AP checks on laser printers

Luc,

We do not keep a copy of the checks. For the most part we rely on Vantage. But when we pay an invoice, we stamp the invoice PAID, then write the check number on the
invoice. We also keep a copy of the group edit list that shows all the check numbers on it that we printed in that run. We keep that list in a binder. But we get rid
of every them every 6 months.

On our old system, accounting use to print 2 copies of checks, but when we started Vantage that is something I elemented in accounting. I had to fight tooth and nail but I
won that battle. amd we have never needed a copy for the past two years.

For those of you that print AP checks on laser printers, how do you keep
records of the checks you send?

Print 2 copies? Photocopy before sending it?

We buy preprinted checks with 2 copies (the copy we keep is yellow) and when
we print a run of checks, we change the quantity to 2. The come in the
correct sort order based on how our printer takes them in.
We run two check runs. The first with real checks. Then we re-print with
plain paper. Occasionally, we post without re-printing checks. That's when
copying the checks comes in handy.

What for?.....I guess we just rely on Vantage.
You can always print a check register and go into
vendor tracker to see what individual invoices were
paid. A better question is where do you store all
those extra copies of checks you have? :)

Haha... good point! The Accounting Guys here, like most, have a thing for
pack-ratting away paper. They want to be able to store & retrieve a
stapled together packet of the invoices with our check and remittance advice.

But seriously; we upgraded to V4.0 two months ago, and laser checks at the
same time. Deluxe check printers has stock forms to work with many
software packages. I spotted one in the catalog that was workable with
Vantage and ordered that. They're all available in "2 part" with the
checks and duplicate forms interleaved. You'll need to figure out if your
printer feeds from the top or bottom of the stack and order the numbers
forward or reverse. They hit us for $0.24/ea for 1000 of the 2-part'ers
(rather steep?)

Crystal and/or Vantage refuse to honor your printer settings, so we had to
go in every time we printed and bump the copy count to two. That's error
prone, and just unnecessary. I figured out a hack in our print server to
have it force in the control codes to make the printer do two copies every
time. Write me if you'd like details.

Hi Luc,

Out of curiosity, why do you keep a "copy" of a check? The system has
the record retention required. In our organization I had a difficult
time convincing (eventually directing) the staff to cease and desist
creating and maintaining paper copies of everything they generated. I
have found that almost 90% of the paper copies we maintained previously
have turned out to be "non value added" efforts on the part of the staff
to maintain a sense of security. Is that your case, or is there a
requirement for the copy?
