Printing Checks in Vantage

Thank you all for your insight on laser checks. I think we are going to
digitized signatures and add them to the Crystal Report. Thanks all again!

Same here but we use duplicate check copies and our founder's wife is only
89 years old and still signs all checks.

We use a laser printer that is dedicated to A/P and payroll and print
150/200 checks per week. We still print plain paper copies of payroll checks
to put in employee file (we like the paper thing). One of our founders, 91
year old lady still signs all checks by hand. Bless her heart.

We print an average of 350 and some A/P and payroll checks every week. We
are about to increase this amount considerably once we incorporate the
payroll from one of our companies currently in ADP. We use a dot matrix
printer and a signature machine. Adjusting Vantage settings was not fun and
dealing with the signature machine is close to hell. We are considering
moving to laser printed checks, yet we still have to deal with the signature
machine.

Is anybody in the group using laser checks and how are you dealing with
signatures, filing copies, etc.?

We use laser printers exclusively. Gave up the dot matrix and signature
machine, unfortunately for those who are now manually signing checks.
However, direct deposit of payroll and A/P checks makes for less and less
checks to sign. We just re-run the A/P check run to generate plain paper
versions of our checks for filing copies. Never did keep filing copies of
Payroll checks, but could use the same process for them.

Another option is to print the checks with the signature on them. There is
security on printing checks (although the security manager would also have
access). Laser printing checks is much better than dot matrix. We have
been doing it for 5 years and have had very few printer problems. I would
recommend watching your checks print (in case of printing problem or lack
of ink) and having a dedicated printer (so someone else doesn't decide to
print while the checks are loaded). I think we have run out of toner once
and had the print jam once or twice in 5 years (30,000 checks).

Mario:

We are on 4.0, using laser checks with copies (they come already combined),
don't have any problems except once in a while, the laser printer will get
dirty and dried out and grab more than one check-but that is a mechanical
problem. We're just using an Hp 1100.

On the signature side: our bank issued a signature stamp (probably cost $25
or so), which is kept locked up and used to sign our paychecks-accounting
mgr signs AP checks. The accountant has it in some secret hiding place and
won't even get it out if anyone is in the room.

If you're on Vantage 4 or higher, you can modify the Crystal form and put a
bitmap of the signature in there to print directly on the check. If you'd
like a false sense of security, you could have the signature burned onto a
custom font cartridge for your printer, so the accounting guy has something
to pull out and lock up ;)

We buy laser forms with a duplicate sheet interleaved with each real
check. This can be troublesome, because you have to remember to select
"copies= 2" every time you print. Vantage and Windoze will ignore any
attempts to select 2 as a permanent default. As a work around, I was able
to program a string substitution into the printer's network adapter to
always force two copies.
