OT: Printing Checks (Payables)

We used to copy each, then went to reprinting on plain paper, then went to
the 2 part check stub retaining one part with vendor invoice(s), and finally
to none of the above. We print the check and send it to the vendor. If we
had to have a paper copy of each check, what would we do about all the
payments made via electronic methods ? Our "copy" of the check is in
Vantage. Went through an audit last year and had no problems. We have
never missed having a copy of the check or the stub. Our goal has been to
eliminate a hard copy of anything that is printed out of Vantage (quotes,
invoices, POs, checks, et.al.). We work to have people understand that we
are retaining a "copy" of each document in Vantage. Each one has been an
adjustment as we eliminated the hard copy but we have never gone back to
keeping paper copies.

Dan,

We use laser checks currently. I am assuming the "system" you are referring to is the paperwork.

When we pay an invoice, we stamp the invoice with a paid stamp and write the check number and date of run with the group id #. This then get filed in the vendors file.
Obviously each vendor has there own folder. Now, we also print the group edit list that shows all of the checks and the check number which are in that group. This is kept
in a binder. This is the reason we write the group id # on the invoice - if for some reason we would need to refer back to the group edit list - it would be easy to find
which run it is from. Every 6 months we clear the previous 6 months. (i.e. dec 30 we throw away january to june.) Vendor tracker has always given the information we
needed but we keep the group edit list "just in case".

We put them through the copier. Though, personally, I wonder why even that
is necessary, but then I'm not an accounting type. Others run the check run
twice once blank paper once on the check.

We have our form devided into 3 parts. Stub-Check-Stub. The only issue is
you cant pay more then 15 items per check. Our AP Person deals with this
without a problem. We send one stub and the check to the vendor and keep
one stub to attach to the Invoice we file here.

If your accountants are happy just to keep a copy of the stub, you can buy
check forms perf'ed in thirds, and print two copies of the stub on each
form. This is tricky to set up on Vantage's Crystal form, but it has been
done. You'll also run into trouble if the operator tries to pay too many
invoices one vendor in a run. You'll need to train them to keep that
limitation in mind, if you go this route. You can also give Epicor Tech
Support a shout and ask them to give you back the ability to configure the
number of invoice details per stub, like you could before version 4.0.

Most check printers offer "multi part" laser forms. These have a regular
pre-numbered check sheet with a duplicate colored copy after each
one. Just print two copies of the run and you're set. These are
reasonably priced, and save a lot of time and copier wear & tear vs running
manual copies. Getting two copies to print automatically can be tricky though.

I currently have checks with a non-negotiable duplicate and run my checks
with a qty of two. This is no problem, but I rarely have more than 15
invoices per check and your format would work great and save $ on forms.
