Off topic e-mails

If it is 5.5...

When you delete an email from out Outlook client it first goes to the
deleted items folder. If you empty your deleted items than there are only 2
ways to recover you email. If your server is configured for Item Recovery
(Site name-->configuration-->servers-->server name-->Private Information
Store-->properties.) and the time has not expired then simply go to recover
deleted items from Outlook. Short of that you would need to restore from a
backup.

By the way if you use Veritas BackupExec and have the Exchange plug in you
can actually restore individual folders, contacts, messages from any mailbox
without restoring the whole database like MS tells you. Very convenient for
the CEO who hot syncs and deletes his contacts.

There is a setting on the server to retain messages for a certain period after being deleted, assuming they are not being deleted from a local archive on the user's PC. I have not worked with it much and it is possible this is only in Exchange-2000 and up. When I did look at it I might have set ours to something like 7 days. A sort of grace period in case of a big oops. Which has happened to us where a person accidentally deleted (with Shift key down)a whole valuable customer messages sub-folder under their Inbox folder.

On the other hand if the issue is making sure they are deleted immediately (hide the evidence?) then I believe that not retaining them is the automatic setting. When you purge your Deleted Items folder it is gone from the server(subject to Exchance Email Store managmenent issues like actually writing over that disk area with something else). Good forensic data specialists could probably recover the binary data on the disk and reconstruct something for a period of time. Exchange does some email store space recovery on a regular basis in order to reuse the area. I know that when I badger users into cleaning house a few days later the mail store file is smaller.

By defaul the only way to recover deleted email is to restore the entire
database (usually on a test server).

Here is a Microsoft link to How the recovery option works. I have set this
up on my exchange 5.5 server and it works very well.
