Credit Memo Process Help - 905701

Haha yup, that would be the start of my problem then. I don't already have a misc charge on the job b/c the original PO was created for actual job material. So right now I'm trying to reverse a misc charge that doesn't exist and has no cost, hence the error. 

How else could I reverse job costs for PO material bought directly to a job through a debit memo?

I'm struggling to come up with a process to handle credit memos.  ( I believe Epicor calls them debit memos).  My problem is job costing.  I can enter an invoice where the vendor charged us to much, post it, then create a debit memo to reduce the original invoice by some amount. The problem is that it doesn't reduce the cost of the material on the job or in WIP.  We don't have the DMR module so using that isn't really an option. Does anyone know of any tips or processes to reduce the cost of an original invoice, and also reduce my job costs?

Couldn't you simply modify the cost on the AP invoice that is matching the Receiver rather than creating a debit memo?  That would flow directly as a job cost adjustment.

We thought about that and it seems like a really good idea. Unfortunately, we typically don't get a debit memo until a few weeks after the invoice. And we don't pay the original invoice until we have the debit memo in hand. So I need to be able to enter the original invoice so it will show up in my aged receivables report, but hold payment until I have posted the debit memo as well. I have pretty much every part of this process worked out except how to reverse the job costs without doing a job adjustment. 

My other idea right now if nothing else works is to create a workflow in service connect to do this, but I feel like epicor has to have some way of doing this.

The Debit Memo will not affect the cost of a part.

 

I am not how you are issuing material to jobs or if you are buying material to a job?

 

Was the PO correct?  Or was it the same price as the AP Invoice?

 

I run the Inventory WIP reconciliation report for ADJ-PUR transaction on a routine basis.

 

This is where the Invoice is different than the PO.

 

Then I make a cost adjustment for the part.

The vendor, created an invoice for the wrong amount and sent it to us. Because our POs are typically multi-line, we'll log the first invoice and then hold it until they issue a credit for the lines that are over priced.

So – the job cost should be correct if the PO was correct.

 

Did you get a ADJ-PUR transaction after you processed the invoice?

I did, epicor created the ADJ-PUR to increase the Job cost and WIP. This part makes sense, but then I need to reverse it once I receive my credit for those parts.

When you enter a debit memo, you can do it as a misc job charge and apply it to the job / assembly / mtl sequence reference.  It's a bit manual, but it will push it through to the job.

Have you actually tried entering it as a misc job charge on a Debit Memo. Whenever I try i run into two errors:
1. Epicor says the amount of the "Debit Memo Exceeds the job costs"
2. The invoice is left unbalanced because no credit line is created for the G/L

I've checked out GL setup and every account in the GL control code for AP and WIP has a GL account listed. So I'm not sure why it isn't hitting anything. I suppose I'm doing something wrong, but can't figure out what it is.

In order to process the debit memo as a misc job charge, you need to
have more cost charged on the misc job charge than the amount of the
