OT - Network Exorcism

I would base it on your own experience such as selecting that folder over
the network to view the contents.
I have a directory with about 5000 tif files which are between 200 and 500k.
We stopped adding to the folder and added future items in subfolders to
organize the documents and speed up the time to view the directory.

Hi Patrick,

We have large numbers of files in several directories.

What is the maximum number of files for a directory?

Thanks,

Also don't put all 40,000 documents in one subfolder.

I would agree, we have a large quantity of documents of a similar mix,
taking up a bit over 40 gigs, and no similar problem. What I would check is
this. Are there large directories that XP users might be looking at in
"thumbnail" or whatever that view is...?. We only have two XP users here,
but if they look at thumbnail view, they seem to transfer each and every
file in complete to preview it. That could account for large amounts of
traffic, especially if some of the files are large.

Just a thought,

I was just thinking that we use a custom written document management system.
I checked and we now have 86,000 documents containing nearly 400,000 pages
taking up about 40GB of space and it hasn't yet caused us a problem. This is
a mixture of TIF, BMP, JPG, PDF, AutoCAD and Excel files

We now use images to create Slide Shows which are attached to Vantage Parts
& Jobs. We have a few monitors on the shop floor which can view these shows.
It is helpful for workers to see 'How-To' instructions. Only a few people
use the digital cameras and they know how to reduce resolution to something
reasonable.

Education and aptitude are the keys.

We are in the midst of an explosion of graphics files - specifically JPG's.
Six months ago, we started using digital cameras to photograph job
operations for documentation, presentations and communication back and
forth. Most of these JPG's and PDF's are stored on our fileserver. At
first this wasn't a big deal. But photo use has increased geometrically!
In the past few weeks, our network has had network slowdowns, backups not
working, user workstation hangups, lost connections between nodes, and
internet dropouts and slowdowns. This culminated, today, in a massive dose
of all of the above. Switches went nuts and Performance Monitor showed
collossal TCP activity on both the Vantage server and the fileserver.

After continuing it all morning, it stopped at lunchtime today - on the dot.
At that point, I realized it might be user-related and started asking around
among the users, and found that that little bit of JPG use had mushroomed.
They use graphic image files for everything now, both photos, scans and
PDFs. And create large documents indiscriminately containing large amounts
of large images. I knew this was coming, but I didn't think it would hit
for another 6 months, or in quite this way. Now that I think of it, similar
types of things seemed to happen to us before (only not to this extent),
when the MP3 listening got out of hand, before I exorcised those demons.

While trying to figure out how to determine what is really causing the
problem, as well as how to handle our graphics glut, I decided to see what
others are doing:

Q-1: Have I made the correct diagnosis for the following symptoms I'm
experiencing in my network? Are the graphics glut and the network
poltergeists related?

Q-2: What are your companies doing about the graphics storage and
transmission situation? Hardware and software solutions? Policies and
procedures?

Any help, opinions or ideas in this area will be greatly appreciated. And I
don't think I'm the only mailman here with this snarling dog attached to
their pantleg. (Apology for mixing metaphors i~a ).

Gary,

One of our administrative assistants has a color scanner. When she first
got it she would scan images into documents and PRINT.

FYI - When you scan at 32 billion / zillion colors at max resolution the
image files generated can be 2-300 meg in a blink. Whenever she printed the
whole network would sag ...

After a session with her of scanning images at 150/150 dpi and black and
white only ... then 150/150 with 16 colors .. then .. then ... then ... then
...

She finally understood the relationship between dpi, color settings, and
file size. She also figured out that after 300/300 with minimum colors the
images don't look much different on paper then the massive images. One down
one to go ...

Then we got a digital camera ... different person ... whole new education
program on how to take pictures that generate images that are actually small
enough to email someone ... else - max settings = max file size.

Start teaching ...

I'd also start using CD burners for storing all the images - not your file
servers.

God help you!!!!!!!!!!!!!!!!!!!!!!

9 moths ago our company bought two Panasonic copyier, faxer, emailer,
scanner, eggbeater, garbage disposer all in wonder everythings. A basic 8
½ by 11 scan generated a tif image Megabytes in size. Testing showed that
they were tough to convert to a reasonable size 100k at best. They wanted
the scanning software on all machines. I convinced them that we did not
have the space, right now the only scans go to my machine for conversion
until we agree on some rules on who what and when and why things get
scanned. It’s a neat idea, but based on this thread it may mean that a
dedicated server with over done memory, processors and crammed with as many
high speed drives of max capacity are needed to make it work smoothly, or
maybe teach my users common sense. (sigh) … the server will be easier.

I would check your servers open file list and see how many image files are open during a slow down. I would be kind of suspect that opening PDF or jpg files would slow the network for some time. I would also look at antivirus software. We had a bad patch level installed for CA's Inoculate and it was causes all kinds of traffic on the network. More recently, I had purchased a new printer with a jet direct card. I couldn't figure out why the jet direct card wouldn't work with our TCP network. During a call to Microsoft's Tech support I found out that this jet direct card was generating a large amount of IPX/SPX traffic on the network and it was keeping our three active directory domain controllers from sinking up. Unplugged the printer's network cable and all was well. I would have never thought about checking for something like that. I also found that our two RS6000 servers was generating the same IPX/SPX traffic. Windows Support tools for the server are really good at finding the problem.

Jeremy,

Thanks for the ideas. We don't have any new jet-directs or similar. And
this has been going on for a few weeks - the McAfee gets updated every night
here, and at least once a week on Wed's at Network Associates FTP download
site. So I don't think it's that either. I'll keep at it.

Shirley,

Look at it this way. The more servers they need, they more you can sell
them. (And the more stuff you'll need to figure out how to back up *~r.)

My approach will include both of your suggestions. We have a meeting Fri
to get what users need to accomplish, the effects on the network, what
upgrades and procedures need to be looked at to fix this. Even if we start
now, we probably already have an incredible number of graphics by
themselves and imbedded in documents and duplicated all over the network.
I don't know any easy way to rehab that situation. At minimum we can
formulate a plan for future actions in this area.

Some people are being careful on their own to keep graphics file sizes down
- even with scanning. Others don't have a clue yet. Whatever we do, it
has to happen fast, though.

Thanks for the insights. If I have any luck in this area, I'll make a
post. Good luck with yours.

Gary

Strike update: Yesterday the pickets erected a 15 foot tall inflatable
RAT. Didn’t grin once….. honest … (in public). The number of pickets
have now exceeded the number of hourly employees. Everybody has an
American flag on their picket sign, and the company grounds are surrounded
by little American flags stuck in the ground. The ownership is “No
Commenting” the local papers. We may make the national news yet. :-{

Gary,

One of our administrative assistants has a color scanner. When she first
got it she would scan images into documents and PRINT.

FYI - When you scan at 32 billion / zillion colors at max resolution the
image files generated can be 2-300 meg in a blink. Whenever she printed
the whole network would sag ...

After a session with her of scanning images at 150/150 dpi and black and
white only ... then 150/150 with 16 colors .. then .. then ... then ...
then ...

She finally understood the relationship between dpi, color settings, and
file size. She also figured out that after 300/300 with minimum colors the
images don't look much different on paper then the massive images. One
down one to go ...

Then we got a digital camera ... different person ... whole new education
program on how to take pictures that generate images that are actually
small enough to email someone ... else - max settings = max file size.

Start teaching ...

I'd also start using CD burners for storing all the images - not your file
servers.

God help you!!!!!!!!!!!!!!!!!!!!!!

After continuing it all morning, it stopped at lunchtime today - on the
dot. At that point, I realized it might be user-related and started asking
around among the users, and found that that little bit of JPG use had
mushroomed. They use graphic image files for everything now, both photos,
scans and PDFs. And create large documents indiscriminately containing
large amounts of large images. I knew this was coming, but I didn't think
it would hit for another 6 months, or in quite this way. Now that I think
of it, similar types of things seemed to happen to us before (only not to
this extent), when the MP3 listening got out of hand, before I exorcised
those demons.

While trying to figure out how to determine what is really causing the
problem, as well as how to handle our graphics glut, I decided to see what
others are doing:

Q-1: Have I made the correct diagnosis for the following symptoms I'm
experiencing in my network? Are the graphics glut and the network

Thanks.

One thing that you could consider doing is using a program like IRFANView
that would allow you to batch convert images. You can use this program to
convert all of the images in a directory to something smaller that still
shows the image as needed. This could then be automated so that it runs
every night and you can remove the original, larger file from the network at
that time also. Best of, this program is free and very fast at converting
images. Give it a try. www.irfanview.com <http://www.irfanview.com/>

that time also. Best of, this program is free and very fast at converting
images. Give it a try. www.irfanview.com <http://www.irfanview.com/>

Todd,

I'll run the CD idea by them in the meeting Fri. Don't know how far up the
flagpole that one will get. Education is right. BTW - where is the setting
in windows for 32 billion/zillion colors? I guess that must be an update I
missed ?+ .

Thanks.

In
the past few weeks, our network has had network slowdowns, backups not
working, user workstation hangups, lost connections between nodes, and
internet dropouts and slowdowns.

One quick tip to reduce the size of images in a Microsoft Office Apps.

1. Insert the image and size it, crop it etc.
2. Edit/Cut
3. Edit/Paste Special
4. Select the "JPG" option. If you don't have "JPG" as an option, Paste as
"Picture" then do 2, 3 & 4 again.

Train all your users on this method. Works great.

We now use images to create Slide Shows which are attached to Vantage Parts & Jobs.
We have a few monitors on the shop floor which can view these shows.
It is helpful for workers to see 'How-To' instructions.
Only a few people use the digital cameras and they know how to reduce resolution to something reasonable.

Education and aptitude are the keys.

I was just thinking that we use a custom written document management system. I checked and we now have 86,000 documents containing nearly 400,000 pages taking up about 40GB of space and it hasn't yet caused us a problem. This is a mixture of TIF, BMP, JPG, PDF, AutoCAD and Excel files

Richard,
Thanks for that tip. I'll definitely put that in our bag of educational
materials.

Jeremy, Babette and Aaron,
So if I read you right, you're using a lot of graphics across the network,
with no noticable latencies? And causing no problems for the rest of the
network?

Good idea Patrick - thanks.

Aaron,
Now that you mention it, I remember seeing each one of those little
thumbnails popping up on their screens yesterday, when I was investigating
this. We don't have XP - all W2K - but it works the same. I just verified
this. I'll look into this. Thanks loads. I think this may be what's going
on.

Jeremy and Babette,
What setting do your people have in their Explorer for the views?

Gary

I checked and we now have 86,000 documents containing nearly 400,000 pages
taking up about 40GB of space and it hasn't yet caused us a problem. This
is a mixture of TIF, BMP, JPG, PDF, AutoCAD and Excel files

Just a thought,

We now use images to create Slide Shows which are attached to Vantage Parts
& Jobs. We have a few monitors on the shop floor which can view these shows.
It is helpful for workers to see 'How-To' instructions. Only a few people
use the digital cameras and they know how to reduce resolution to something
reasonable.

Education and aptitude are the keys.

Hi Patrick,

We have large numbers of files in several directories.

What is the maximum number of files for a directory?

Thanks,

John Mansfield

Also don't put all 40,000 documents in one subfolder.

I would agree, we have a large quantity of documents of a similar mix,
taking up a bit over 40 gigs, and no similar problem. What I would
check is
this. Are there large directories that XP users might be looking at in
"thumbnail" or whatever that view is...?. We only have two XP users
here,
but if they look at thumbnail view, they seem to transfer each and every
file in complete to preview it. That could account for large amounts of
traffic, especially if some of the files are large.

Just a thought,
