PO Terms & Conditions

We have our T&C's in a word document attached to our PO/SO/Quote forms
(activeX). Also have a VB checkbox
"do not print terms" that when checked, the T&C rider will be
suppressed. So we can give it to whoever
needs it. The legal department insisted that it be defaulted to print,
so the customer service folks are always
checking the do not print checkbox.
But it works very well and we can modify it to our hearts content
without having to worry about printed inventory.
We have always printed POs on 4 part tractor feed pre-printed forms. The aging printer has developed stripped gears and must be replaced. I am lobbying for laser printing (already bought the printer too) using the standard Crystal form. But the issue has come up about all the legal boiler plate that was supposed to be on the forms. For about the last 4-5 years it has been left off and nobody noticed. Now with the designing of the laser version it has become an issue.

Most of our vendors sign a blanket supplier agreement with all the "Ts&Cs" but new ones and seldom used sub-contractors don't. So...any suggestions for handing these? Pre-printed PO laser forms? Print our own backsides then flip it over for the front? Seperate sheet?

Our president is stressing over this due to possible legal impact if a supplier gave us bad material or defective subcontract operations and the end customer got sued by an end user and came back to us as the source. His stress becomes my problem to solve.

vendors. The PO has a statement at the bottom that our Terms apply to the
order. If they want to see them, they can ask for it...

Thanks. Looks like we'll do something like that. A statement on the PO front will claim the purchase is bound by our Ts&Cs to be found on our web site.

We printed our terms and conditions on stock 8 1/2 X 11 paper and
loaded it into a dedicated paper tray on our Purchasing department
laser printer. Each buyer has a "PO" printer installed that defaults
to this paper tray. When they want a PO, they select this printer and
away they go. Yes, we have to load the paper correctly and monitor
our supply of PO stock, but it is working O'K.
