Closing the month in V8

I really want to thank everyone for their opinions and insights
regarding month end. I think I need to get my finance person properly
trained, but I need to figure out how to do it tactfully!

Everyone,

My head of finance is new to the position and wasn't part of our
implementation. When it's time to close the month, she's asking
everyone to stay out of the system until she's "done". I'm not an
accounting type, so it's hard for me to understand why no one can be
using the system just because she's closing the month. She seems to
think Vantage requires this. Can anyone offer any insight?

I'm not an accounting type either, but our controller here does not require
this. I do know he comes in on Saturday to his month end close stuff... but
we also have a weekend shift that is using the system during this time
without issue. We've been using vantage for over 6 years without ever
having a time when we couldn't do something in the system because of
accounting... if there's some specific reason she has and you want me to ask
him about the effects of it, I'd be happy to...

We're on 6.1 and I assume 8.0 is the same since it's just an upgrade but if your finance person is running the COS/Wip capture and post routine and someone happens to be editing a record she will get the "record in use by XXX" message. Irritating but not a show stopper. But, easier if no one is in the system. This function doesn't take long to run so she shouldn't be asking you to stay out too long.

We generally do this later in the day or in the evening so as not to disrupt operations.

I can not speak for version 8.0, we are currently on version 6.1, but we
have always (Past 9 years on Vantage) been able to close the month without
throwing everyone else out of the system

I do not require anyone to stop what they are doing at month end. Over the
years there have been a couple of small issues with the AP clearing account
but nothing that would warrant holding up everyone else from doing their
job. We are on v6.1.

On the last day of the month, I print inventory reports and A/P clearing
reports. I usually do this after everyone has gone home so that no one
is receiving inventory. I have tried to reconcile to an inventory
report that was printed after the end of the month, but it was too
cumbersome. Since I have printed inventory reports on the last day of
the month, my inventory is off only a few dollars from my G/L. I also
make sure all A/P and A/R batches are posted, before I print the
reports.

We are on 6.1, although I do not tell employees to get out of the
system, I do tell them to NOT enter any "current month" transactions
(i.e. receiving/labor entry/inventory transactions/packslipping), on the
first day of the "current month", until I am finished with the
WIP/Capture Post routine. Because we run a second shift, we are always
keying in labor (no data collection module) and making final receipts in
the system the following day (backdated to the proper date). Once they
are all done with "prior month" transactions, I do a quick tieout of
inventory, then run the WIP/Capture Post routine. Once completed
(around noon - we have three companies, so I have to do this for each
company), I let them know it's OK to enter "current month" transactions
(and if there was a "prior month" entry that was missed, they are NOT to
backdate to the proper date, but use the first day of the "current
month". Prior to this cutoff routine, we would have large GL to stock
status/WIP report swings from one month to another (as much as $10k or
more) -- but now, they are less than $2,000 a month (on $1.5M of
inventory) - primarily in the WIP-Subcontract account.

Sounds like there might be a better way, but since this cutoff process
works for us, I'm not going to change it.
