Renewal of agreement

This is standard for all accounting & manufacturing packages. I don't know
what penalty Vantage will charge, but usually it is no higher the renewal
amounts for the year or years you skipped. Also I believe you can renew at
a reduce number of hours. I think their support is based on number of hours
per year. Unfortunately, I never look and the detail, we have always paid
the renewal.

I think the idea of the penalty (which I can understand), is that if you decide to drop your support agreement you're making a decision to go it alone for good. Otherwise people would drop the agreement for a few months, and then start paying it again if they have a few questions for tech support.

If you are on 3.0 and plan to stay there for the next 5 years, you probably won't be needing your maintenance agreement because Epicor won't be upgrading 3.0 any longer and other than a knowledge base of articles relating to past 3.0 issues, they probably won't dig really deeply into problems that come up.

One suggestion is that you go to a reduced agreement plan. (This is where
you only have so many hours of call in time then when you exceed your
planned hours you are charged by the call). You have the option at anytime
to go back to a full time. We've gone to this plan because we only have
about 10 calls to tech a year. We are able to handle most of the issues.
(The group here has been a huge contribution to not having to call) Even
the reduced maintenance plan gives you access to the web site, (very
valuable too). Lastly, while the cost is Painful (very painful) for all of
us the cost of being WITHOUT this service could be even more expensive. I
really suggest you maintain SOME maintenance plan rather than none at all.

With the reduced agreement do you get the updates? Is this available or a
suggestion?

The maintenance fees, while I agree are quite large, also in most software
companies help fund development of new versions and maintenance of the
support center personnel.

I wish Epicor was a little more pro-active, when they have a patch come out
they could send an e-mail to this forum giving the patch number and a brief
synopsis of the changes. They don't hesitate to send us e-mail when they
want to sell or promote something.

Software packages I've used in the past sent out updates quarterly (give or
take) with new versions every 12-18 months. Patches were provided to
correct deficiencies in the software.

I would agree with Shirley very much. You never know what changes will
force you back on to maintenance. Years ago I became MIS Manager at a shop
running ASK ManMan (primitive FORTRAN based MRP system) on a DEC VAX system.
My predecessor had, in his wisdom, dropped support for to make his budget
look good and he knew FORTRAN really well. After he left (and I was in the
hot seat) the hardware became too small for the load but all new VAX systems
required a version of the operating system (VMS) that only supported a new
version of the required DMS II database. We were stuck with no way to stay
on the old hardware and no database expertise to convert the database to the
new version on a new box. Buying the system all over again was less than
paying for each of the missing years of maintenance. To top it off two
years later we converted to a whole new system acquired from our sister
company in Australia (as mandated by our Aussie owners). All in all it is
better to bite the bullet and pay for support to protect you from "external"
changes you can't anticipate.

$.02 of experience.

I should have capitalized the IF on my statement saying: "IF you plan to stay on 3.0 for five years, then the maintenance might not be needed." But I don't see any reason to go AT LEAST to 4.0 right now, let alone 5.0. Granted, we're still seeing bugs getting worked out in 5.0, but they're getting worked out. You won't see that in 3.0. And there are some doozies there. I would imagine that with the impending 5.1 release, that 4.0 will become a dead horse as well (from a support perspective).

Version 4.0 is a dead horse from the perspective that it is only supported,
but no changes or patches. But why do say there is no reason to go to
versions 4 or 5?

I should have capitalized the IF on my statement saying: "IF you plan to
stay on 3.0 for five years, then the maintenance might not be needed." But
I don't see any reason to go AT LEAST to 4.0 right now, let alone 5.0.
Granted, we're still seeing bugs getting worked out in 5.0, but they're
getting worked out. You won't see that in 3.0. And there are some doozies
there. I would imagine that with the impending 5.1 release, that 4.0 will
become a dead horse as well (from a support perspective).

Yes, you get the updates, I only would suggest you go with reduced
maintenance if you can deal with MOST of your issues yourself. Go to the
website and look at your call record from last year. If you've got fewer
than 20 or 15 calls for the year you can probably safely go there. If you'
re talking 30,40, 50 plus calls a year, you're better off staying with the
full plan.

With the reduced agreement do you get the updates? Is this available or a
suggestion?

The maintenance fees, while I agree are quite large, also in most software
companies help fund development of new versions and maintenance of the
support center personnel.

I wish Epicor was a little more pro-active, when they have a patch come out
they could send an e-mail to this forum giving the patch number and a brief
synopsis of the changes. They don't hesitate to send us e-mail when they
want to sell or promote something.

Software packages I've used in the past sent out updates quarterly (give or
take) with new versions every 12-18 months. Patches were provided to
correct deficiencies in the software.

Well that's my $.02.

One suggestion is that you go to a reduced agreement plan. (This is where
you only have so many hours of call in time then when you exceed your
planned hours you are charged by the call). You have the option at anytime
to go back to a full time. We've gone to this plan because we only have
about 10 calls to tech a year. We are able to handle most of the issues.
(The group here has been a huge contribution to not having to call) Even
the reduced maintenance plan gives you access to the web site, (very
valuable too). Lastly, while the cost is Painful (very painful) for all of
us the cost of being WITHOUT this service could be even more expensive. I
really suggest you maintain SOME maintenance plan rather than none at all.

I think the idea of the penalty (which I can understand), is that if you
decide to drop your support agreement you're making a decision to go it
alone for good. Otherwise people would drop the agreement for a few months,
and then start paying it again if they have a few questions for tech
support.

If you are on 3.0 and plan to stay there for the next 5 years, you probably
won't be needing your maintenance agreement because Epicor won't be
upgrading 3.0 any longer and other than a knowledge base of articles
relating to past 3.0 issues, they probably won't dig really deeply into
problems that come up.

the 10 hours plan. You still get upgrades, patches and you can use support
