Physical Inventory count - ver 8.0 - Help!

Thanks Nigel. Using your idea, we wrote a script to automatically hit
"enter" and now, for the past several hours, have had a couple pc's
churning away with the "paste update" approach. Should be done sometime
tomorrow morning!

Best regards,

Pat

We are preparing to conduct our first physical inventory count on
Vantage. Any helpful hints, tips, tricks, etc. would be appreciated.

Thanks in advance!
We have been having meeting every other week for the past few months to
discuss how we would do Physical Inventory this year because last year it
was not very well planned or executed (1st year on Vantage).

We have discussed everything from when we would do it, who would do it, and
the actual procedure.

We have some inventory at Warehouses we do not own but store our product
their. So we will be doing some pre-counts before we do our actual inventory
counting at our main warehouse. And we have some product that we know we
will not touch before our "Physical Inventory" counting so we will pre-count
those as well.

So instead of checking the Full Physical checkbox (which as far as we can
tell basically chooses all Active Parts for you and has no other effect) in
Group Entry we have decided to create smaller Count Groups to handle
pre-counts. And then create Count Groups by Bin Location. Our Bin location
basically denotes Row, Rack, Shelf, and Position. So we will create groups
to match up with the Rows so that tags can be generated by Row.

Then we can control what Parts are placed in the Count Groups and be able to
run the Count Entry and Variance reports in smaller batches instead of
running it against a complete Full Physical.

I have also modified the Tag Report so that more tags can be printed on a
page. We were considering using perforated sheet stock so that a Tag can be
placed with the Part after it is counted and a duplicate Tag can be turned
in for Count Entry. With time running short we decided just to use a colored
sticker to denote if a Part has been counted to avoid duplication of
counting (which happened last year).

I also created a Crystal Report to so what is in WIP. It is a simple report
showing Open\Released Jobs, what Material has been backflushed or issued to
the Job with Costs and how much Labor Costs are in each Job. In years
previous they just estimated all this. Now we can run this report and make
some better intelligent decisions if certain counts and\or costs should be
included in the Inventory.

Beyond that Help has a Flowchart on the steps. Look for "Physical Inventory
Count Flowchart". And though the Help is sometimes a little confusing or
maybe not extensive enough I have always found it as a good starting
informational tool.

Need help with Voided / unused tags!

Contrary to Scott's advice below, we generated just one Count Group
since we were doing a complete count. Unfortunately, when the Group was
generated, a mistake was made and we now have many, many tags that will
need to be voided (about 8,000).

The real issue is that the process to enter tags is unbelieveably slow -
whether entering a count or just voiding the tag - it takes about 30
seconds for each tag.

We are looking at spending 67 man-hours just voiding tags so that we can
post the adjustment. Anyone have any ideas to assist??

Thanks!

We actually made a change back and will be checking the Full Physical. But
we did create Virtual Warehouses within our building, created Bins in those
warehouses and transferred the Parts from Warehouse to Warehouse. Now we are
running a Physical by Warehouse by it still is in smaller chucks of parts.

For our Main Warehouse which has roughly 2,500 parts we will still do a Full
Physical in that warehouse but I created a separate count variance reports
that can be run for a Count Group and by Tag Number. Since our Bin Locations
are in a Row, Rack, Shelf, Location scheme when we generate Tags it will
logically put sections of our warehouse together. Then we can run the
Variance report and choose a Range of Tags we wish to run the Variance
report by. This will enable us to enter say all of row 1 and then run the
Variance reports against the tags that match row 1.

As far as voiding the tags, if you select the range of them in Count Entry
and go to the List Tab you can go right the column and check the Void box.
Though the time you are saying it is taking seems long. We have two of our
accounting people here that take roughly 10 to 15 seconds per Tag.

Hi Patrick,

Whenever we're doing stocktakes, we copy the stock tags into Excel,
enter all our figures there - including entering "TRUE" for voided
tags - and then "Paste Update" the lines back into Vantage.

This can be VERY slow prior to 8.03.400. On .400 it's much improved.

Nigel.
