Help with BPM that will notify Customer Service when Cash Receipt posted for customer with order on hold

Wanting to create a BPM that will trigger and send email to customer service that an order can be taken off hold because Cash Receipt has been received for that customer.

Is there a way that an automatic notification can be sent to Customer Service when a deposit cash receipt is entered against an order that is marked HOLD?

Certainly there is.

What I was getting at was:

  • 1 → Is email the best way to notify them? (What’s the business problem?)
  • 2 → Technical, are there any specific criteria besides what has been stated?

Not trying to bust your chops at all, we just try to ask these questions before answering, in case there is a better way to solve your problem.

If you were going to do this, would you want it on entry, or on posting?

After discussing with Accounting, they would want it to happen on posting

Just throwing another piece of the puzzle here too.

How is the order on hold?
Is it credit hold (based on the customer) or the Hold field on the OrderHead?

After the payment is made, how will the hold be removed?
If the customer is on credit hold - will you use credit manager to override the credit hold on the order (best practice) or take the customer off hold?

If the order is on hold - someone will uncheck the box in order entry.

Would you want these to trigger the email?

For Prepaid Order is on Hold through Hold Field in Order Head. Customer is not on Credit Hold… For 50/50 Orders, customer is set Credit hold once 50% front end invoice is created, So CS will need to be notified when first 50% invoice is paid to release order to production. Hold will be removed by Customer Service after payment is posted. Need the posting process to email Customer Service team to let them know payment has been made. need it to only email CS for Orders that has terms of PrePaid or 50/50

My go to has always gone to a status dashboard. Emails get buried, and forgotten.

What your describing is one that when customer are paid up on their order, override the credit hold on the order, don’t take the customer off hold.

The dashboard has indicators that of a status of the customer credit, the order hold(s), and invoices paid on the order. It is also showing the status of the complete pipeline.

Thank you Bruce. This will be a great tool to use in the future. The team has requested they would like an email to be sent automatically to CS when the cash posting has been completed for an invoice with terms set of PP and 50%. Anyone have any help on that? Im fairly new to BPMs. The Advanced BPMTraining through Epicor was subpar with what it reviewed. Thanks!
