We have been having meeting every other week for the past few months to
discuss how we would do Physical Inventory this year because last year it
was not very well planned or executed (1st year on Vantage).
We have discussed everything from when we would do it, who would do it, and
the actual procedure.
We have some inventory at Warehouses we do not own but store our product
their. So we will be doing some pre-counts before we do our actual inventory
counting at our main warehouse. And we have some product that we know we
will not touch before our "Physical Inventory" counting so we will pre-count
those as well.
So instead of checking the Full Physical checkbox (which as far as we can
tell basically chooses all Active Parts for you and has no other effect) in
Group Entry we have decided to create smaller Count Groups to handle
pre-counts. And then create Count Groups by Bin Location. Our Bin location
basically denotes Row, Rack, Shelf, and Position. So we will create groups
to match up with the Rows so that tags can be generated by Row.
Then we can control what Parts are placed in the Count Groups and be able to
run the Count Entry and Variance reports in smaller batches instead of
running it against a complete Full Physical.
I have also modified the Tag Report so that more tags can be printed on a
page. We were considering using perforated sheet stock so that a Tag can be
placed with the Part after it is counted and a duplicate Tag can be turned
in for Count Entry. With time running short we decided just to use a colored
sticker to denote if a Part has been counted to avoid duplication of
counting (which happened last year).
I also created a Crystal Report to so what is in WIP. It is a simple report
showing Open\Released Jobs, what Material has been backflushed or issued to
the Job with Costs and how much Labor Costs are in each Job. In years
previous they just estimated all this. Now we can run this report and make
some better intelligent decisions if certain counts and\or costs should be
included in the Inventory.
Beyond that Help has a Flowchart on the steps. Look for "Physical Inventory
Count Flowchart". And though the Help is sometimes a little confusing or
maybe not extensive enough I have always found it as a good starting
informational tool.
