Kara,
The credit memos that are created from cash receipts posting of overpayments
by customers do not affect your G/L sales. They will credit your A/R
account. If you have some of these, your rb report will be less than your
income statements. If your report is not joining to InvcHead table, you can
filter at the Invcdtl table. The part number will be blank and the
description starts with "Unapplied".

Jim,
I am using the total sales number on my income statement. This consists
of
sales from 2 locations less sales allowances & discounts from each
location.
All credit memos should be reflected in the regular sales accounts. My RB
report is less than my income statement. I will try to look at misc
charges
alone and see if that's my difference.

I downloaded the Sales by state report, and I seem to be about 1

Do you give discounts? If so the calculation for selling price may need to
reflect this. See which field is being used to calculate the sales $ and
that should tell you which figure is being used.

Thanks for your suggestion. We do give discounts, but the number is small
in comparison to the number I am off by. I am using the field
InvcHead.InvoiceAmt to get my number. I probably am not accounting for
discounts in my current report and should be, but I think there is still
something else wrong.

Looking at the report downloaded from the site it uses the extended price
which is calculated as the (ShipQty/PricePer) * UnitPrice. If you have any
tax or misc. charges they will not be in the price or accounted for on the
report. What report are you using to try and match to? G/L Distribution?
Sales Analysis? If the report builder report is less you may want to look at
your misc. charges and taxes for the month and add them to the report
builder report total and see if that is your difference. Hope that helps.

Credit Memo's will also distort the Sales Picture from the custom reports because they are not readily available on the Invoice Table. Vantage takes CM's into account when calculating Sales.

If you are using InvcHead.InvoiceAmt it will include any misc charges, for
example shipping charges, as well as discounts. Credit memos would also be
reflected with negative values. Does this help?

That is one of the first things we questioned, whether or not the report was
including credit memos and misc invoices. It is and I want it to because
the general ledger accounts that I'm comparing to also reflect those
amounts.

Misc. Charges (as opposed to Misc. Invoices) are probably not included in
your RB report. When I went through a similar exercise, I ended up doing a
report for just the Misc. Charges.
If you typically have a lot of expedite, tooling or engineering charges,
this could be contributing to your discrepancy.

in comparison to the number I am off by. I am using the field

Report or actual sales (I assume actual sales come from your financial
statements)?
Actual sales could be less due to the fact that Misc Charges are included
in the InvcHead.InvoiceAmt but might be going to a non-sales account in your
G/L. I would check your misc. charge details to see what G/L acct they are
posted to. Look at the Invcmisc table for those details.
The Sales report could be showing less due to several reasons. Do customers
ever overpay invoices and you have to put the overpayment "on account".
This activity creates invoices (credit memo) that you might be including.
You can filter those out at the InvcHead. InvcHead.UnappliedCash<>Yes will
exclude from report.

One thought is whether you have any deferred revenue type invoicing.
Advanced payment or Deposit invoices will go to deferred revenue instead of
sales. Also the final invoice will record the whole sale into the G/L but
your report would should only the balance of the invoice (sale-previously
billed amounts)
Just another thing to look at besides the things already mentioned.

Jim,
I am using the total sales number on my income statement. This consists of
sales from 2 locations less sales allowances & discounts from each location.
All credit memos should be reflected in the regular sales accounts. My RB
report is less than my income statement. I will try to look at misc charges
alone and see if that's my difference.
