New report from Report Data Maintenance

Another alternative would be to try a dashboard report. I've been able to put multiple BAQs in a dashboard and do the linking between the BAQ results tables in Crystal. That also allows me to use the same tables in different ways (as a summary and with detail), etc. (we're still on Vantage so I can't take advantage of multiple instances of the same table in a BAQ in Epicor 9). I can include only the BAQ tables I need when using subreports. I've found it to be very flexible.

Can anyone tell me how to create report data using a new custom Report through Report Data Maintenance?

I am OK with modifying existing reports using this function and styles, but with a brand new custom report, how do I get it to create the XML for Crystal Reports and prompt for selection criteria?

I can add a custom Crystal report to the menu... is it that? But how/where to enter selection criteria?

Mystified ...

- Neil
Good Morning -
To create a Custom report in Crystal you need to start with creating a BAQ that will pull the data you need. The result of this will be the start in formatting the XML you need for the report. A quick summary of how is

1) Navigate to Executive Analysis/Business Activity Maintenance/Setup/Business Activity Query
2) to Create a BAQ - Select new, give it a name (the company name will append to the front of the name automatically), enter a descritpion, and make sure you check it as shared, then save
3)Go to the phase builder tab - drag and drop the tables you need, and link them
4)Go to the Display tab - select the fields you want to display. You can also add calculated fields
5) Go to the Analyze tab -and test, then save
6) Navigate to Executive Analysis/Business Activity Maintenance/General Operations/BAQ Report Designer. Here is where you create your print form and can generate a sample XML for your custom report
7) Select new, name the form (usually i name it the same as the BAQ)
8) select BAQ you want associated with report ( the one you just created)
9)change the report name if you want (dont have to). This will be the only opportunity to change it once saved the report name becomes uneditable
10) now you can add options, filters and sorts to the form
11) save
12) Go to Actions/Test Form : the print form will open. at this point you can select Generate Data only button (this will create the XML under your username in Epidata/reports directory

That is a very quick synopsis. You should go to the ICE Tools User Guide for more detailed how to information.

Good Luck

With RDD you create variations of an existing RDD. You make a copy of an existing RDD, modify it, create a new report style to use the new copy of the RDD but use the existing crystal report. Run the report with the new RDD/Report Style, go to the Report output directory to find the resulting XML. Use that XML to build a new crystal report, go back to the new report style and point it to the new crystal report.

You can't create new calculated fields unless you use the SDK. You can add new tables as long as you can join them onto an existing table. I don't recommend deleting any existing tables.

If you think you need a RDD from scratch building a BAQ report will usually accomplish what you need.

If you're talking about creating a new report, not duplicating and
modifying an existing report, that would be done thru the BAQ Report
Designer(Executive Analysis/Business Activity Management/General Operations
menu) after creating a BAQ for the report. The Actions menu has a Generate
Sample Data item to create an XML file for use in designing the Crystal
report. If you're modifying a duplicated RDD, then running the duplicated
report after modification should create the XML file with the modified data.

Thanks for all the responses.

I guess the answer is simply that you can't create a new report from the Report Data Maintenance / Styles functions, only modify existing ones.

Oh well, back to the BAQ then ...

Thanks Jim,

I see the value of RDD in that it sends to Crystal a number of tables of data that can be used selectively in sub-reports, but the BAQ report sends just the one "Results" table.

If I understand, what you are saying is that the new report will be a version of an existing one, but made "new" by the tables and formatting used. But to run it, you would still have to run the original report from the menu and choose the "new" style. Is that right?

Correct on both. Having the data come over as tables is a good thing many times. It gives you a lot of control over the data from within Crystal. This helps a lot when a sub-report is needed as you mentioned.

With BAQs you will frequently get multiple occurrences of the same data requiring filtering/grouping techniques. If you need different filtering/selection options than a BAQ is pretty much your option.

You can set the default style so the user doesn't have to pick it if the new report is the preferred report. A simple embedded customization can default in the report style during the form load event also.

Two ways around the same tree, as long as you get the results and performance you need, to contradict myself a little bit, the tool you are most comfortable with is usually the way to go.
