Part Class Issue

I think I may have found a solution. I tested this again and received the
same results, so I went into the Part Class again, tabbed through the
account fields, then created another purchase order. This time the system
debited and credited the correct control account. I guess I just need to
tab through all of the account fields for the inactive classes. I have had
to do this on some sales orders to allow credit memos to be posted to them
and I have no idea why but it works. Would be nice if you could mark these
inactive and not have them appear at all.

Sounds like it is falling back to the default GL Control Accounts. Check
in Company Maintenance -> Module Config -> Control Accounts to see if those
are the numbers it's using.

We ran into this when changing our control accounts last year. If a GL account is referenced in a control account master file (e.g. Product Group, Part Class, etc.) you can inactivate this GL account without receiving an error message. However, if that product group (in this example) is used in a transaction the system will post to this inactivated account. This can cause quite a bit of confusion if you are not aware that this can occur.

Now, more specifically to your issue, the GL distributions are created at the time of the transaction. If you change the GL accounts in the master file after the transaction has occurred it will not retroactively update the original transaction. Timing is definitely critical when changing your master file control accounts.

This account is not listed in any of the control accounts. I just tried
creating a dummy po and received it into the system referencing this part
class and got the same results. The report is generated from the PartClass
table. I just tried this with another class as well, I went in removed the
accounts then ran the report and the old number still shows. Not sure if it
matters, but we are on version 5.0.

You're running into the same problem we encountered. When you deactivate a GL account that is used in a control account it will not show in the control account maintenance screen. However, if you run a RB report on that table you will see that the inactivated GL is still associated with the master file. The only solution to this problem is to reactivate the GL account. Once you reactivate the GL account you will then be able to view it in the master file in question. You can then change it to something else. Once you've removed all the associations with the GL you will then be able to re-deactivate the GL account.

What type of inventory transaction was generated? You didn't mention if it
was a Part Master item, and what it was received to (stock, inspection,
wip, etc) I posted a very useful spreadsheet on the yahoo site a while
back. This link might work:

If not, try the link to our files section at the bottom of every message
and look under Vantage Admin for
Vantage_5_Transaction_GL_Hierarchy.xls This shows the search logic used
to determine the GL number for all Vantage transactions. Find the exact
transaction code for your PO Receipt (eg: PUR-STK, PUR-MFG) and you should
be able to track down the source of the GL number.

If not, try the link to our files section at the bottom of every message
and look under Vantage Admin for
Vantage_5_Transaction_GL_Hierarchy.xls This shows the search logic used
to determine the GL number for all Vantage transactions. Find the exact
transaction code for your PO Receipt (eg: PUR-STK, PUR-MFG) and you should
be able to track down the source of the GL number.
