We modeled our file structure after QS9000's 23 element structure, I created
a FORMS directory to hold all blank forms and static documents for document
control. I created a forms COMPLETE mirrored after the FORMS directory to
save active working documents. I've also created Vendor SPECIFIC
directories and Customer Specific directories. Process sheets that are part
specific go into the forms comp folders generic Vendor Customer docs go into
customer specific directories. I have DEPARTMENTAL directory where
INDIVIDUALS have their storage repositories. In linking in Vantage, I
created generic LINK pages in excel. Part specific parts all get linked
into the link page with links to Customer link pages or Vendor pages where
applicable. That way when you change a rev you only have one document to
move. Both customers and vendors connect to their link page in VB forms Via
a button and a file name. My number systems procedure is 27 pages long.
All documents are numbered and stored by their number. Links are set up
using both number and document name. ( A new wrinkle is I'm setting up an
Intranet Web Page to link more of these documents in more places)

Am seeking a little help from any of you out there. We are in a bit of a
bind as we have never created a standard aournd the structure of our
network. i.e....defining how we store data on the network. I have been
hounding that we need to establish a naming convention and a structure for
creating Directories. I have established a plan for storing e-mail through
the use of Public Folders on the exchange server. On the Network, with our
main file server, I am thinking that I would like to create a method of
ensuring all Customer correspondence is standardized. My question to the
group is three fold.
1) Do you have a standard naming convention
2) do you have a standard Directory Structure
3) Are you utilizing Vantage Document Association as the main method to
obtain Customer information generated outside of Vantage.
I find the process of creating a relationship inside of Vantage to a
spreadsheett, PDF, word or other document a little cumbersome.
Any feedback you have would be appreciated.
