Problems with Searching group

I know I have mentioned it before, but this is my personal reccomendation
for a solution for this question...

1- Get a copy of a .PST file with every email from this group in it. They do
exist, I got it a couple years ago from someone else. You can then use the
local Outlook searching features for all the emails.

Or, you can go about these additional steps and use the power of a gmail
search as an option but it will only work with a Premire or Educational
account with Google.

1- Create a profile in outlook where this PST file is the only thing that is
opened.
2- Download the google apps sync
3- Install the google apps sync program.
4- When you setup the sync you can import all your old messages from outlook
into the gmail system.

OR If you don't have a google premire account...

1- Setup a gmail account so that you have IMAP access
2- Setup that Gmail account in Outlook using that IMAP access
3- Open the PST file with all the old messages in it
4- Drag all the old messages into the folders for the Gmail account with
IMAP access.

If you use one of these two methods, you now have the power of Google for
searching all the old posts that is much better than Yahoo or Outlook from
my personal opinion.

I would also reccomend that you then use this email account as the internal
filter through which all emails for the group flow, on a post by post basis
instead of through the daily digest option.

Then you can forward it to another account if you like, or whatever other
way you would like to read the groups messages and keep all the content as
your own personal library...

You could also use a mail client that is not Outlook, but I think Outlook is
probably the most common...

Is it possible to alter the size of a field in the Vantage Database? We
are currently using Ver5.2 and I need to expand the field for the W2
codes for items such as 401k. Apparently a double digit code is needed
for a roth contribution.

I'm pretty sure you would need the SDK or have Epicor custom solutions group to alter the structure of the database. Are the user defined fields available to you in your version?

Can you "fake out" your printing program to translate an "A" into the double-digits required for the W2?

Mark W.
Great idea! Although, the problem is in the electronic file we submit
to the IRS created by Vantage. I may be able to simply edit that file
to replace a single letter code like you mentioned. We are not on
maintenance so contacting custom programming isn't an option. I would
think changing field size should be doable but I've just never tried it.
Of course, I have accounting breathing down my neck on this one.

Thanks for the reply! TGIF

Thank you for the information. I have been researching this and using
the data dictionary application in Progress I can alter field size. But
it talks about a schema change being needed. Does this seem accurate to
those familiar with the Progress programming language? Am I going in
the right direction? Fred I need ya man?? ;-)

I don't know enough about Progress to tell you that what you want to do is OK. But, I do know enough about databases in general to say that changing a field size is dangerous unless you are fully aware of ALL the consequences. You risk corrupting your entire database. Even if you successfully change the field size in test, it may take until sometime in the future when a transaction processes incorrectly because of the change, that your database becomes corrupt. OTOH, the change may never cause a problem. The only way to safely make the change is to let Epicor do it. Even that can be problematic, but at least you would have someone else to blame if it goes wrong.

I suggest you find a way to use a user defined field or make the change to your output (report or text file) manually like Mark suggested. His is the best advice you have gotten so far on this thread.

I was hoping for better news than that!! lol Well I looked at the
output file created when you export w2's and It seems coded to the point
I'm not sure how I can substitute a 2 character code. The SSN must have
some type of file format it only accepts. It's not a simple CSV file.
SOOOOO not sure what I'll do. Keep the ideas flowing. Thanks,

I assume the IRS has told you what format the submission file needs to be. Perhaps it is a fixed length text file? If so, you should be able to parse a csv file using, say, Excel, and translating it into a fixed length text file.

Yeah, complain to Yahoo! :-)

That's why folks have suggested moving this group to another venue, but so far that hasn't gotten much traction.

Here is a link to the IRS instructions covering the data structure of the file you will submit. http://www.ssa.gov/employer/efw/09efw2.pdf. The submittal is a text file, and you should be able to easily edit the file. You may not be able to edit the way Vantage creates the file. However, you can edit the file after Vantage has created it. Without too much work, I expect you could come up with a little macro in Excel to go through and find all the instances where there is a particular single character that needs to be changed to a double character, and make the change automatically.

BTW, if you are submitting fewer than 250 W2's, you may be able to file on paper instead of electronically, which could be the easiest way to do this. Check with your tax adviser.

I assume the IRS has told you what format the submission file needs to
be. Perhaps it is a fixed length text file? If so, you should be able to
parse a csv file using, say, Excel, and translating it into a fixed
length text file.

Thanks,

I don't know enough about Progress to tell you that what you want to do
is OK. But, I do know enough about databases in general to say that
changing a field size is dangerous unless you are fully aware of ALL the
consequences. You risk corrupting your entire database. Even if you
successfully change the field size in test, it may take until sometime
in the future when a transaction processes incorrectly because of the
change, that your database becomes corrupt. OTOH, the change may never
cause a problem. The only way to safely make the change is to let Epicor
do it. Even that can be problematic, but at least you would have someone
else to blame if it goes wrong.

I suggest you find a way to use a user defined field or make the change
to your output (report or text file) manually like Mark suggested. His
is the best advice you have gotten so far on this thread.

Thank you for the information. I have been researching this and using
the data dictionary application in Progress I can alter field size. But
it talks about a schema change being needed. Does this seem accurate to
those familiar with the Progress programming language? Am I going in
the right direction? Fred I need ya man?? ;-)

Can you "fake out" your printing program to translate an "A" into the
double-digits required for the W2?
