Year End Processes

If you don't enter the tags at the frozen qty it will reduce your
inventory.

Manasa is right. You CAN continue to do transactions. You freeze the
inventory quantities and then when the the system posts, it uses the
difference between the counted quantity and the frozen quantity.

Here are a couple of caveats:

- At the time you freeze your inventory, make sure that all inventory
transaction have been entered! It does no good freezing your inventory if
not all transactions are in.

- Freeze zero locations!!! If you don't and you enter a count on a blank
tag, it will double your count. You'll get more tags than you want but
you'll avoid a lot of trouble later.

Hi

Any advice out there on Year End processes? For instance we have been advised not to to a Physical Inventory Count before closing the year. This doesn't make sense to me.

Did you ensure there were not jobs running so that WIP was empty?

I am also planning our first year end full physical in Epicor 9.05.700b2.
We are likely going to be still shipping on our first day after starting
the count sequence. Has anyone done this? I am assuming that the system
will still follow the on-hand quantity if we ship after we start the count
sequence. We will only be shipping items before counting them so I don't
think it should be an issue but I would appreciate some reassurance from
the group. Our production team is also thinking that they will need to be
running one or two jobs through our count process. If we issue all of the
material to the job(s) prior to starting our count sequence will there be
any adverse effects?

I suspect that like Josh & myself there are a number of people out there
about to perform a Year End for the first time. I am concerned that any
activity during a Physical Count may compromise the system and would be
surprised (pleasantly - possibly!) if you could continue shipping and
producing during a stock count. Any other business I have worked in we
always stop everything during stock take.

Looking forward to more comments on this!

You are supposed to be able to do a full physical AND continue to do normal business...at least you could do this in older versions.

I say this only because I am starting to get more familiar with version 9, and with all the weird issues 9 tends to have depending on your patch level, all I can say is test the system out.

The help section for Physical Counts is pretty good. Test out a small sample and see for yourself!

Thanks for your help! When you say "Freeze zero locations" what do you
mean by that? Don't put anything into a bin that is empty when you start
the count?

When creating tags, there's a prompt to include parts with no locations or
zero quantities in that location or something like that. It may create more
tags than you need but if you don't and you create a blank tag to count the
parts later, it will double the count upon update.
