I create BAQ’s as our small company finds a need. I am not computer literate, I just learn as I go along.
My most recent creation was an updatable BAQ to add purchase order numbers to posted AR invoices. All is good with this updating our invoice reports, AR Aging and most of the Customer Tracker fields except in Customer Tracker the Financial-Invoices-Invoice Lines “PO” field does not update.
I don’t know how to link this field to my BAQ to update this particular item. If anyone could help me with this last piece of the puzzle, I would appreciate it very much.
select
[Customer].[CustID] as [Customer_CustID],
[InvcHead].[PONum] as [InvcHead_PONum],
[InvcHead].[InvoiceNum] as [InvcHead_InvoiceNum],
[InvcHead].[InvoiceDate] as [InvcHead_InvoiceDate],
[Customer].[Name] as [Customer_Name]
from Erp.InvcHead as InvcHead
inner join Erp.Customer as Customer on
InvcHead.Company = Customer.Company
and InvcHead.CustNum = Customer.CustNum
where (InvcHead.InvoiceNum = 144913)
Thank you for this solution. I’ve discovered that my BAQ will not work in our upgrade to the off site cloud version. We will be going live in November.
The error I am getting is:
Severity: Exception, Table: InvcHead, RowID: fa5599e9-39f5-4042-b9ab-546870bd242d, Text: Only Due Date, Terms, Letter of Credit, Payment Method, Blocked Finance Charges and Recurring, Reclassification and Amortization fields are allowed to be modified on a Posted AR Invoice.
Does anyone know of a way to enter a PO number on an AR invoice that has been posted?
Yeah, I was a little surprised it worked as Epicor’s menu only allows terms and due dates to be updated (AR Posted Invoice Update). I don’t think there’s a way to do this. What issue are you trying to solve? Maybe there are different ways to fix it.
Our issue is that often our customers will not issue a PO until they have the final dollar amount. By the time we get the PO number from the customer, we have already processed and posted the AR Invoice. Our company is more of a custom manufacturing shop and tends to do this backwards sometimes.
We need to be able to update the PO Number field in Epicor so when we print the AR Aging, Invoices and look up the information in Customer Tracker the PO Number is listed.
Can we create a field or override an existing unused field that will appear in these same applications?
First thing that comes to mind is a BPM that won’t allow you to post the AR invoice without a PO. That could create issues as you may not have a PO number at that stage. And you would probably still need to add invoices without POs (like misc invoices).
Second thing is an UD table which holds company, invoice num and PO number. Depending on how many places you would want to see that PO no in (forms, reports, dashboards), this could be a lot of work. But it will allow the edit of the PO number at any time.
Hmmm, I think the UD table might work. I’ll have to research how to do that. I’ve never done that before.
Thank you for this idea; it may take me some time; I need to see if I can get this to work in the Invoice Tracker, AR Aging and Customer Tracker fields.
UD is my thought as well. Invoice records get pretty locked down once Posted for obviously good reason but a UD on InvcHed or InvcDtl may do what you need.
