OT - Outsourcing Email

A secondary question is whether this service allows for global alerts
through Vantage.

Thanks.

I'm looking at ways to save our company some money and one of them could
easily be reducing the number of servers we maintain.

I was wondering if any of you outsource your email. We currently use
Exchange server and another server to "filter" spam. I was looking at
godaddy.com and it would sure save a pile of money if we could use a
dependable service. If any of you use outsourced email could you let me
know offline what you think of your service?

Susan,

Although we looked very carefully at outsourcing (125 users), on the
advice of our attorney we have kept our email system in-house. The
concern is that the confidentiality of hosted email is unknown. In
other words, if we allow our _internal communications_ to be hosted
off-site, we may be giving up some degree of confidentiality.

In any case, our direct costs are on the order of $8K/yr for maintaining
our own email server - including spam & av filtering. The most
compelling hosted email plan I looked at would have cost us about $4K/yr
and would be running on the open-source Horde framework, giving us
email, calendaring and collaboration similar to our current GMS platform.

have fun,
john

I had considered moving to www.webmail.us too. Migration is on hold until
we sort out our web hosting.

The reason I'm asking is that our existing email server is old, the
software needs upgrading and the filtering server is old. Replacement
costs right now would far exceed moving to a hosted site. I do not
believe we have confidentiality issues but will run it by the CFO first
so he can check with our attorneys. With MS licensing for Exchange, the
filtering software licensing, backups and licensing for backup software,
distributed hardware costs, support issues related to Exchange 5.5 -
we've got to be running over $8K/year.

Sue,

Pros & Cons of outsourcing

Are you using the email alerts from Vantage ?
(interesting to see how that would play out)

How responsive is the hosting company to support issues ?

Do you send large documents between employees via email ?
(a lot of traffic will be extremely slow compared to in house)

How stable is your internet connection ?
(if you connection goes up & down - so does your email compared to in house)

Besides email - what other features of Exchange do you use ?
(calendaring / shared folders ... etc)

You could easily replace your Exchange server with a more traditional
POP3/SMTP for a lot less cash. Some are even free - there is always
SENDMAIL in Linux.

One benefit to outsourcing - viruses and spam could be removed before even
entering your internal network.

Lots to think about.

What kind of pricing are you being quoted ?

Charles

Another option is to keep your Exchange server running for internal email
management and outsource your AV/AS to a third party. A lot of ISPs provide
these sort of services. Then your internal messages are kept inside your
company and all the nasties are disposed of before they even reach your
server. This makes for a pretty secure setup because your Exchange server
can be set up to only accept connections from the service provider.

This is exactly what we do here and we use Message Labs. www.messagelabs.com
