Unless they are on the accounts due to errors, credit memos on customer accounts are usually property of the customer. Before you clear these off the aging report, consider issuing a refund check. to post direct to the revenue account that you credited and then everything
is sorted. The issue then is that you have created a 'fake' invoice to
balance it out - would your Auditors be happy with that? You would need to

The "proper" thing to do is to cut a check to the customer.



Offset the credit in AR with an adjustment to the suspense account of
your choice. Set the customer up as a supplier. Enter a voucher
against the suspense account that you adjusted the credit out of AR to.
Then cut the check.

Unless they are on the accounts due to errors, credit memos on customer accounts are usually property of the customer. Before you clear these off the aging report, consider issuing a refund check. Also check with your state on Unclaimed Property laws. After a period of dormancy, you may be required to turn the money over to the state.
