Requisition Entry

Hi
In requisition entry has anyone created a BPM to populate the plant ship
to address based off the plant the user enters the request, we have
multiple locations and the system defaults to the company address only?

I am also very interested in this BPM

Thank you

Hi Lam,

I would be interested in this code as well. I have been trying to get a
BPM to send an e-mail to the Dispatcher, but can't get it to work unless
there is a change after the original entry. If you wouldn't mind sending
it to me, I would really appreciate it.

Thanks,
Paula

Hi Group,

Had anyone used Requisition in Purchasing Management? I would like to
have your opinions and suggestions.

Any work around to use the Requisition for Inventory parts?

Thanks,

Nam
We consider it completely useless. No work arounds found by us.
Thought it was a great idea, but then couldn't make it work here.

No workaround, but...
We use requisitions for non part items. It's not perfect, but...
It leads nicely into using suggestions. Then if you can get your
engineering/job management to put parts on jobs, they show up in
suggestions. Also, min/max will show up in the same place, so that can be
used for the rest.
The three methods compliment. It doesn't give you the freedom to ask for
parts that are not required for a job, but we are in the process of trying
to have all part master parts needed on jobs, or have min/max numbers. It
may prove to be too much control, so we have left a paper requisition in
place for now to fill in the gaps. So far we are making progress, but are
finding it's helping in getting our data cleaned up also.
This was exactly the reason for my question a while back about dealing with
the costs related to consumable tooling. (still waiting for an response
from the accountant on the answers, thank you).
There are some places requisitions are not strong, like not having approval
amounts, but with some setup you can get the system to flag requisitions
that need approval using a BAM.
I would be happy to help with specific questions with as much information as
I have to this point.
Good luck,

Requisition Entry (v6.1) is very weak, but we have been able to
eliminate our paper system. The inability to requisition inventory
items is a major pain, but it can be worked around. Our
requisitioners enter the inventory part number, which pulls up the
inventory description. They then add "I need " before the stock
part number (anything will work). This is now a non-inventory part,
but the description stays. The requisition is then processed like
normal. Purchasing is aware that the "I need" parts are to be
converted back to the inventory part number when the order is
placed. This does break the link between the PO and the
requisition, but the requisitioner can at least confirm their
requisition was converted to an order and a quick check of the Part
Tracker will give them the details. (Purchasing was historically
being blamed for delays that were actually due to the approval
process or the requisitioner dating the requisition but forgetting
to turn it in.)

Two issues with the requisitions you should be aware of is:
(A) All requisitions have to go through an approval cycle, even if
the amount is within the spending limits of the one entering the
requisition. Not complicated, but it is a few extra screens and you
will hear a lot of "Why's"
(B) Vantage does not manage approval limit for requisitions. We
are small enough that the buyers can remind folks who forget to get
the correct level of approval (actually rarely happens), but this
could be a huge issue for a sizable company.

I will be glad to answer any other questions about what we are doing
with requisitions off-line.

When entering a requisition, why does it not pull information such as
price from the supplier price sheet when the supplier is entered?
If the requisitioner just enters any price correct or not - the
purchase order pulls that price on the requisition not from the price
sheet. Which makes the purchase order incorrect.

Anyone using Requisition Entry?

I started dabbling with this today and noticed, within 'Help', that it documents that you cannot enter a requisition for material that will be stocked upon receipt. So, I continued to process my item anyway (from my Part Master and Qty. Bearing). Once everything was entered and I tried to save I received an error telling me that I cannont requisition an Inventory/Quantity Bearing part. This appears to creat an issue for us.

Our scenario... New (large) order comes in. Item is on our pull system. Only create Jobs when triggered by the pull. Do not create one large Job. Requires a bunch of material. Material is brought in when the individual Job is released. Need to get the information to Purchasing, for the total purchase. Wanted to do this via Requisition.

How do/would others handle this scenario?

Mark and Matt... Thanks for the input.

To answer Mark, we do use Purchase Suggestions. The issue here is that the planner will not be creating one or many Jobs up front. This is basically a KanBan part (which we are not yet using in Vantage). We currently use magnets, and when the magnet is pulled and goes to the planner, the Job will then be created. So, I need to get the full information to purchasing so that all of the material can be bought and then put on a pull system with the material supplier.

Matt, very creative. I like that idea. Let me clarify... I like the idea since I don't have the option to requisition a Qty. Bearing part. Don't get it, but can see it falling on deaf ears. I will give this a little test, however I can only imagine the flack I am going to get from our purchaing group.

Thanks again to you both.

Yes, I would agree with Mark.

Another work around would be to create the requisition, bring in the qty bearing part number into the requisition. Before saving the requisition have the person put an asterisk * or some other mark at the end of the part number.

The asterisk, fools the requisition process .......... So when the requisition is turned into a purchase suggestion the buyer seeing the purchase requisition can recognize the part. The buyer then converts the suggestion (still with the asterisk) into a purchase order.

The buyer then has to manually remove the asterisk or re-enter a line with the qty bearing part and delete the line with the bogus part number (in the purchase order).

We have complained, asked, begged etc. for requisition to be available for qty bearing but it has been on deaf ears.

Could you use the Purchase Suggestion feature to show you requirements after your jobs are entered?

You could then use Dashboards to view Suggestions by Buyers and such.

We use MRP and have the Generate PO Suggestions flag on for all of our key parts.

Note - as of 407, you can requisition a qty bearing part from the part
master file in Purchase Requisitions and have the PO created with a
Pur-Stk transaction so it can be received into inventory. That was a
specific enhancement I requested from Epicor and it is in the 407
release.

I have tested this on this release level and it works fine.

We've experiemented with requisitions for inventory because the "what's new in .407" stated it could be done but all the supporting help files/training materials said it could not. What we found is that if you requisition "other" instead of "stock" the PO will still put the PO line on the "inventory" tab. I'm not sure why but I suspect it is because it recognized the part number as opposed to something where you created the part number on the fly.

I need to create a customization to prevent user's from accessing requisitions that they did not create. How do I limit/filter what information gets pulled into a screen? How do I prevent a user from searching for a req they didn't author? Is it even possible?

I don't think a BPM will work. I need a second, unmodified, Requisition Entry screen for managers to modify and approve reqs.
Hi, I have done something similar in Project Entry. But it doesn't stop people seeing the list of projects it just stops them when they choose one which isn't related to them. In terms of one for managers, I would create a form for the above. Create a menu item for this . Create another form and menu item for the managers and place security around.

Subject: [Vantage] Requisition Entry

Â
I need to create a customization to prevent user's from accessing requisitions that they did not create. How do I limit/filter what information gets pulled into a screen? How do I prevent a user from searching for a req they didn't author? Is it even possible?

I don't think a BPM will work. I need a second, unmodified, Requisition Entry screen for managers to modify and approve reqs.

I have written a couple of BPM's in this area. My scenario does not stop a user from seeing/viewing another users requisition. However, it does stop one from entering someone elses name as the requestor. The intent was to limit falsifying a requisition or changing it along the way. I also have it sending an email notification once the requisition needs approval.

Not sure if that is what you are looking for. Feel free to contact me off list if appropriate.

Jeff

Hi Jeff,

I am working on some BPMs for Requisitions and PO approvals. But I had a hard time deciding whether to use BAM or BPMs.Which code you use for your BPM? I am also trying to send email notifictions to the requestor and the dispatcher in the Requisition Entry.

Thanks,

lissette

Hi Lissette,

I apologize for the delay. After I started going through everything I decided to put some screenshots together and drop everything in a Word document. I will send it to you off-list.

Hi Lissette,

Are you still need BPMs for emailing Req. If so, I will email to you some codes that do just that. I have it working very nicely.

Yes Please That will be really helpful. Our requisitions go through many different approval levels and everybody needs to be notified when a Req is submitted and Approved. Any help is appretiated!!

Lam I would also be interested in this code, we've put that on hold until someone had time to do it so having your code would help dramatically :).
