Epicor Collaborate and a general PSA

Morning everybody!

This is a PSA to double, triple, quadruple check what modules/licenses you have access to as a part of your Epicor package. There very well could be a module you may be missing that needs to be activated. I would say this is especially important during the implementation phase, so you have proper time to setup and test said modules.

So, I was recently digging through our licenses in Company Configuration , and I stumbled on Epicor Collaborate. I recalled that back in our first couple of meetings with Epicor when we were setting up the project, they had mentioned that it was included as a part of our package.

However, the weird thing is - Collaborate wasn’t checked for “Licensed” or “Enabled” in our PROD environment or in TEST which was a bit strange, as we were supposed to have it based on our contract.

I put a ticket in with support and asked them to validate if we indeed were supposed to have Collaborate in our environment or not and provided them the details mentioned above. Support put in a request with the cloud team to activate the module for us. (As they agreed based on the information provided that we should have access to it.) The cloud team came back and advised that we needed to check with our Account Manager on the sales side to verify if we have Collaborate because based on what they could see, there was no indication that we have a Collaborate license.

I reached out to our account manager and finally received verification that we indeed DO have Collaborate as part of our package, but it just needed turned on by the Sales team first and THEN the cloud folks can enable both the license and the module.

The part that is a bit frustrating about this whole process, is that had I not stumbled upon Collaborate and remembered that it was something that was to be included in our system, there’s a good possibility it would have gone unused completely. The big thing is that this is a PAID module and not out of the box. So it’s something that we have actively been paying for, but really had no idea about because it was not conveyed to us throughout the implementation process.

I’ve since begun the setup and things are moving along just fine, but I just wanted to give a heads up to everyone to be sure to check your documentation and make sure you have all the modules/licenses that you agreed upon, especially if it is something you are paying additionally for.

We’re all busy and human, so it’s natural that things will get missed on both sides. But, I hope my experience can save someone some trouble and get you access to more tools that can be super beneficial.
