If the items were corrected during your physical inventory, you should still receive the items in through receiving.  You will then need to adjust the quantities to reflect the correct amount.  This is the only way to get the items off of the reports.

Good afternoon all,
 
We are on Vantage 8.03.410.
 
The invoices are paid, the purchase orders are closed, but the advance payment balance report shows amounts outstanding.  
 
We have obviously done something wrong, but I would like to know if there is a way to clear these items off the report.  Some of these go back a couple of years or so.
 
Does anyone else deal with this?  I would appreciate any insight as we have had trouble figuring the whole process out.

Hi, would it be correct that the gl is correct? Also, there was a bug in that version so not necessarily an error on processing. Is the aim just to get the report correct?

Some of the items were never received in the system and of course have been corrected by physical inventory counts etc.  They however still show up on the report.  If we receive them in, it will throw off everything else.
 
On some, the full down payment was applied to the first line, the cost of which was less than the deposit.  The remaining deposit is still showing up on the report against the first line.
 
I don't know how to get rid of this stuff. 
 
We have obviously corrected the G.L. in the interim.

I don't know if this will help or not as I don't have experience with the AP prepayments. However, I have worked with the AR prepayments, maybe there's a corresponding procedure in AP. In order to remove prepayment amounts from sales orders we do a deposit billing credit memo. That creates a credit memo and removes the amount from the sales order. The dollars are moved from our prepaid AR account to the open AR account. Before we learned to do that we simply fixed things thru adjustments. However, that left the remaining deposit on the sales order and the AR advance billing/prepayment report. To fix the things we patched instead of following the correct procedure, we followed the deposit billing credit memo process and "unadjusted" our previous adjustments. Once we started following the correct process the report has been ok. We found the deposit billing credit memo process in Epicor help. We're on Epicor 9.05.701 and have used this process when we were still using Vantage. Hope this points you in the right direction!

Hi, so all documents such as invoices, payments , receipts, pos are all closed down and correct. Open balances are correct etc?

So in theory, you just need to get the report clean. I think you mentioned the entries go back a while? Also, how many entries are you talking about?

Hi, would it be correct that the gl is correct? Also, there was a bug in that version so not necessarily an error on processing. Is the aim just to get the report correct?

For goods bought on a PO, you still have to process the final invoice for $0 (to match the receipt) or it won’t come off the “received not invoiced”  report or the “Advanced Payments” report – by matching the receipt, both are cleared up with one transaction!
