V6.1: Multiple customers with the same bill to

Jeremy,

Just off the cuff, but why not use the central account and the Ship
To info as you proposed, but collect the individual office
information in the Attn: field in the Sold To information. If you
are dealing with multiple sites, chances are that you are dealing
with a single buyer at each one. You could use "Tulsa" or "Tulsa -
Joe Smith" to help track the individual stores. The VB forms will
work as well, but it is always nice to keep everything on the same
screen if possible.

do so for one account at a time. We get one check that may be
paying on 10 accounts so she has to enter the Check Header 10
times. If it was just that, it wouldn't be a problem but the
central billing location will short pay one site based on a credit
at another site or take a discount on an Invoice for one site that
was on another site or just short pay an invoice based on some other
reason for another account that has no credit. The last scenario is
the worst we have to deal with. What this causes is all kinds of
adjustments and credits. What took her 10 minutes in our old system
now takes her an hour. These are not exceptions, the are very
common on almost every check she receives and we have many parent
accounts that are like this.

Hello,

Some advise here would be good.

We have a customer with 30 or so locations. They all order from us individually and we send the invoices to the same central billing location. The individual sites probably are going to ask us to ship directly to their customer.

Right now we have it setup as one Parent Company with many Child companies and lots of Ship To Address for each. Everything works fine until we receive payment. The person that does AR is not happy with the way Vantage works. When entering Cash Receipts you have to do so for one account at a time. We get one check that may be paying on 10 accounts so she has to enter the Check Header 10 times. If it was just that, it wouldn't be a problem but the central billing location will short pay one site based on a credit at another site or take a discount on an Invoice for one site that was on another site or just short pay an invoice based on some other reason for another account that has no credit. The last scenario is the worst we have to deal with. What this causes is all kinds of adjustments and credits. What took her 10 minutes in our old system now takes her an hour. These are not exceptions, the are very common on almost every check she receives and we have many parent accounts that are like this.

One possible solution would be to combine them all into one central account, use the ship to like normal and then add a VB form field to identify which location that was actually placing the order.

I was just wondering, before I go messing up things for her even more, what solution others had come up with? You would think that we would have the option to apply the invoices/credits all to the parent account.

We do have CRM but we currently do not have it loaded. Is there anything in here that could help?

Thanks
Jeremy
