail at a more rapid rate, warranty expires in April 2010 and
cost to re-up isn't worth it from the people who pay the bills.

I am probably missing a few, but off the top of my head, these are the
things we save/gain:
- Cost of new server hardware

- Cost of the OS, Exchange licenses, Anti-virus license, blackberry server
license, spam filtering software license, Backup Exec License

- Cost of related electricity and airconditioning - minor, but still is
something.

- Space in a very small server room

- New rack, current rack is completely full with DC, file server, vantage +
peripheral systems, phone system, UPS, switches, and patch panel. The
current exchange server is a stand alone on a small raised platform on the
server room floor and not in the rack, we would need to buy a new rack to
support it or buy a stand alone machine again which is not something we want
to do because of space in the server room.

- Backup size will be severely reduced, we currently teeter on the edge of
our backup system with a combination of an AIT-4 and LTO-3 tape drive, we
would likely need to move to LTO-4 at some point, but this will allow us to
push back that date. Our Exchange and email archiving takes up 50+% of our
backup space.

- Uptime, we don't need to worry about power problems or uptime of our lines
in our building

- Renewal of our SSL security certificate for our webmail subdomain.

We considered it briefly (ever so briefly when our Exchange server
crashed when I was on the other side of the world). Good luck talking
to a live person though. And their email response time wasn't very good
either. It was an interesting prospect though.

I migrated my users from an internally hosted Exchange (2003) solution to Google Apps and have not looked back.

It got even better when they released "Google Apps Sync for Microsoft Outlook" later on in the year. This provides excellent synchronisation of Mail/Calendar items between the Outlook client and the cloud.

In addition to what Ned wrote, you save bandwidth and CPU cycles since you
don't have to receive all of the Spam and viruses. The mobile device support
is good - great if you have an Android phone.

I have used Google Apps for Education (which is the Premium Edition) and the
standard free edition for other non-profits where I volunteer. I recently
got it for my own domain. It's $50/user/year. The paid version gives you
more features like Postini. For larger companies, there's a directory sync
feature that will keep users upt to date. It's certainly gotten better over
the two years I have used it.

fact that they allow 25gb per mailbox is great. Does anyone know how to
handle shared contacts that are outside of your company?



We are also looking at this as a possible SharePoint solution. We know
that we would not be able to use Vantage E-portal with Google apps. Many
other features of SharePoint appear to be available in Google apps. The
main disadvantage is the 10gb + 500mb / user limitation.
