[OT] Time Clocks

-Data Collection on old Compaq 166MHZ Pentiums (approx 16)
-Payroll by ADP
-Bought ADP Module and are using it. With around 240 Employees it
saves a lot of time and prevents mistakes.
-Shop Supervisors run daily edits to fix data entry errors and weekly
edit Monday morning to make Labor Entry Corrections before payroll.
-Office Supervisors run a weekly edit Monday morning for their dept
and turn in sheet to payroll who will make any changes necessary.
-Office Workers have a Weekly Time Edit sheet they can fill out and
give to their supervisor to alert them of anything out of the
ordinary that wasn't captured correctly by the Vantage system. ie
(no lunch, short lunch, missed punches etc...) If everything is
normal, and it usually is, they don't fill this out.
-ADP data sent via modem
-We are not using barcodes for clocking in/out employee #'s, do use
them on Job Travelers.
-Would like to get shop buzzer set up using Vantage time.
-Do have digital pictures set up.

I definately recommend doing away with time cards if you can.

punched card time clock? Do you only use Vantage Data Collection? Do you
have the payroll module? Outside payroll service (ADP)? Do you have some
method to download a file, double check and then upload to payroll service?
We're moving in a couple of months and considering leaving our time clock
behind...looking for pitfalls, large and small.

How about these new "biological" time collection systems - thumb, handprint
etc?

Lydia,

No time clocks here. All is data collection. Supervisor reviews each employees time data at the end of the week and produces a timesheet for each employee when he is satisfied with the data. Then each employee is asked to sign off on his timesheet.

We use the Vantage payroll module to do our own payroll. Once the supervisor turns in the signed copies of the timesheets, the data is considered good to go and payroll can bring the data into the payroll module. A vacation request form is the only extra piece of paper we have to our system. No time is entered in data collection when an employee is on vacation. The form is included with the timesheet that goes to payroll.

- Data Collection on dumbed-down shop floor PCs (no floppy, no CD).
- Payroll by ADP
- Bought Epicor's ADP connection module but not using it due to low #
employees (100 shop) making it easy enough to hand-enter from reports. At
150 it might tip the other way.
- We load from ADP software to them via dial modem (someday via web
interface)
- If punched card time clock drives shop bells using Vantage server clock
for "official" time will open door for "clock drift". We now drive bells
from the Vantage server
- Clocking on Vantage has allowed use of barcode scanners
- Clocking in Vantage gives "real-time" view of who is where and what they
are doing (plus real-time job status!)
- We are considering loading digital pics to help assure right person is
clocking

We eliminated the time clock last month when we went live with Data
Collection. We prepare payroll in house and so far, it seems to be working
very well. We use a bar coding wand for most of the shop to clock in and
direct clock in through the computer for those who have a computer. One
problem we have had with employees who "wand in" is that they want to clock
in too early or stop and visit someone before clocking out. Our Data
Collection configuration is set up for a clock in allowance time of 15
minutes early and 6 minutes late. The clock out allowance time is 0 minutes
early and 15 minutes late. If a person clocks in earlier than 15 minutes or
later than 6 minutes, the system records it as overtime. Same is true if
they clock out later than 15 minutes at the end of the shift. Our Admin
Dept. reviews a labor edit list each morning to catch these problems. The
biggest problem is re-training the employees.

We use a modified version of Cearsars data collection software for our
timeclock. It feeds the payroll module, (which we dont use) We produce
laminated swipe cards Barcodes for the employees out of Vantage. We print
this on laser printer Business Card stock then laminate. We've have
automated attendence reports come out 15 minutes after shift start and
generate our payroll numbers from a weekly automated report. Supervisors
are responsible for checking reports and keeping the time data base up
todate. There were initial startup hiccups which we fine tuned the program
and only rarely have problems. We use a terminal server 1 licence and a
Neoware box with a keyboard wedge.

We data collection & payroll.
Eliminated punch clock, shop buzzers totally.
Benefits, employees are spread out between 15 data stations instead of 1
time clock, no more big line, if one shop station is down they can use
another one, if one station is busy, they can use another one.

We use proximity readers for building access and then to log into our time
and
attendance system (Unitime) which feeds our payroll system by Best Software
(ARBA).
We use Vantage data collection (barcode) for job costing. Vantage and ABRA
are
not related in any way (big pain when trying to reconcile).

I am also using Vantage Data Collection on my shop floor. I am running
7 data collection stations via Citrix using Capio II's. Using the
Capio's really work great on our dusty manufacturing floor and by using
Citrix it also makes it easy administrating.

We use DC for time collection. We use Payroll in Vantage (120 to 150
employees). No time clock.
Time corrections are handled by Payroll people. Employees use laminated id
cards (we use Bartender "Seagull Scientific" to create them). We set up
separate codes including the key combos to punch in, out and select
employee. One prints on the front of card with Photo (same one that is in
vantage) the other two print on the back (one vertically). The barcodes
print on standard inkjet, cut, fold in half and laminate.
Problems:
Server time was a real issue until we set up time sync with atomic time
(look back in the list for more info there).
Employees taking shortcuts (not watching to make sure they got in or out
correctly).
Employees not punching in or out (I forgot, or I know I did...)
Causes time to be spend adjusting for above errors.
Otherwise it works great for us. I am a bit afraid of the changes that come
with 5.1 and 5.2 to data collection.
I will have to reprint everyone's ID card with the new keyboard shortcuts
("S" old way, ctrl+L new).

We have eliminated the punch cards but the old time clock still runs our shop horn for start of shift, lunch, etc.
We use Vantage as our time clock.
Clock In and Clock out only.
We use pre-printed bar code time cards.
One side for clock in and other side for clock out.
We use a mounted hand auto scanner for the reading device

Our particular manufacturing methods make Vantage impractical for data collection impossible.
We do not use Vantage Payroll
For payroll we use ADP's software and enter the data manually.
ADP's data is sent via a dial up modem, not over the internet for security reasons.

Lydia,

Our time clocked died just after we went live with Vantage in 1999. We
never replaced it. We just used data collection to keep track of the
hourlies pay hours.

We did create a report for weekly pay hours that is distributed to
department heads for verification.

We do not have the payroll module. We transfer the information to a form
fax it to corporate and they enter the data to a payroll service.

Hi:

Just wondering how many of you (us) have eliminated the old fashioned
punched card time clock? Do you only use Vantage Data Collection? Do you
have the payroll module? Outside payroll service (ADP)? Do you have some
method to download a file, double check and then upload to payroll service?
We're moving in a couple of months and considering leaving our time clock
behind...looking for pitfalls, large and small.

How about these new "biological" time collection systems - thumb, handprint
etc?

I did similar things. I use Vantage data collection from day dot. Personally
I believe without data collection you might as well get those white board
out and a note pad and work out delivery dates again, Vantage is Data
collection.

Anyway I use the data collection for 95 employee's (15 data collection
units) once a week we use the Report builder to create the file I need and
then export it as a TXT file, we use simplex time management software to
break the times into ordinary/overtime/shift allowances, from here we import
the data into lend lease prism payroll program which also has a PR module.
Sounds long winded but isn't and works very well.

Thanks to everybody. We're currently using Data Collection with pretty good
success, but I 'm trying to convince the powers that be that we shouldn't
take the time clock to the new building. Will let you know how it goes.

WE have used data collection to pay employees for 5 years. We have a report
that separates regular and OT hours and then we enter it into ADP. Works
great and much better accuracy than punch cards. Takes about an hour and a
half to run, review and enter hours into ADP for 100 hourly employees. We
also get accurate efficiency reports.

Our time clocked died just after we went live with Vantage in 1999. We
never replaced it. We just used data collection to keep track of the
hourlies pay hours.

We did create a report for weekly pay hours that is distributed to
department heads for verification.

We do not have the payroll module. We transfer the information to a form
fax it to corporate and they enter the data to a payroll service.
