Where do you update the Completed Qty for a job?

Rob -

Guessing by your tone, I've probably asked how to do something that I
thought would solve some other problem. So I'll take a step back and
explain my 'original' problem, and what I was hoping to do about it.

Original Problem
================
Accounting is going crazy because $$$ are left in WIP, because we
often ship a Job before the materials are issued to it. And we were
never closing/completing jobs.

Doing it 'out of order' leads to the following inventory related GL
transactions:

1. Job 123 is shipped, $$$ in WIP moved to A/R clearing. Because the
$$$ in WIP for job 123 are zero at the time the shipment is made,
nothing gets moved to A/R Clearing

2. Invoice created, $$$ in A/R Clearing moved to Cost of Sales. Agin
the $$$ associated with job 123 are zero.

3. Material issued to job 123, $$$ in Inventory moved to WIP. Now WIP
has $$$ associated with job 123.

4. Close Job 123, $$$ in WIP related to job 123 'purged' to COS. But
if we don't close the job, the $$$ in WIP are 'orphaned' and
accounting has to make GL Entries to move the orphaned $$$ from WIP
to COS.

From your statement, "Why are trying to Close a make-direct job still
linked to a (presumably unshipped and invoiced) sales line/release?",
I assume that the Shipping and Invoicing processes should handle the
orphaned WIP, withou the need to close/complete the job.

order/line/release, (this will make the job qty go to zero so re-

sales order/line/release so it is no longer Make Direct.

How do you update the Completed Qty field for a Job type of 'Make to
Order'?

I've issued the all the material for the job, and production has
completed a certain qty. If I try to close the job using the 'Job
Closing' program, it balks that my completed qty(which shows up as
zero) does not match the job qty.

The Sales Order line is 'Make to Order', so I fear that receiving the
finished part into inventory will prevent me from shipping against the
original order. Will a 'Make to Order' line on a sales order allow
some or all of the part be pulled from stock?

Thanks,

Calvin
The completed qty comes from the labor entry on the last operation or
the operation flagged as the final one

Ok, I've added an operation to the Job, with the following settings:

Labor Entry: Quantity Only
Qty/Parent = 1.0
Scrap = 0.00 %
Setup/Machine = 0.0 Hours
Prod Std = 0.1 Fixed Hours
Final Operation = True

Now where do I update the job to say that Operation 10 has completed
X pieces?

Go to Job Management--> General Ops--> Labor Entry. You will have to
pick a shop employee and then enter detail data.

Why are trying to Close a make-direct job still linked to a (presumably unshipped and invoiced) sales line/release?

If you MUST do it, receive it to some harmless warehouse bin that you can later ship from, unlink the job from the sales order/line/release, (this will make the job qty go to zero so re-enter the original job qty as a make to stock qty), and change the sales order/line/release so it is no longer Make Direct.

Not a good practice if it can be avoided.

Clock in as some valid employee ID in either MES or full license labor entry and report 10 pc's complete.

Calvin,

Not obvious is it? We don't use labour costs, only material, or have our
employees on so we set up a single default employee purely for labor
entry booking.
On the Time tab we select this employee and today (or day of completion)
and tab to create new record.
Go to the 'operation quantity' tab and the detail tab.
Enter the job no, and asmb no and the last op (it defaults to teh first
op and we have to reset it to the last one each time).
Now enter the qty completed in teh 'lab.or qty' field, aand tick
complete and op complete (if appropriate) in the operation reporting box
(I think vantage may do this automatically for you if the labor qty =
qty req).
That should be enough to get you started - check out help to see what
else you can do with it.
