AP Check Printing

We are currently in the process of implementing AP check printing
through Vantage. Initially, we were looking to purchase the checks
from Epicor, and we are looking for any feedback the group may have
regarding how this checking printing processes is working at your
companies. Our biggest concern is the correlation of the pre-printed
check numbers and the numbers being generated during the AP payment
process. What happens if the printer gets paper jammed, or checks are
out of sequence.

Any feedback would be appreciated.

I don't get checks from Epicor. The format is really basic and I get them
from a local printer.

I have no problems with preprinted check numbers. The forms come sorted so
they roll off the printer in order. Just make sure your starting number is
correct and off you go. If you have a paper jamb, I have found the best
thing for me is to delete the job at the printer and restart the process
payments function (less waste this way.) Vantage will ask for the last
good check printed and the next good check number loaded in the printer. It
could not be easier.

Check printing is nothing to fear.

We do the same thing as Edward has just described. Very basic checks from
a local printer, and I really like having them preprinted with the check
numbers. Within the past few months we changed to using a laser printer
for A/P checks, and since then we haven't wasted a single check. Before
that, our old printer had been giving us problems, and when it jammed, we
never had a problem working with Vantage to straighten everything out.

Does anybody know how to change the actual check number? I know you can override it but it does not take that value as the last good check. Is there a way to change the value of the payment number currently loaded? Somebody at one point or another printed 999999 as a check and now that is the value that always stays as the payment number currently loaded.

What if you created a new bank account with the same name but add a
period at the end. Then rename the original bank account to
inactive. In selecting the new bank account you should be able to
start and override the check number I think. Just a thought.

That would be your solution or just live with overriding.

Overriding is a pain and a control weakness. It is nice to be able to note
that the next check number is the same as the computer thinks is next.

I tested this in the training library. I created a new bank account with
the same name and account number but different ID. I paid an invoice,
overrode the check number to what really is the current check number and it
retained that number. After posting, I created another batch and now the
check number is correct with my actual check number. I only overrode it once
to set the correct check number. If someone has put in the maximum check
number, you can't change back so I think setting up a new bank account may
be an alternative.

Keep it simple, make an Excel sheet, and email the links. Most of those
things windup being short term. Use the excuse "before you expend large
resources for a full blown ap you need to know the needs and demands.
If you have many people entering data, build data entry sheets for the
individuals then link those with a locked up consolidation sheet. None
is hard or takes long.

Our customer is trying to improve their pre-existing paper trail system.
They IS department told them they couldnÂ’t wouldnÂ’t or shouldnÂ’t. So we
(not me) said let us see what we can do. So here I am. So far I basically
am in the dark as to the details. I now know that it is definitely an
Access database and they want web access to it, no import/export and email.

So I get to do this oh yea and I can’t spend money and being a “computer
guy” I know all this stuff instinctively. Born with a keyboard and a Cat 5
cable in my hand.:-)

So I get to do this oh yea and I can't spend money and being a "computer

Don't know if the link below offers any help. A while ago, my company was
exploring a means to share and collaborate with specific customers and were
using a web-based thing @ www2.companydrive.com, but eventually the project
was abandoned. That site had much potential - you could designate portions
of your area as sharable and invite specific people to register as
collaborators/partners for selected portions of your stuff. That address
does not appear to be valid anymore, but I found the site below and it
sounds very similar to what we tried.
