ODBC Question

On a general note, if ou have linked tables into
access and want to report / query on them try to find
out the fields that are indexed and specify those
fields as selection criteria to make use of the index.

what has been your
experience regarding the time it takes to run? Is it
a long wait time?
Minutes opposed to seconds?

I have a 6.1 test system that I'm experimenting with ODBC on.
I have it working fine, and I took out some tables relating to payroll for
the normal odbcuser login.
If I want to include those tables for HR and Payroll do I just create
another user with access to all the tables
Using the sql explorer tool like I did in the ODBC kit instructions?

Any other tips for someone learning odbc from scratch?
I did set the client's to READ UNCOMMITTED, I don't need the DB to be
corrupted!

If you created a report using odbc and you want someone else
to access the report, all you would have to do is:

the data directly into Excel.

Ok, we don't pull directly into excel. I'm not even sure
you can, but I have been wrong before.

What we do is use odbc to create the crystal report and then
export that into excel. This works very well for us.

Has anyone on this list ever dump into excel directly using
odbc? I'd be curious to learn this as well.

Yes, you can pull vantage data directly into excel using odbc. Although, I
am usually reporting on more complex queries which I create in access and
then link an excel file to this. It is seemless to users b/c when they open
the excel file it refreshes the data automatically through the access query
linked to vantage tables thru odbc (as long as you have it set-up to refresh
automatically - you can disable this also..)

Sure. We do it all the time.
You have to use the Data->Import External Data ->New Data Query Menu
From there you should be able to accss your Vantage tables and define a query that will drop
the values back into a spreadsheet.

This query can be defined to renew every time the spreadsheet is reopened.

Sure. We do it all the time.
You have to use the Data->Import External Data ->New Data
Query Menu
>From there you should be able to accss your Vantage
tables and define a query that will drop
the values back into a spreadsheet.

This query can be defined to renew every time the
spreadsheet is reopened.

you can, but I have been wrong before.

What we do is use odbc to create the crystal report and
then
export that into excel. This works very well for us.

Has anyone on this list ever dump into excel directly
using
odbc? I'd be curious to learn this as well.

If you created a report using odbc and you want someone
else
to access the report, all you would have to do is:

1) Make sure they have access to payroll in Vantage
(otherwise they would never be able to see the info in
the
report)
2) Then setup odbc on their computer to run the report,
or
create the
executable for them to run.

We use Excel to print our customs documents. We use Microsoft Query and ODBC to link to Vantage to pull all the shipping information and the customs HS codes into Excel. The shipper just has to enter the packing slip number.

experience regarding the time it takes to run? Is it a long wait time?

What process are you using to download the info?

Here is what I do. For each Vantage Table involved I create a linked
table in Access. Then I create a Make Table Query for each of those
linked tables including only the fields I want to use for that
application. Running the Make table query will vary depending on the
size of the table and the # of fields you are bringing in, but most
run anywhere from a second or two to 30 seconds for the bigger
tables. You can use filters in the make table query to reduce the #
of records and speed up the process.

Once the data is "downloaded" into Access tables, everything I do
with the information after that is really speedy. It is a great
method of reporting for things that don't need to be "real time". I
use macro's to run the Make Table Queries for my various programs
overnight using a product called Total Visual Agent which is handy
program to use with Access.

I do not try to use the live linked tables for queries or reports,
that can be very slow.

My experience is that the bigger the database (table), you will be
better off linking the table and extracting the information you want
(i.e. orders that are already closed from 3 years ago you may not need).
The following are the command and its properties that you will need in a
macro to import/link tables:

Action: Transfer Database

Within Action:
Transfer Type: Import or Link depending of what you want.
Database Type: ODBC database
Database name: ODBC;DSN=[Insert name of database used in progress
explorer - usually mfgsys61];HOST=[name of server];PORT=[ODBC port
assigned in progress explorer for ODBC
connections];DB=mfgsys;UID=sysprogress;PWD=[whatever you set up -
usually sysprogress]

If you associate this macro with a button in a form, it will connect to
vantage and bring the information you need. If you link the tables, you
can create with a query what I called "enhanced" tables that contain
information from multiple Vantage tables into one that you could later
manipulate or change without disturbing anything in Vantage. Also, for
security purposes, if you are deploying any Access databases, the user
just need to "push" the button and it is done. You can protect/hide the
macro from the user so no passwords will be revealed. You need to
consider that power users could always get information in Access (one
trick is to press the shift button and double click in the database to
overwrite any internal security - works depending of Access setup)

I would tend to link the tables and then query /
report on the linked tables via access.

There is no real benefit in terms of importing as
opposed to linking because then you are just using old
data.

What would you like to automate? Once you have linked
a table once you shouldnt have to do it again.

Depends a lot on the size of the table(s). Our PartTrans queries can take several minutes

But a small hint. If you do a query linking more than one table and if the tables include the
Company field, then join them too even if you only have one company. It makes the query run
much faster.
