Vendor Part number vs. Created part Number

Thanks all for your responses. It certainly has given me better
direction and strengthens my position for when I am asked why we did
what we did :o)

tracking sales/history and allows you to control the part number.

Everything going into OUR database is controlled us. We have a definitive
part numbering procedure, with guidelines on who, how and what gets part
numbers in Vantage. We have an 11 digit scheme counting the hyphens
(XX-XXXXX-XX). The 5 digit middle number is sequenced numerically, the
prefix and suffix can be either numbers or letters. This works nice for
subcomponent assemblies because you can have the same 5 digit middle number
and vary suffix for different states of subassemblies, and in general groups
all the subs together. We reserved the 1st 39999 numbers to manufactured
parts, the 50000 series is for purchased parts only. With this you can
group like things together. 40000 to 49999 are reserved for raw materials.
With prefixes and suffixes using both letters and numbers the part numbers
won't run out for 200 years.

Simple suggestion:

Setup a part number system for your purchased parts. Only allow a
handful of users trained in assigning numbers access to the part
master.

We used '-' dashes to separate the part categories like follows:
77-2-5-1 Kiwi, Large, Green, Oval shaped
77-1-5-1 Kiwi, Small, Green, Oval shaped
77-2-5-2 Kiwi, Large, Green, Round shaped
77-2-2-1 Kiwi, Large, Yellow, Oval shaped
79-2-5-1 Mangoes, Large, Green, Oval shaped
79-1-5-1 Mangoes, Small, Green, Oval shaped
79-2-5-2 Mangoes, Large, Green, Round shaped
79-2-2-1 Mangoes, Large, Yellow, Oval shaped
19-12-5 Box, 12x24, Pre-printed label
19-11-5 Box, 12x18, Pre-printed label
19-9-5 Box, 8x16, Pre-printed label
19-2-2 Box, 3x3, Unlabeled

This also allows you to report your parts with a simple prefix
filtered report.

As for the number of characters in the part number field, this increases
in version 8 of Vantage.

We are a contract manufacturer, so we work off of our customer drawings to
build their products. Most of our customer drawings give a manufacturer's
part number, therefore our sales, purchasing, estimating and production
staff find it easiest to use the manufacturer's part number as our part
number. (IE. Tyco makes connector XYZ, most customers call it part XYZ but
some do have their own numbers for it, vendor A calls it part 1, vendor B
calls it part 2, we call it XYZ since that is the part number the OEM gave
it.) On the few occasions when we have duplicate numbers, we will then
assign our own part number. From the responses though, it looks like we are
in the minority using this process.

We didn't have to deal with a 20 character limit in Vantage v6.1. We are in
the process of implementing v8 and it has a 50 character limit.

It is my opinion (as a DB programmer) that we create our own part number for
each part within Vantage, and put the vendor part number...
in the vendor part number field!

My reasoning is:
1. There are too many different formats for part numbers among
the vendors (159; DX89992-01; 00-223394-21-33451AXC112)
2. There is a possibility of having more than one part number
for two different parts for two different vendors. Ie. Bob's Kiwi's Small
Kiwi bird is part 234; Sam's Large brown egg is part 234 also. (We don't
really deal in birds :o)

Now my question... How do others do this? Vendor or Personal part Number?

If Personal Part number, what happens when someone adds a new part?
How does the purchasing person determine what part number to give it?

If Vendor part, have you had many issues doing this? How do you handle the
20 character limitation Vantage 6.1 has for part numbers?

I have opened a ticket with tech support because we have a number of part
numbers (vendors) which are more than 20 characters long. No response as of
yet.

We have done the same here. I inherited the numbering system, but it works
so I have no desire to change it.
Purchasing holds the key, no one else can create a number, if engineering
needs one they ask purchasing.
We use a six digit number, the category being represented by the first 2
digits. The description is descriptive of the item and the vendor number is
in the appropriate field as well. This allows the search feature to be a
real aid.
010000 - 019999 is miscellaneous
020000 - 029999 is something else, Drills, Endmills, Inserts, Chemicals,
office supplies all have a different group.
etc.
We don't use very much hardware except for machines and maintenance. I have
a generic Hardware number in the system for those purchases.

Purchased material for production has a completely different system. It
relates to the manufactured part, which is customer specific.
XXXX-YYY-M01 This is something the shop would modify or use as a raw
material for the jobs.
In one case we had an unusual job where we bought parts to help assemble a
larger machine, this isn't our usual operation, and we want to segregate
these from the general hardware population. So a new 800000 series was
created, and these items located in a place of their own.

I have always felt very strongly as a purchasing manager and an inventory
manager to set up your own part number. I went so far as to create a part
numbering system using a consistent logical alpha and numeric structure that
would identify the physical characteristics of the items being numbered.
This method greatly enhances the end user's ability to locate parts in your
database and prevents items from being duplicated. I would also include in
your argument that if you develop Bills Of Materials, you will not have to
continually change the part numbers of your BOM if your vendors or vendor
part numbers change over time. By the way I have been fighting this issue
for 10 years. Good luck.

Generally you want to set up your own part number as this will help with
tracking sales/history and allows you to control the part number.
