Tax experts needed

Hi,

I am currently upgrading from Avante to E9 and also purchased Avatax. I am in test mode right now but want to also test out the Avatax portion as well. Avalara tells me that I need to setup a "Test" company in E9 with the same name that I use in Avatax (their admin console). They said it has to be different from our Live account even though I plan on testing this in "TEST" with our primary company name.

Do I really need to create a new company and load up all the data for it in order to test Avatax. Has anyone else gone thru this?

Thanks,

Bob Jessop

Manasa,

We used Vantage tax regions for years before going to Avalara.

The easy fix is to setup your miscellaneous charge ID's correctly. There is the option to make a misc charge taxable or non-taxable.

As far as Avalara is concerned. I HIGHLY recommend this module if you are constantly creating new sales tax codes and regions. We bill/ship to potentially 5,000 new locations per year. In the past, for every new location we would have to spend time doing tax code research for city, county, and state...not to mention maintenance when tax rates change. Going with Avalara was an easy sell. It's not expensive and paid for itself within the first 6 months. Not to mention the rate of accuracy is superior to our AR person researching tax rates :-)

Avatax solved a HUGE business problem for us. I could go on about why I LOVE Avatax, but I won't.

All those who have to pay taxes to the state because of NEXUS, are you
using Avalara or are you doing this through Epicor?

If you are doing this through Epicor, do you have to calculate this
manually or do you allow the system to calculate it for you?

I ask because we have found that if we let the system calculate it for
us, it charges taxes on any miscellaneous charges that may be on the
invoice. I'm trying to find a way around this, but am thinking this is
why Avalara is out there to begin with. Am I wrong on this? If so,
would you share with me what you did to get around this?

Manasa,

We charge sales tax thru Vantage. You can go to the A/R setup menu and
open sales tax category. Enter as new 'tax exempt" and save. Then go to
the Misc Charge in the setup and you can take any Misc Charge and
designate it as tax exempt in the Tax Category box, such as freight etc.
It's been awhile since I was in there but this should give you a general
idea.

Good Day Manasa:

Sun Is on M2K (Informix) but,
Going to: Epicor 9, 9.04.505B ( maybe 9.05), SQL (go live date is
8/1/10 ? )

In Manage-2000 ( I assume similar in V8):

Set up for Extra Charge Codes includes Taxable Field -- prompt 5
TABLE.MAINT ( Table 19)- see below

Each line of the SO can be marked T or E.

We use CCH: Each month we download the tables >> Import into M2K >>
M2K reads the rate based on GEO code ( GEO = zip except when one zip has
two GEO's- then you get a pop up to pick one)

This did require buying Epicor's "Tax Module". Works very well.

CCH costs about $4,000 per year. For an extra charge, you can
export the monthly sales information to CCH and they will do the returns
- we do not do that since M2K gives a report that lists down all the
data needed to needed for the form.

We will do something similar for E9, but CCH is not the service they
wrote it for; they wrote it for Avalara

Good Day Jennifer:

Will Avalara fill out, and file, the returns for you if you send
them the data?

Do you do that, or file them yourself.

We use Avalara/Tax Connect. If you have Nexus in a number of states, I believe it is well worth the money. We have Nexus in a number of states, so it really pays off for us. Just where we (WI) are we have so many taxing districts and different rules for what is and is not taxable - some states freight is taxable, some not, some MISC charges, depending on what they are are taxable, some not. Avalara sifts that all out and charges tax correctly. We were one of the first companies on it and now that bugs are worked out of the Epicor side, it has been solid for some time now. We also like the address validation part of it too - that helps with shipping and eliminating bad addresses.

You can file tax returns through Avalara.

I've dealt with Vertex and hosting tax info inside - the updates will kill you. IMHO I can't imagine doing state taxes by "hand" if you have any volume at all.
